Scenario / You work for a business that provides part-time office support staff to small and medium enterprises. Your manager has asked you to produce some training materials for new employees. The training materials will include both written information and videoed demonstrations.
You will need to explain the purpose of the different business support used in these businesses, including how the features and functions of office equipment meet different business requirements. You will also need to explain the organisation and support required for different types of meetings in these two businesses.
Task 1 / The Purpose of Support
You have been asked to prepare training materials for new employees on the contribution that office equipment makes to business support roles. This will include an overview of the role office equipment plays in support staff roles and guidance for new starters on using office equipment and safe lifting techniques.
Research the job roles of support staff from visits, work placements or using case studies. Select two contrasting businesses and prepare a report in which you:
·  identify the type of support provided for each business
·  explain the purpose of this support in each business
·  identify the types of office equipment used (e.g. printers, photocopiers, computers, etc.)
·  describe how using this equipment helps them meet different business requirements including supporting meetings
·  identify any likely problems when using this equipment, stating how this could be resolved
·  analyse how office equipment contributes to business support.
You have been asked to produce training for new employees on the safe use of office equipment and safe lifting techniques. Produce an illustrated booklet using annotated diagrams and photographs covering an explanation of at least:
·  the correct way to use a computer and office chair ensuring correct seating, posture and positioning, following health and safety guidelines
·  how to use the features of an office phone
·  how to use a printer, including how to load new paper and ink
·  how to safely and correctly lift boxes of paper, etc.
To support the booklet, you will be videoed using a range of office equipment, following health and safety requirements and manufacturers’ instructions. You will also be recorded demonstrating how to use safe lifting techniques when using office equipment.
