Preparing for the Faculty Growth and Evaluation Process

A Checklist

P / Overall Planning
·  Determine which faculty members you will observe this quarter.
·  Determine which faculty members you will need to evaluate this quarter.
·  Compare identified faculty members needing an evaluation with System HR Report for your campus (Employee Evaluation Dates—FT & PT Faculty or Union Faculty.
·  Create an observation schedule.
·  Create an evaluation schedule.
·  Determine if you are going to observe alone or with a co-observer.
Remember to take all documents off MyBaker/Academics/FacultyGrowth/Evaluation
Planning for an Observation
Prior to Observing
·  Notify the faculty member
o  Review the documents you will send to the faculty member
§  Memorandum and Notification memo
§  Lesson Summary
§  Reflection Questions
§  Copy of the Faculty Observation Form
o  Adjust the wording as needed on all documents, including observation date and post-observation conference date, etc.
·  Identify the focus for the observation
o  Review the completed Lesson Summary returned by the faculty member.
o  Make notes of any particular areas you want to observe based on:
§  What the faculty member wrote in the Lesson Summary
e.g., challenges, etc.
§  Previous Student Evaluations or student comments.
§  Previous observations and evaluations
§  Professional Growth Plan (PGP)
§  Experience with the faculty member
§  Experience level of the faculty member
·  Prior to the observation, conduct a review of the use of instructional technology. This should include but not be restricted to the following:
o  Blackboard
§  Announcements
§  Discussion Boards
§  Multimedia posted into the Blackboard shell
§  Wiki’s, Blogs, or Private Feedback Groups
§  Additional lecture or support materials available digitally through the eClass
Conducting the Classroom Observation
·  Bring the following paperwork to the observation:
o  Lesson Summary prepared by faculty member.
o  Faculty Observation Form.
o  Notes regarding the focus for the observation.
·  Observe for both the big picture (overall effectiveness) and the detail (behaviors identified in the various categories on the Faculty Observation Form).
·  In addition to observing the faculty member, observe the behavior/participation of the students (verbal and non-verbal) and make a note of it.
·  Arrive on time and sit quietly in the back of the room.
·  Do not participate in the classroom activities.
Following the Classroom Observation
·  Review the Faculty Observation Form. Add notes while the observation is fresh in your mind.
·  Complete the rating for each category (Exceeds, Meets, Does Not Meet).
·  In the “Observations and Comments” section for each of the four key areas, list focus questions that you want to ask the faculty member to gain a deeper sense of their practice in the area. Review the suggested debrief questions.
·  Review all notes prior to post-observation conference.
·  Complete the Observation Summary Form.
Post-Observation Conference – Observation only
Preparing for the Conference
·  Review all documents completed in the “Following the Classroom Observation” section, specifically the Observation Summary Form.
·  Decide on a location for the conference.
·  Outline your talking points for the conference.
·  Set aside 1 hour for the conference.
·  Turn off the computer, phones, etc. so there are no interruptions.
Conducting the Observation Conference
·  Open the conference.
o  Provide overview, purpose, time.
·  Start with the faculty member’s reflections (Use Reflection Questions).
·  Review the Observation Form categories.
o  Explain the category.
o  Solicit faculty input about the lesson regarding the category.
o  Share your observations on the category.
o  Together, review the definitions of the ratings.
o  You review your rating and the rationale written on the Observation Summary Form.
Repeat this process for each category.
·  Discuss next steps and areas to work on prior to next observation.
·  Secure faculty member’s signature on the Observation Summary Form.
o  If necessary, remind the faculty member that the signature does not mean agreement, only receipt of the document.
o  If the faculty member requests, they may submit a written statement that you will attach to the Observation Summary Form.
·  Give one copy of the completed Observation Summary Form to the faculty member.
·  Attach the Observation Summary Form to the Faculty Observation Form and keep the documents in your campus file.
·  Identify timeline for next observation.
Post-Observation Conference –
Evaluation and Observation
Preparing for the Conference
·  Read through all observations for the year or since the previous evaluation.
·  Summarize the ratings in each of the 4 categories on the Evaluation Summary Form.
·  Review and complete the Operational Responsibilities Form. Summarize this category on the Evaluation Summary Form.
·  Review the student evaluations for the year or since the previous evaluation. Summarize your thoughts on the Evaluation Summary Form.
·  Complete the Professional Growth Plan (PGP). Summarize the PGP on the Evaluation Summary Form and attach the PGP.
·  Complete the Professional Development section with any additional PD since the last evaluation.
·  Complete the degrees, certifications, licensures section with updated information.
Conducting the Evaluation Conference
·  Start with the faculty member’s reflections (Use Reflection Questions).
·  Review the Observation Form categories like in an observation conference.
o  Explain the category.
o  Solicit faculty input about the lesson regarding the category.
o  Share your observations on the category.
o  Together, review the definitions of the ratings.
o  You provide your rating and the rationale.
Repeat this process for each category.
·  Review the Evaluation Summary Form and the ratings.
o  Operational Responsibilities Summary.
o  Student Evaluations.
o  Professional Growth Plan.
o  Degrees, certifications, licensures.
o  Anything listed in “other.”
·  Notify the faculty member that they can make comments.
·  Secure the faculty member’s signature on the Evaluation Summary Form.
o  If necessary, remind the faculty member that the signature does not mean agreement, only receipt of the document.
o  If the faculty member requests, they may submit a written statement that you will attach to the Evaluation Summary Form.
Following the Evaluation Conference
·  Prepare paperwork to submit to the evaluator’s supervisor for review.
o  PGP.
o  Operational Responsibilities Form.
o  Evaluation Summary Form.
·  Upon approval by the evaluator’s supervisor, send one copy of the documents (PGP and Evaluation Summary Form which includes the Operational Responsibilities Form) to
o  System Human Resources Department.
o  Faculty member.
o  Your files.
·  Identify timeline for next evaluation.
