FIRST ANNOUNCEMENT ANDCALL FOR PAPERS

Organized by: Chow Yei Ching School of Graduate Studies(SGS), City University of Hong Kong (CityU)in conjunction with Graduate School, University of Science and Technology ofChina (USTC)

INTRODUCTION

The 11th PhD Student Workshop 2017 (Suzhou) [第十一届博士生学术论坛] will be organized atUSTC-CityU Joint Advanced Research Centre (Suzhou),from4to 5May 2017. It aims to provide a platform for HongKong and Mainland students of project teams under the Mainland Collaboration Schemes to meet anddiscuss their research findings and the latest advancements in their own disciplines. The Workshop also aims to advance the participants’ understanding of important issues and frontier research in their own research areas.

REGISTRATION

Interested studentsshould complete the Registration Formand SGS13S Form/ Application for Financial Support(details please refer to the part of REIMBURSEMENT ARRANGEMENT FOR TRAVEL EXPENSES)and return them to the Workshop Secretariat on or before 17 February 2017 for registration.

WORKSHOP FORMAT AND CALL FOR PAPERS

The Workshop will consist of oral presentations given by Hong Kong and Mainland student participants and other academic activities. English will be the official language for the entire event. Participants should submit an abstract of about 200 words (including abstract’s title, authors’ names and their affiliations) to the Workshop Secretariat on or before3March 2017via e-mail().

ELIGIBILITY

Students under all CityU’s Mainland CollaborationSchemes

PhD students of CityU and USTC who are not under the Mainland Collaboration Schemes

SPONSORSHIP

Sponsorship will only be provided to support travel and accommodation expenses for students, who will present a paper in the Workshop.All sponsorship applications are subject to the approval of SGS and SGS’ decision shall be final.

For CityU regular PhD students, sponsorship could be obtained by applying for the Conference Grant to cover only the cost of an economy-class return air ticket to travel between Hong Kong andShanghai.The grant so awarded will not be counted towards the quota of Conference Grant. Reimbursement will be made upon the presentation of original receipt(s) and boarding passes after the Workshop on actual expense incurred up to a maximum amount ofHK$3,000 (for flying between Hong Kongand Shanghai), plus¥200 (for inter-city ground transportation between Shanghai airport and Suzhou by bus or train). In applying for conference grant and reimbursement, students are advised to observe “Guidelines for the Award of Conference Grant” as detailed in the Guidebook for Research Degree Studies.

For PhD students under CityU’s Mainland Collaboration Schemes, funding support will be provided for (1) a round-trip economy class air ticket between Hong Kong/Shenzhen/partner universitiesand Shanghai plus ¥200 (for inter-city ground transportation between Shanghai airport and Suzhou by bus or train) , or (ii) a round-trip second class train tickettoSuzhou. Thefollowing table illustrates the funding support for students stationed in various study locations:

Reimbursement will be made upon presentation of two written quotations (applicable to air transportation only), original receipt(s), boarding passes and a copy of presentation paper, after the Workshop on actual expense. The air/bus/trainticket must have a travel date within the valid period from 2to 7 May 2017.Tickets with travel dates outside the valid period will not be reimbursed.

Maximum 3 nights’accommodationwill be provided for eligible studentparticipantsfrom 3to 5 May 2017 (inclusive). Please fill out the Registration Form and return it to the Workshop Secretariaton or before 17 February 2017.

The sponsorship is conditional upon the fact that the speakeris a registered student at CityU at the time the Workshop is held. The sponsorship approved only applies to this specific Workshop and cannot be used for other purposes.

REIMBURSEMENT ARRANGEMENT FOR TRAVEL EXPENSES

Regular PhD students from Hong Kong can obtain sponsorship via application of Conference Grant and the grant awarded will not be counted towards the quota of Conference Grant during the course of their candidature. Students are required to submit a completed SGS13S Form to SGS before 17 February 2017. After the Workshop, students should submit a completed SGS13SR Form, together with the original receipt(s) and boarding passes, to SGS within one month from the end date of the Workshop.Students, who are not able to provide the above documents, will not be granted the sponsorship.

For students under the Mainland Collaboration Schemes, they should apply for the financial support by submitting a completed Application for Financial Support to SGSor via e-mailto (for students studying at partner universities) before17 February 2017. After the Workshop, students should submit a completed Disbursement Claim Form, together with the original receipt(s) and boarding passes, to SGS within one month from the end date of the Workshop. Students, who are not able to provide the above documents, will not be granted the sponsorship.

Highlights

In order to encourage high quality of presentation, the oral presentations given by students will be assessed by the Panel Chair. The assessment and comments will be channeled back to the CityU research supervisor. The“Outstanding Presentation Award” will be introduced.

REMARKS
