Distracted Driver Simulator Procedures & Expectations

This document outlines the procedures that organizations must follow to borrow the distracted driving simulator. Successfully following these rules will determine whether organizations can continue to use this free education tool in the future.

Step 1: Submit an online request form to the Ohio Department of Transportation. This form is reviewed by ODOT staff to determine if a simulator is available. ODOT focuses exclusively on high schools, fairs and large public events with a high probability of reaching young drivers or raising public awareness. We do not schedule the simulator for company training events.

Step 2: ODOT staff will send the event organizer an email to acknowledge acceptance of the request and to outline the day, time and location for simulator pick-up and return. Event organizers and ODOT staff can negotiate dates and times as necessary.

Step 3: Event organizers are responsible for calling ODOT contact at least two weeks in advance to confirm pick-up and delivery arrangements.

Step 4: The individual taking possession of the simulator must sign and date the Simulator Checkout List. This form indicates the borrower is responsible for returning the items listed in the same condition they received them. This includes but is not limited to the following:

  • Power, USB, VGA and other related cords attached to the frame should be wrapped neatly in a bungee cord and protected during transportation.
  • Speakers, mouse, and keyboard are to be disconnected and neatly placed withinthe plastic container provided by ODOT.
  • Monitor and CPU are to be gently placed in their respective cases with no externalattachments.
  • Screws for the monitor are to be placed in the foam padding alongside themonitor in the case, but not in the monitor itself. Screen should be face up.
  • Steering Wheel is to be left on the table unit as is.
  • Simulator is clean and ready for the next event.

**Note: The simulator must always be used under adult supervision and stored in a dry, secure place. It also must be transported in a manner that protects it from damage, including wind and rain. The borrower may be asked to repair or replace any parts damaged by abuse or neglect. ODOT will be responsible for equipment damage or failure due to routine use.

Step 5: Instructions for set-up are provided in the plastic tote. If technical difficulties arise, please do not attempt to take apart or fix any of the equipment. If restarting the computer does not solve the problem, please call Grant Lubyat (614)728-2543 or Jenna Weltyat (614)728-9255.

Step 6: ODOT staff will review and sign the checklist to confirm that all the equipment has been returned clean and in good working order – ready for the next event.If something is missing or damaged, ODOT staff in the district or Central Office (overseeing thereturn) must notify the event organizers to locate the missing items or resolve any damage. If theevent organizer or district fails to follow the procedures, they will no longer be considered forsimulator use.
