Definition:

An Individual Training Protocol specifies the way in which the training is organized. It aims to facilitate understanding of the training action and to give the participant precise knowledge of the conditions under which the training will take place. It specifies the dispositions taken in terms of organization, supervising and providing the participant with support and assistance with learning and technical issues in an open or distance learning activity.

Article 1: Object

This protocol is a tool for piloting and monitoring a training action and constitutes a reference document upon which either party can call. It is a tool for regulation.

The commitment it represents is agreed upon and formalized between the training supplier, the employer and the employee, prior to requesting financing for distance-learning activities. Each party commits to take every necessary action to meet the learning objectives.

Article 5: Methods for monitoring the execution of the training

Concerning the distance-learning sequences, the training supplier commits to supplying to the OPCA:

  • An attestation signed by the trainer justifying the work accomplished by the learner as well as intermediate and final tests and assessment activities

Concerning face-to-face sequences, the training supplier commits to supplying to the OPCA and to the Employer:

  • Acopy of the Attendance Sheet signed each day and by each participant and by the trainer(s)

In the case of control:

Concerning the distance-learning sequences, the training supplier commits to supplying to the OPCA:

Justification of support and assistance with learning and technical issues:

  • Records of communication: emails, chat, forums, collaborative tools
  • Recordings of virtual classes
  • Listings of telephone calls

Justification of training activity and results:

  • Signed attendance sheets per half-day (face-to-face sequences)
  • Summaries of the work accomplished by the learner / justification of work accomplished
  • Results of intermediary and final tests and assessment / justification of tests taken

Invoices:

  • Direct expenses
  • Invoices for purchase or rental of training resources and platform
  • Invoices from sub-contractors
  • Invoices for documentation, training materials, room rental
  • Salary slips of tutors and trainers

Article 6: Methods for assessing the results of the training

Article 7: Reciprocal commitments

The training supplier commits to:

Ensuring that the Attendance Sheets are signed by learners daily.

Accompanying the participant’s learning and progress throughout the training:

  • Regular individual follow-up and accompaniment
  • Use of tools for enhancing learning available on platforms according to the method and pedagogical pertinence
  • Organizing group meetings
  • Making use of tools for assessing learning throughout the training

Conserving the elements demonstrating the effective execution of each module (work accomplished, emails…) and of learner assistance and follow-up.

These elements are to be kept at the disposal of the financing body in case of control.

The participant commits to:

  • Respecting the schedule agreed upon
  • Signing the Attendance Sheet per half day, on a daily basis (face-to-face sequences)
  • Taking part in group meetings
  • Carrying out the work and producing the documents required
  • Not transferring access to training supports to third parties and not communicating passwords to those not party to this protocol
  • Communicating to the financing body, when requested, any document justifying the reality and the quality of the training
