Starting September 1st the 855 numbers will go live and an extension will be assigned to each field territory

Telecommunication Expense Reimbursement

  • The Telecommunications Expense ReimbursementProgram will begin September 1, 2012 reimbursement maximums are as noted below depending on whether or not your phone iscurrently under contract.
  • Reimbursement will be through your normal T&E expense process, by using a new field called Monthly Telecom and must be supported by receipts as you would normally for cash expenses.
  • If you are not going to be using your company issued cell phone going forward please send it back to GSF Tech Support in Mason.

If your phone is still under contract

  • Those still under contract will be allowed to submit receipts for reimbursement up to $45 a month to cover all non-cell phone telecommunications expenses. All telecommunications expenses submitted for reimbursements must be supported by receipts as you would normally for cash expenses.
  • You will be required to continue with the Cengage Learning contract through the end of the contract period
  • Your contract expiration dates is on the attached spreadsheet
  • You will be allowed to expense up to $45 each month until the end of the contract
  • When the contract on your line expires you will be able to assume the responsibility and billing of the phone number or seek out your own plan going forward.
  • If you want to replace your current phone with a newer model, but are still under contract
  • We will release the liability of the phone line to you, and you will become responsible for paying the bill
  • Once it’s transferred you can purchase whichever phone and plan that you wish to use on that line.
  • AT&T, Verizon, and Sprint offer discounts to Cengage Learning employees. Please see the attached information for more details.
  • If your phone is inoperable and is currently under contract call GSF Tech Support
  • If the phone has been under contract for less than 12 months, it would be covered under warranty and the carrier could then replace it.
  • If the phone is outside of the warranty and still under contract, or if the damage to the phone is not covered under warranty, the sales person will need to send the phone to GSF Tech Support. If we have a used device in stock, we will replace the phone from stock.
  • If a spare phone is not available we will release the liability of the line to the sales person and a device would need to be purchased at your expense. You then move to a maximum of $90 monthly reimbursement.
  • If your phone is inoperable and you want to replace it with something other than a Cengage Learning phone call GSF Tech Support
  • You will have the option to roll the plan out to self-payment, replace the phone at your expense and move to a maximum of $90 monthly reimbursement

If your phone is not under contract or you were never under contract

  • Members of the sales force who have been on a company phone contract longer than two years or who were never under contract will become responsible for all their telecommunications bills going forward (ie: cell phone, home internet, home office land line, etc…).
  • You will be allowed to submit receipts for reimbursement of telecommunications expenses up to $90 a month.
  • All telecommunications expenses submitted for reimbursements must be supported by receipts as you would normally for cash expenses.
  • All telecommunications related charges will then be the responsibility of the sales person, including the purchase of new equipment (ie: cell phone, home internet, home office land line, etc…).
  • If an employee wants to keep their current Cengage Learning phone and phone number
  • We will release the payment liability to you and you can continue with the Cengage Learning Plan and phone number, however you are responsible for paying the bill
  • Once it’s transferred you can purchase whichever phone you wish to use on that line
  • If an employee wants to begin using their personal phone, but keep the Cengage Learning number
  • If your personal phone is activated, you are responsible for that contract and any early termination fees
  • If you have the same cell phone carrier you can port the number over to your personal phone and continue to use the Cengage Learning number
  • Again you are responsible for any fees associated with that move
  • Send back the Cengage Learning phone to GSF Tech Support

Equipment – Phones and Blackberries

  • If an employee wants to keep their current phone or Blackberry they may do so
  • They become responsible for payment per what is outlined above, but can keep the equipment
  • Company email will only be accessible from their iPad
  • Therefore all Blackberry devices will be wiped from the Blackberry server to clear all corporate data from the phone. This is a complete restart of your phone and it will erase all corporate and personal email, contacts, notes, and calendars from your phone.

Cengage email on personal smart phones

  • Cengage will not facilitate this
  • We provide an iPad for email
  • Webmail may be accessed from a smartphone when necessary
  • Cengage will not provide technical support for non-company phones
