Atmosphere, style and perception are, to a growing extent, important elements for many exhibitors when setting up their stands – elements, that are prompted by the customer who has become increasingly sensitive to the atmosphere of the fair he or she is visiting. And as customers have become increasingly spoiled through the years they now will have to be tempted increasingly. Therefore, a visit to the fair must also be seen, increasingly, as a 'total experience'. A pleasant atmosphere and an attractive stand will enhance the experience of our visitors.
However, we have found that not every table is provided with a proper table covering. A table/stand that does not have a sufficient cover (both at the front and at the back of your table set-up) looks messy rather quickly: packaging, boxes, crates, camping bags, Thermos...... Even visitors do see this; we must collectively prevent a Dolls- and Teddy-Bear Fair to resemble a 'flea market'. How would you yourself feel being confronted with a messy and unprofessional set-up? Cherish your image: cleanliness, friendliness and appearance will definitely increase your sales!Required: Tablecloths should, to a minimum height of app. 20 cm. extend above the floor, in front and back of your table!
On a fabric market crease-resistant fabrics are for sale for around € 2, -50per meter, or search, e.g. on Google for "Velours de Panne" that does not crease and is also cheap and available in all colours. Please note: Above guidelines need not apply to your situation; they are meant as a general appeal to keep order and cleanliness at the fair in mind.
General Conditions (2 pages) deposited at the Chamber of Commerce Gooi-Eem-Flevoland
By filling out the registration form I will also agree to the General Conditions for participants regarding the dolls and teddy bears fairs in the appendix (2 pages). Please read the conditions carefully, because when everybody is amicable and observes these rules, everything will run smoothly and pleasantly at the fairs.
These conditions are applicable to all agreements with Show vendor NIESJE WOLTERS VAN BEMMEL, Postbus 14, 8160 AA, Epe, the Netherlands – concerning the participation in dolls- and teddy bears fairs. The agreement between the organization and the participant will come about by filling out the (online) registration- or application form, intended for that purpose, by which the participant states that he/she is familiar with and accepts the participation conditions described in here. Participant is also responsible for all persons he or she brings and/or invites to the fair to help set up/break down and/or to be present during opening hours at the stand. Participant needs to inform those people beforehand on the participation rules.
As to two day-fairs, you can only sign in for both days.
You need to make sure that your stand in any case will be ready 30 minutes before opening. At certain fair locations there is not much room nearby so please be amicable and remove your car as soon as you have unloaded your things and before you start arranging your table.
Your stand arrangement and your personal belongings are not insured through the organization or location manager, you need to take care of that yourself.
The organization of the dolls- and teddy bears Fair is never liable for personal injury/damage, theft, loss suffered in or around the fair location (including parking area).
Please bring along your own tablecloth. For fire safety reasons the cloth must hang ca. 20 cm from the floor. Make sure your stand looks tidy; boxes and crates should not be visible to the public.
On your application form you can indicate optionally whether you wish to stand beside a certain colleague (or rather not). The organization decides on the floor plan of the stands. There can be no correspondence on the definite allocation of the stand place. You can apply for extra demonstration space next to your stand, but it will only be granted if there are meters available. A demonstration meter is only to be used for demonstrations. Commercial selling of products from this space is not allowed and these products are also not allowed to be shown on the table. Selling should only be done at your sales stand. The organization will keep an eye on this!
Fair specialsWe advise our stand holders to make visitors a special fair offer. This can be done in several ways, like a special discount only valid during the fair. A discount coupon can, after approval from the organization, if necessary also be included in the Newsletter, free of charge. Please ask us for more information.
Exhibitors are not allowed to:Smoke - use burning wax lights or candles as decoration on the stand - put flyers or other commercial material in or outside their own stand on pillars, walls, ceilings, rafters etc. of the fair location or to spread commercial material for companies who do not have stand space at the fair and/or other fair organizations, without consulting Niesje Wolters van Bemmel beforehand.to damage property of the hall. You will be held liable for damage you inflict upon others
-To avoid any inconvenience for stand holders and visitors no dogs are allowed, nor are small children of the exhibitor ( up to 12 years) permitted. Please call if you have a problem regarding this matter.
IMPORTANT: One is only to start clearing the stands after the fair has closed . You are not allowed to leave, clear or break down your stand before 16.00 The organization will keep a strict eye on this as observing this rule is firstly out of respect for your co-participants, the organization of the fair and the visitors who are entitled to see everything until the official closing time. Also, observing this rule will benefit the atmosphere and quality of the fair. If you choose not to observe this condition, the organization will deliberate on your participation in future fairs.
Extending?Placing tables or tabletops brought in by yourself to extend your stand is officially not permitted, but is allowed only if you’re stand is near the wall, or if that is not the case, after consulting your fellow exhibitors. Under no circumstances should extending your stand lead to discussion or misunderstandings. Extending your stand is definitely not permitted towards the clearance or lengthwise. Do keep in mind that after extending your stand you have lost your own walking space behind the stand, you are not allowed to make use of the walking/standing space of your colleagues around you. As soon as people start complaining about this, you need to restore your stand to its original state, without any discussion.
Electricity: In case you make use of electric equipment, you need to provide reels, multiple sockets and/or other necessary connections. Also the cables need to be taped to the floor and reels need to be rolled up fully, for your own safety and the safety of our visitors. Attention: everything needs to be earthed! Installation must comply with the regulations in accordance with NEN1010. Use cables with a diameter of 2.2 mm. Floodlights, water boilers or other large users of electricity are not allowed to be connected to it.If you are standing in the middle/the square of the hall (which is not known beforehand), do take some tape to stick the cable to the floor. If the fair has ended, remove the tape from the floor and leave no traces. Attention: you are liable yourself if people fall or trip over your cables.
Rubbish: Participants to the fair need to make sure that the hired stand area is left in the same state as how you found it when you started setting up the stand. This also goes for the floor. Packing material, lunch leftovers, etc need to be taken home, nothing is to stay behind. (Tip: bring along a rubbish bag). You will be charged for everything left behind!Payment and cancellations: At the ‘local’ fairs the rent for the stand will be picked up between 9.00 and 10.00h at your stand. Please make sure you have the exact amount of money owed ready. You will be sent an invoice in advance.
