Details of Service / Cork Mental Health Services, HSE South Cork has a population of 519,000. There are 4 acute units, St. Michael’s Unit in North Lee Mental Health Services (50 bed), Cork University Hospital, South Lee Mental Health Services (50 bed), St. Stephen’s Hospital, North Cork Mental Health Services (17 bed) and Centre for Mental Health Care & Recovery, West Cork Mental Health Services (18 bed). The service also includes a Home Based Crisis Team serving the North side of Cork City and forensic psychiatry in Carraig Mor Centre – the psychiatric intensive care unit for the region and this is also based in the North Lee area.
Reporting Relationship / To a designated supervisor who will be assigned at job offer stage.
Purpose of the Post / To provide comprehensive administrative, clerical and secretarial support.
Principal Duties and Responsibilities /
  • Word Processing/typing including audio typing
  • Correspondence Management
  • Reception Duties including dealing with telephone enquiries
  • Dealing with the Public
  • Clerical Assistance
  • Maintaining and updating office filing systems and Records as required
  • Preparation, Checking & Processing of data including financial information
  • Gathering relevant statistical information and maintaining information management systems
  • Processing information
  • Preparation of reports.
  • Meet and greet patients as they access clinics
  • Arrange appointments and reviews for patients
  • Order and maintain stock such as stationery
  • Maintain off duty rotas and time sheets for staff
  • Any other administrative support as requested

Eligibility Criteria
Qualifications and/ or experience / Each candidate must have:
Obtained at least grade D (or pass) in Higher or Ordinary Level in five subjects from the approved list of subjects in the Department of Education established Leaving Certificate Examination or Leaving Certificate Vocational Programme.
Or
Passed an examination of at least equivalent standard
Or
Satisfactory relevant experience which encompasses demonstrable equivalent skills
Or
Had at least 2 years previous service in an office of Grade 111, Grade 11 and Grade 11 typist or Grade 1 under a local authority or health board in the State.
Health
A candidate for and any person holding the office must be fully competent and capable of undertaking the duties attached to the office and be in a state of health such as would indicate a reasonable prospect of ability to render regular and efficient service.
Character
Each candidate for and any person holding the office must be of good character.
Age
Age restrictions shall only apply to a candidate where he/she is not classified as a new entrant (within the meaning of the Public Service Superannuation Act, 2004). A candidate who is not classified as a new entrant must be under 65 years of age on the first day of the month in which the latest date for receiving completed application forms for the office occurs.

Terms and Conditions of Employment

Tenure / The appointment is a 6 month specified purpose contract.
Appointment as an employee of the Health Service Executive is governed by the Health Act 2004 and the Public Service Management (Recruitment and Appointment) Act 2004.
Remuneration / The Salary scale for the post is:

Working Week / The standard working week applying to the post is: 37 hours per week

Superannuation / Membership of the HSE Employee Superannuation Scheme applies to this appointment.
Existing Members who transferred to the HSE on 1st January 2005 pursuant to Section 60 of the Health Act 2004 are entitled to superannuation benefit terms under the HSE Scheme which are no less favourable to those to which they were entitled at 31st December 2004.
Appointees to posts in the Mental Health Services which formerly attracted fast accrual of service should note that the terms of Section 65 of the Mental Treatment Act 1945 do not apply to New Entrant Public Servants as defined by Section 12 of the Public Service Superannuation (Miscellaneous Provisions) Act 2004.
Probation / Every appointment of a person who is not already a permanent officer of the Health Service Executive or of a Local Authority shall be subject to a probationary period of 12 months as stipulated in the Department of Health Circular No.10/71.
Protection of Persons Reporting Child Abuse Act 1998 / As this post is one of those designated under the Protection of Persons Reporting Child Abuse Act 1998, appointment to this post appoints one as a designated officer in accordance with Section 2 of the Act. You will remain a designated officer for the duration of your appointment to your current post or for the duration of your appointment to such other post as is included in the categories specified in the Ministerial Direction.
