Sunset PTA General Membership Meeting Notes

The meeting was called to order at 9:31 am. There was a quorum.
Reading and Approval of MinutesMelissa Stefani
The June 8, 2015 meeting minutes were approved with no changes.
Principal’s ReportMandy Dorey
Neither Mandy nor Paula was present.
Teacher’s ReportMarie Blakley
- Karen Kline applied for a Whole Foods Gardening Grant which was approved in the amount of $2,000. Volunteers will be needed to assist the kids in the garden.
- Teachers are starting to inquire about grants. There is not currently a Grant Writing Chair but Ali Tamblyn knows someone who might be interested. The position needs to be secured this week so Ali will follow up with her lead.
Financial ReportPatty Thieme/Becky Foster
- It was reported that we currently have approximately $200,000 in the bank which is a very healthy amount.
- Mrs. Bean is very grateful for the new risers that were purchased.
- New walkie-talkies were also purchased.
- Patty updated everyone on some minor adjustments to the 2015-2016 Budget.
Presidents’ Report Lindsay Krienke/Ali Tamblyn
- The first council meeting was last Thursday. Highlights included Ron Thiele speaking about renovations, homework, and new elementary math adoption as well as bell times.
Committee Reports:
Communications Maryann Perry/Leslie Pittman
They are still looking for someone to chair Grant Writing. Ali updated everyone about a possible lead she has and she will follow up with them right away. Kim Clarke has agreed to do the student directory.
Curriculum Enrichment Becca Bishop/Kari Grutzner
Becca reported that the art docent program is getting up and running. The theme for Reflections this year is “Let Your Imagination Fly”. This year Reflections will be accepting 3d projects, which includes sculptures. All entries are due by October 22, 2015.
Fundraising Kim Clarke/Heather Bissmeyer
Kim reported that there are currently several open positions which they are still trying to fill. The Book Fair is this week and volunteers are still needed. Kim is looking into meeting with the principal about getting feedback from teachers and parents on what they want to see funded by the PTA.
Hospitality Kristin Bendt/Marjorie Miller
Kristin was not present. Marjorie Miller was present and introduced herself. Some volunteers stepped up late in summer and took on school beautification and were able to freshen up the planters. STB raised approximately $700. The Back to School luncheon was a success. There was discussion about where to post thank you’s to chairs and volunteers: e-splash, website, Facebook. After much discussion it was decided that once a month the e-splash will be longer and will include a thank you section for the prior month’s volunteers.
Programs and Events Kari Mattson/Sandra Curlander
The Back to School Carnival is this Thursday from 5:30-7:30pm. At this point 27 families have registered online. The Coat Drive is currently scheduled for October and they are recommending removing it from the calendar due to the food drive with Spooky Spaghetti and Caring Through Sharing.They will likely try to add something to the calendar in the spring. Spooky Spaghetti plans are underway. There are approximately 50 individuals registered thus far. They have found a new chair for Caring Through Sharing. The Talent Show still has no chairs. Discussion followed about making changes to the Talent Show if it happens; possibly having it every other year or breaking it into 2 nights based on grade level. The Birthday Wall is up.
Volunteers Julie Polkinghorn
Julie reported that she still needs chairs for Vision and Hearing as well as Dads at Recess. Sign up genius went out for Picture Day. There was discussion of having a general list for Sign up Genius instead of event by event.

Membership Jennifer Keilin
Not present. Patty and Becky reported that we have approximately 350 people signed up from August and September. Becky has a stack of paper envelopes so probably at approximately 400.
Parent Education Victoria Fritch
“Sleep-What Every Parent Needs to Know” is scheduled for September 30, 2015 at7:00pm. Dea Barnett will be speaking about bell times.
Legislative Rep Kim Clarke
Nothing new to report.

Nothing new to report.
Site Council Risa Garrett
Site Council hasn’t met yet.
Old Business
The financial review was conducted and all went well.Someone is needed to review the monthly financial statements/reconciliations. Victoria Fritch volunteered.
New Business
2015-16 Proposed Budget & Vote
MOTION #1: Risa Garrett moved that we approve the modified 2015-2016 Budget as was presented by Patty Thieme. The motion was seconded and passed unanimously.
Standing Rules Vote
Some changes were made to the Standing rules. Lindsay and Ali will update them on the master copy.
MOTION #2: Risa Garrett moved that we approve the 2015-2016 Standing Rules as modified today. The motion was seconded and passed unanimously.
Board Goals 2015-16
There was discussion over the Board goals and some amendments made. A decision was made to table the vote so that the master copy can be updated and distributed.
Calendar Vote (PTA meeting change dates from October 13 and April 18)
A decision was made to remove the Coat Drive from the current PTA calendar. There was also discussion about whether the next PTA meeting should be on Tuesday, October 13, 2015 or Monday, October 19, 2015. A decision was made to have the next meeting on Tuesday, October 13, 2015.
MOTION #3: Julie Polkinghorn moved to pass the 2015-2016 PTA Calendar with the changes made today. The motion was seconded and passed unanimously.
