CLASS PARENT/CLASS COORDINATOR POSITION

Class Coordinator (CC):

There are two to three CCs assigned to each grade level. Responsibilities of the position include, but are not limited to, the following:

  1. CCs, along with CPs, may plan and organize class parties as well as take an active part in any grade level functions. The CC should notify the CPs and the teacher of his/her desired level of participation.
  2. Throughout the year, you will be informed of any changes, additions, and deletions to the class lists. You must inform all the CPs in the affected class of any of these changes.
  3. CCs are the first substitutes for any field trip when a class parent cannot attend.
  4. CCs must attend at least the September, January, and May PTA meetings.
  5. CCs may be called upon to send class specific or grade level communications via e-mail. In the event a family has not given their e-mail address, please contact the assigned CP, so they may phone the family and verbally give the communication.
  6. In the rare event that the Swift Reach Notification System cannot be activated, the Class Parent Committee may be called upon to activate a manual phone chain (please refer to pages 4 and 5 in this information packet for instructions).

Class Parent (CP):

There are three CPs assigned to each class. The responsibilities of each CP include, but are not limited to, the following:

  1. CPs must use the enclosed class list that has been divided, in alphabetical order, equally between all 3 CPs.
  2. CPs are responsible for sending a Welcome Letter (found on the PTA Website) to each family assigned to them.
  3. Throughout the year, CPs are responsible for contacting each family assigned to them with any classroom activity information that needs to be communicated.
  4. CPs are called upon to plan and organize class parties, collect class party money at the beginning of the year, attend field trips and field day. CPs should include CCs who wish to be included in planning classroom parties.
  5. Throughout the year, your CC will inform you of any changes, additions, and deletions to your class list. For additions, the corresponding grade level coordinator will determine which CP will be responsible for contacting the new family regarding classroom activities and for sending a Welcome Letter.
  6. If a CP is unable to attend a field trip, the first substitute asked should be your CC assigned to that class.
  7. CPs for each class must work together.
  8. Some grades have annual events that you will be called upon to help organize.
  9. CPs must attend at least the September, January, and May PTA meetings.
  10. In the rare event that the Swift Reach Notification System cannot be activated, the Class Parent Committee may be called upon to activate a manual phone chain (please refer to pages 4 and 5 in this information packet for instructions).

CLASS ROOM RESPONSIBILITIES - CLASS PARENTS

Parties

  1. The teachers will ask the CPs to plan class parties. Arrange a meeting with your teacher to discuss the party schedule and any plans the teacher may have. Invite the CC if their child is in the class and they wish to be included in the planning.
  2. You will be collecting money from each student in the class to be used for parties during the year. The sum of $25.00 will be collected from each student in all grade level classes throughout the school. You can then plan accordingly with your teacher’s input.

Please Note: No additional monies will be collected for classroom activities. Budget accordingly and responsibly throughout the school year to utilize all class party money. Under no circumstances should class party money be used towards a teacher’s gift.

  1. The class parents can decide if they want one parent to be in charge of holding the money and keeping track of receipts, or if the class money will be split three ways and managed by each class parent.
  2. The Welcome Letter should be used for this purpose. Prior to each party you may call the parents and ask them to assist in whatever you will need.
  3. CPs must adhere to the school’s Nutritional Guidelines when planning parties.

Field Trips

In most cases, you will be needed to accompany the class on field trips. If any CP is unable to go, the CC should be given the opportunity to go in your place regardless of whether or not the CC’s child is in your class. If that CC is unable to go or declines to go, the teacher should be notified to find a replacement. Anyone accompanying a class on a field trip MUST abide by all rules established by the faculty.

Special Events

In the spring, each grade has a Field Day. CPs are asked to help out. In addition, you may be called upon to help with other events, such as the Fifth Grade Class Coordinators/Parents being responsible to help plan and staff the Sixth Grade Graduation Breakfast and Reception. If you are unable to assist, you should follow the same procedure as Field Trips for a replacement.

Teacher Gifts

Collection of money from the entire class for a teacher gift at the holidays or at the end of the year is at the discretion of the CPs and is strictly voluntary. The CPs should discuss their preferences amongst themselves. No more than $10.00 should be collected per year for the purpose of a teacher gift. Collection of money from the entire class for a gift to the classroom aide is also permitted with a limit of $5.00 per year. There will be no other collections of money for gifts to personnel.

Please Note: Class party money should not be used for Teacher’s Appreciation gifts, nor should a separate collection be taken up for this purpose. It is up to each individual family to decide how/if they would like to acknowledge their teacher(s).

MANUAL PHONE CHAIN INSTRUCTIONS

CLASS COORDINATORS

  1. You will be the first one called by your Grade Level Committee Member of the PTA Class Parent Committee when the phone chain is activated.
  2. You will then immediately call the CPs assigned to you and give them the message. Please remember to call the CPs in all classes assigned to you.
  3. In the event that you are not able to reach any one of your CPs that are assigned to you, you should then make their phone calls. Class lists for the classes that are assigned to you are contained in your folder.
  4. Throughout the year, you will be informed of any changes, additions, and deletions to the class lists. You must inform all the CPs in the affected class of any of these changes.

CLASS PARENTS

  1. As soon as you receive the phone message from the coordinator, you are responsible for contacting all students assigned to you.
  2. Throughout the year, your CC will inform you of any changes, additions, and deletions that need to be made to your class list.
