Duty Hours

Resident’s Primer

It is the personal responsibility of each resident to be in compliance with the ACGME Duty Hour requirements and to log them 24/7/365 to document such.

The ACGME requirements can be found here:

Duty Hours are

  • to be recorded at least once a week
  • due Tuesday at 8am for Mon-Sun of the previous week
  • may be checked for compliance at any time after that

Compliance is

  • also required as part of the House Officer contract
  • noted in each resident’s permanent file which documents the Professionalism competency

Guidelines:

  • log Duty Hours for vacation BEFORE leaving. Log as “vacation/leave” only what would be working hours: not 24 hours.
  • log work location/clinic site: it matters whether you are at OCF-Baptist or OCF-Jeff Highway, for example.
  • Use the turquoise category for travel to and from clinic/surgery

Weather-related Entries:

  • if at home because the site was closed, treat like a weekend or any other day off (leave blank).
  • If at a facility –actively working (seeing patients, working on charts, etc), record as working time (clinic).
  • If at facility – not actively working, record as regular time off (leave blank).

Using the App:

Be sure to synchronize! It should only take a few moments for the website to update with information from a smartphone once the information has been synchronized.

Subject: News to be thankful for...... duty hours

Dear All

I have had several communications with our GME office regarding duty hours. At this time, our program will begin to log duty hours at a minimum of at least once per week. All duty hours must be logged and up-to-date by each Tuesday at 8am. The program will monitor your duty hour logs at this time. This should make it easier for most to get their duty hour logs completed. Please make it your responsibility to get your logs done by this time. I do not anticipate that it should be necessary for me to send a weekly reminder. Please note that I will now have less tolerance for those who have not completed their logs in a timely fashion. This is a large task for all of us. Please help the program and myself to get it done efficiently. Yet, I would suggest that you may want to log in once or more during the week to truly capture your worked hours. Long clinic days, add-on surgeries, call, etc. can make it difficult to remember each 24 hour period.

Also, let me respond to an issue raised at our last session regarding duty hours----It is the sole responsibility of each individual to log their own duty hours. We do not have any other programs on our campus logging in hours for their residents. Although, we can assist you if an error or correction needs to be made within your log.
