Copy Buckets

Copy buckets are used to make batch changes in the Copy Editor to item information. They are also used to batch delete items from the system, place a group of items on hold, show their statuses, or transfer them to a particular volume (call number).

Creating a New Copy Bucket

To create a new copy bucket, open the Copy Bucket Manager using the Cataloging dropdown menu from the main portal page, and choose Manage Copy Buckets.

Alternatively, choose Copy Buckets from the Item Search and Cataloging column on the portal page.

To create a new bucket, click the New Bucket button in the Bucket View (lower) section of the page. A dialogue box will open and you can name your bucket.

After clicking OK, the name will appear in the dropdown list and will display in blue in the Bucket View area, along with a bucket number and the bucket owner (workstation login).

NOTE: You can also create buckets by adding a copy to a new bucket (see below).

Adding Copies to a Bucket

Add copies to a bucket from either Holdings Maintenance, Item Status, or Pending Copies in the upper section of the Copy Bucket Manager.

From Holdings Maintenance:

Search for the item you want to add to the bucket, and open it in Holdings Maintenance. Highlight the copy (barcode) line you wish to add, and right-click or go to Actions for Selected Rows and choose Add Items to Bucket.

A new window will open listing available buckets. Highlight the correct bucket and click Add to Selected Bucket button. If the Copy Bucket Manager is still open, click the refresh button on the page to see the item in the copy bucket.

You also have the option to create a new bucket from this window by clicking the Add to New Bucket. After you click, you will get another pop-up window asking you to name the bucket.

From Item Status:

Add the item to Item Status and highlight it. Right-click or go to Actions for Catalogers and choose Add to Item Bucket.

As with Holdings Maintenance, a new window will open for you to choose the correct bucket or create a new one.

From Copy Bucket Manager:

Scan or type the barcode of the item(s) to add to the bucket into the Barcode box in the Pending Copies (upper) area of the Copy Bucket Manager. Continue until you have added all the items to the Pending Copies list.

Use the Add All button to add all pending copies to the bucket. If you only want to add some of the items, highlight them using Shift or Ctrl and click on the Add Selected button with the down arrow.

The items will continue to display in the Pending Copies area until you close the Copy Bucket Manager. When you reopen the Manager, they will no longer be displayed.

Viewing Copy Buckets

To view a copy bucket, open the Copy Bucket Manager and use the dropdown menu in the Bucket View (lower) section to select the bucket you want to view. The bucket contents will then appear in the Bucket View area.

Copying Copy Buckets

There is no direct way to copy copy buckets. However, you can open the copy bucket you want to copy, highlight the items you wish copied to another bucket, then click on the Add Selected button with the up arrow. This action adds the items into the Pending Copies area. Note that this action does not remove the items from the original bucket. To remove items, see Removing Items from a Bucket, below.

You can then choose the other bucket to which you want to add the items (or create a new one) and click on the Add All button or the Add Selected button with the down arrow.

Using Batch Function Tools

The batch function tools are found at the bottom of the Bucket View (lower) area in the Copy Bucket Manager. NOTE: These batch function tools affect all the records in the bucket, regardless of which records are highlighted.

Show Status:

This button takes you to Item Status and lists all the copies in the bucket. You can then perform any of the Item Status functions.

Transfer to Specific Volume:

This button transfers ALL items in the bucket to a single volume (call number). You must FIRST, however, mark the volume as the Item Transfer Destination in Holdings Maintenance. A window will open allowing you to verify that the correct volume has been marked. Click Transfer to complete the transfer. Once the transfer is completed, the new call number will display in the copy bucket view.

Edit Item Attributes:

This button opens the Copy Editor. Any changes you make will be applied to ALL copies in the bucket. To save the changes you make and close the Copy Editor, click on Modify Copies.

Delete All from Catalog:

This button deletes ALL the items in the bucket from the catalog. This does not delete the volume (call number) records. You must be in Item Status (see Show Status above) to delete the volume records. The good thing about using this feature, rather than deleting items individually, is that you can go back to the bucket and quickly see what you deleted.

Sharing Copy Buckets

To retrieve a shared bucket, you must know the number of the bucket. Choose Retrieve shared bucket from the Bucket View dropdown menu and enter the bucket number in the pop-up window that appears.

You can use the batch function tools at the bottom of the screen on a shared bucket but you may not add or remove items from a shared bucket.

Removing Items from a Copy Bucket

To remove items from a bucket, open the bucket, highlight the items to remove, and click the Remove Selected from Bucket button. When you click it, the item is removed—there is no chance to confirm or change your mind, and the items do not move up to the Pending Copies area.

Deleting a Copy Bucket

To delete a bucket, open the bucket and then click the Delete Bucket button. This action gets rid of the bucket. It does not delete the copy (item) records from the system. It is best to remove the items from the copy bucket before deleting it, but the system will allow you to delete it with items still in it.

A pop-up window will appear to confirm the delete. Click on OK to do so.
