CONSTITUTION OF THE NMMU SPORT COMMITTEE

1.STATUS OF THE COMMITTEE

The Sport Committee, as a management committee which reports to the Executive Management Committee (EMCom), performs the functions and exercises the powers as contemplated in paragraph 6 of this document.

2. COMPOSITION

The Sport Committee should be constituted as follows:

2.1. The Executive Director: Student Affairs who is the Chairperson of this

Committee (1)

2.2. A member of Senate (1)

2.3. The Chairperson of the Sport Council who is the SRC: Sport representative,

and three (3) other representatives of the Sport Council (4)

2.4. The Director: Marketing & Corporate Relations or nominee (1)

2.5. The Head: Department of Human Movement Science or nominee (1)

2.6. The Executive Director: Finance or nominee (1)

2.7. The Director: Organizational Transformation & Equity or nominee (1)

2.8. Two (2) members that are representative of the local community who are invited

by the committee (2)

2.9. The Director: Sport or nominee (1)

2.10. Missionvale Campus Principal or nominee (1)

The Sport Committee may invite persons who are not members to attend meetings of the Sport Committee, on the understanding that such persons may take part in deliberations but may not vote.

3. TERM OF OFFICE OF MEMBERS

3.1.The members contemplated in subparagraph 2.1, 2.4, 2.5, 2.6, 2.7, 2.9 and 2.10hold their offices for the duration of their appointments as staff members.

3.2.The members contemplated in subparagraph2.2, 2.3, and 2.8 hold office for a period ofone (1) academic year;provided that such members may be re-appointed asmembers for a further period of one (1) year.

4.ELECTION OF VICE-CHAIRPERSON

4.1. The members of the Sport Committee elect amongst themselves a Vice Chairpersonby closed ballot; by the majority of the members present at thefirst meeting of the year.

5.ACTING CHAIRPERSON

5.1.In the absence of the Chairperson from any meeting of the Sport Committee, the Vice-Chairperson of the Sport Committee acts as Chairperson.

5.2. In the absence of the Chairperson as well as the Vice-Chairperson from any meetings of the Sport Committee, the members present elect a Chairperson for that specific meeting.

6.POWERS AND FUNCTIONS

The Sport Committee -

6.1.makes recommendations to EMComon matters constituting new policy and / or a deviation from existing policy; as well as cooperation with other bodies / institutions;

6.2.advises EMComonsporting matters on its own initiativeor at the request of EMCom;

6.3.should ensure that it is always informed of contractual negotiations entered into on behalf of the NMMU Sport;

6.4.is subject tothe disciplinary policy of the university as contained in the general policy and regulations the NMMU Sport;

6.5.performs the functions assigned to it by EMCom fromtime to time; and

6.6.if deemed necessary,appoints sub-committees to performsuch functions within the mandate of the SportCommittee.

7.MEETINGS, PROCEDURE, QUORUM AND MINUTES

7.1.At least one (1) ordinary meeting of the Sport Committee should be held quarterly on such dates as the Sport Committee may determine.

7.2.Relevant provisions regarding special meetings, procedure, quorum and minutes apply with the necessary changes to the Sport Committee

7.3. The Director: Sport, after consultation with the Chairperson, shall convene all meetings with proper notice of at least two weeks. Any seven(7) members shall constitute a quorum at a meetingof the Sport Committee. The Chairperson shall have a deliberative as well as a casting vote.

7.4.In the event that matters requireurgentattention,the Chairperson, the Director of Sport and two (2) members of the Committee may make decisions which need to be ratified at the next meetingof the Sport Committee.
