Marketing and Communications Administrator
Job Purpose
1. Administrative support to Marketing and Communications team
Key Tasks
Marketing & Events
1. Organising the packing and distribution of marketing materials for events
2. Distributing small orders of marketing materials for instructors or clients
3. Placing materials orders with suppliers (on our request)
4. Maintaining an up to date inventory of marketing materials and timelines for ordering
5. Updating marketing and communications budget spreadsheet
6. Checking supplier invoices against quotes
7. Completing data cleanses on Marketing and Communications lists
8. Supporting with the organisation of any internal or external events including booking catering, room set up, distribution of marketing materials
9. Creating and keeping updated a spreadsheet of potential speakers for events
10. Booking and planning travel/accommodation for team members
Social Media and Communications
1. Updating the calendar of Hooks and Events which feeds into the social media schedule and external communications plan
2. Support with the monitoring of social media platforms for comments or questions directed at the organisation
3. Regularly checking media email inbox for requests and filtering to rest of team. Responding to email bounce backs by removing from database.
4. Keeping media log up to date
5. Updating and spreadsheet of key journalists and spokespersons
6. Assisting with daily media monitoring
7. Assisting with internal team updates
Office Support
1. Work closely with all members of the Marketing and Communications team
2. Cover for team members when required.
3. Assist with other projects as required e.g. events
4. Booking meeting rooms and updating if any times change etc.
5. Carry out general office duties when required e.g. reception and info account
6. Assist other Administrators and team members as required.
General Responsibilities

Person Spec / Essential / Desirable /Experience/ Qualifications / · Demonstrable experience in a similar role at an equivalent level.
· Experience of working within a marketing/communications environment / · Educated to degree level/ equivalent qualification/ experience
Knowledge / · Knowledge of CRM and CMS
· All aspects of MS Office / · Experience and knowledge of Microsoft Dynamics CRM and ADXStudio CMS
· Knowledge of mental health
