MINUTES OF PATIENT FOCUS GROUP MEETING

Chair opened meeting by welcoming those present along with our guest, Jhon Bateman, CQC Representative, who asked the group to give an overview of their relationship with the practice. Group members advised the relationship was excellent, detailed Minutes of Meetings were prepared and distributed along with correspondence received from NHS and other agencies. They felt that as a group they had diverse views and were able to put forward these which were taken on board by the practice and that there was good communication between the practice and the group. The group felt they had been instrumental in changes within the practice for the benefit of patients as a whole.

  1. Minutes of meeting held 15th October 2015 read and agreed.
  1. Matters arising:
  2. Nomination in Excellence in Engagement Award: photographs of Paddy Holden receiving her award on display at Meden Vale Medical Centre.
  1. Invites sent to AD & SS to attend Open Day, to which they both attended. Card and bouquet presented to both AD & SS in recognition of their contribution to the group.
  1. DNAs (Did Not Attend): Monitoring of DNAs ongoing, letters being sent to patients. Quote received as to upgrade/change to telephone system to improve access for patients and to enable them to cancel appointments. ACTION: To be discussed at next meeting.

  1. Choosing the Right Care: Update received from Julie Andrews, Patient Group Liaison Manager, as follows:

‘The information you provided was used to inform a display at our Annual Public Meeting. It will also be used to inform good practice to be shared with all practices. This work is being undertaken by a Joint Working Group covering Mansfield, Ashfield, Newark and Sherwood. I will ensure you are provided with further information as this work progresses. Many thanks for your helpful contribution’.

Network News: Issue 3 October 2015 contains an article on Choosing the Right Care.

  1. Under 16s: Poor response to questionnaire received, both in practice and those sent to Meden School. Group suggested that Head of 6th Form at Meden School could be approached for their input.
  1. Care Quality Commission (CQC): Inspection taking place today.
  1. Friends & Family: Report for November 2015 received. 53 feedback forms received of which 94% would be either extremely likely or likely to recommend the practice to friends and family. Comments made by patients were discussed.
  1. Annual Open Day: Held on 7th November 2015. Total of £341.09 raised which is being put to portable ECG machine. Many thanks extended to all those who attended, provided prizes, cakes, books etc. and who helped make the event a success.
  1. Promotion of Group: As per suggestion at last meeting, practice feel it is a good idea to display photos with practice and on website of Chair and Vice-Chair together with contact details.
  1. Staffing:
  • Kaitlin Phelan, new receptionist being trained
  • Dr Nayak leaving us in the New Year
  • Interviews taking place shortly for apprentice to replace Arron
  • Sue du Toit, officially resigned but is doing odd day for us.
  1. In-house Warfarin Monitoring: Discussed at recent GP meeting. Enquiries being made as to feasibility of providing service and protocols/procedures which would need to be followed.

  1. Any Other Business:
  1. Resignation of Virtual member, TF. E-mail has been sent thanking him for his input over the years and wishing him the best for the future.
  1. Group member mentioned he sometimes had difficulty in collecting prescription from Rowlands, Church Street as it was closed on a weekend; however, Rowlands Sherwood Street is open on Saturdays. We have no jurisdiction over the pharmacy opening hours - would it be better to either order earlier or change the destination of the prescription?
  1. Staff: Group felt it would be beneficial to have a staff member attend meetings from time to time, providing useful insight into a typical working day.
  1. Survey: Planning Your Hospital Service: Survey currently being undertaken, deadline 18th December 2015 to provide comments on-line. It was felt that on many occasions not enough time was being allowed for information to be filtered through to patient groups and patients and for feedback to be sent. Group asked that an

e-mail be sent to Julie Andrews on their behalf highlighting their concerns.

ACTION: MH to e-mail Julie Andrews.

  1. Life Channel: GH asked if there was scope to show community messages on the screen. On previous patient feedback it was felt that radio was the preferred media option. ACTION: Question to be asked of Practice Manager
