*NEW* NASSAU INN BOOKING PROCESSES
Key process changes that have been made to the booking process with the Nassau Inn are the following:
- To access Princeton negotiated room rates, individual reservations must be made electronically through Concur or with Carlson. No more paper reservation forms.
- No more direct billing.
- Credit card will be the form of payment for both groups and individual guests – for both guarantee and payment of reservations.
- Reservation changes will go through Concur or CWT.
- Forms must be used when –
o Department wants to pay for more than “room and tax only”: Nassau Inn Charge Authorization form
o Guest wants to pay on own: Nassau Inn Charge Authorization form
o Groups are contracted: Group Hotel Credit Card Authorization

Sales Tax Exemption
New Jersey sales tax will automatically be exempt if paying with a University credit card.
Receiving Final Invoices
To receive final statement of charges automatically by email for a guest booking you will expense, you will either mention this to the CWT counselor when making your reservation, or you will enter the prefix of your princeton.edu email address in the field called “Message to Vendor” on the Hotel Search page in Concur. (example – will enter “jsmith”). See screenshot below.
Guest Pays On All Charges – GPOA
When a guest needs to pay for the hotel stay, you will either indicate this to the CWT counselor when making the reservation, or you will indicate “GPOA” (Guest Pays On All) in the “Message to Vendor” field on Hotel Search page in Concur. If you do not indicate this on the reservation, the Nassau Inn will charge the card used to make the reservation. See screenshot below.
Booking for a Group
The booking process for group hotel rooms remains much the same as in the past – call the hotel, receive the standard Princeton contract, have it signed, return contract to hotel, fax in Credit Card Authorization form. You can continue to choose to provide a Rooming List or have individuals call-in their reservation against the room block on their own.
If the guest is paying all charges of the hotel stay at the Nassau Inn, indicate GPOA.
If Princeton is paying charges on behalf of the guest and if Princeton cardholder would like to automatically receive the final statement of charges by email, indicate the prefix of the cardholder’s Princeton email address.
