Position: Administrative Secretary

Hours of Work: Monday to Friday 37.5 hours
As an integral member of the Medical Imaging department the Administrative Secretary exercises considerable judgment and independence to provide complex secretarial and administrative support services to senior professional personnel.
DUTIES INCLUDE:
  • Coordinates and maintains written and/or electronic calendar/schedule of assigned personnel, including: Coordinating, scheduling and confirming appointments and various other activities for senior professional personnel.
  • Utilizes advanced functions to provide word processing/typing services to facilitate the production of complex documents/materials
  • Coordinating, delegating and/or reviewing work assignments of lower-classified secretarial position
  • Performs financial functions as assigned
  • Ensures efficient operation of the office
  • Develops, organizes and maintains electronic and paper information filing/retrieval methods, systems, or formats
  • Performs cross-functional responsibilities, as required
  • Performs other duties consistent with the job classification, as assigned

Qualifications/Skills:
  • Mastery of MS Office applications including Excel, Outlook, PowerPoint and Word skills are a must
  • Five (5) years related secretarial support experience
  • Completion of a recognized business post secondary secretarial arts program at the diploma level
  • Completion of Grade XII or recognized equivalent
  • Ability to work well under pressure, unsupervised and use good judgment in assessing difficult situations
  • Proven attendance record
  • Ability to maintain confidentiality
  • Ability to produce high quality work in accordance with Hospital standards
  • Comprehensive knowledge of health care, organizational/office practices, procedures and standards
  • Excellent verbal and written communications skills
  • Excellent organizational and time management skills that would compliment well developed interpersonal and customer service skills, including the ability to handle multiple projects simultaneously
