Generic role of post:
This position is part time - .2 FTE
To provide an efficient and effective administrative support service for smaller sites, in line with TCCG priorities, policies and procedures. Meeting deadlines, working with minimal supervision and supporting the promotion of a ‘Right First Time’ quality ethos within TCCG to underpin our world class service to the learner journey.
Specific duties:
- Support the Campus Support Officer to act as the ‘Go to’ person on site for learners, curriculum teams and Head of Campus.
- Undertake activity as needed to support the link between the site and central administrative site in order to ensure that centrally organised administrative processes underpinning the learner journey arecarried out effectively and timely.
- Provide a reception support service, assisting visitors and learners with enquiries and signposting to appropriate staff where required
- When requested support curriculum teams inchasing registers, recording absence monitoring / logging, issuing Concern Notes or other documentation when requested.
- Support the Campus Support Officer diary management for CL’s, to include the booking and arrangement of travel and / or overnight accommodation where required in line with current TCCG Financial Procedures
- Organise and attend meetings, taking minutes as and when required
- Provide general administrative support to include typing, filing, mailshots, post and telephone calls as and when required.
- Maintain awareness and work to the weekly schedule identifying activity on site that needs support from the administrative site to keep operational tasks on track.
- Maintain a basic knowledge of timetabling to enable changes to be made locally, working with Administration Officers (Timetabling) on the administrative site to maintain current practice and seek supportwhere larger, more complex changes need to be made.
- Participate and assist in promoting TCCG at Advice Mornings, Open Days and any other events that may be appropriate (including working weekends and evenings as required).
- Actively work with colleagues to seek new ways of working to ensure all processes supporting the site and Information Management and Data Services unit within TCCG are efficient and effective but compliant with relevant regulations.
- Follow a programme of planned staff development as identified through the TCCG Performance Management System.
- Ensure effective communication, internally and externally, to ensure that the services provided to customers, curriculum teams andthe Information Management and Data Services Unit continue to be of high quality.
- In the spirit of good teamwork, be willing to undertake any other reasonable duties as directed by the Campus Support Officer and Head of Campus in order to assist with the quality and continuation of support provided. This may include providing holiday and sickness cover on base and other TCCG sites as necessary to maintain service.

Qualifications
Essential:
- Minimum Level 2 in Business Administration or equivalent experience
Experience

- Working in a busy administrative office in a multitasking role
- Ability to work under pressure, unsupervised and to tight or changing deadlines
- Proven to find solutions to problems or queries
- Good IT skills
Desirable:
- Experience of working in a customer facing role

Additional:
The postholder must comply with the limitations placed upon TCCG by its registration under the Data Protection Act, particularly as this role will be dealing directly with student information.
This post may need to visit other sites on occasion.

If the role requires a staff member to use their own vehicle there is a legal requirement to hold business use category on their motor insurance policies.
