Re:COEUS: Financial versus Recognition Credit

The College of Arts and Sciences seeks to obtain accurate data that properly recognize the funded research activities of its faculty. The introduction of COEUS provides additional information that was not available from the old Campus Impact Statement system by separating financial from academic recognition credit.

COEUS has two fields on its crediting page: Financial Credit and Recognition Credit. Financial Credit determines which campus units get a portion of the indirect cost and what percentage of the returned funds go to each unit. Recognition Credit is not related to indirect cost return or any other financial matters. It reflects the academic department appointment of faculty engaged in funded research.

When completing the COEUS form, we ask that faculty complete the fields in the column for academic Recognition Credit in addition to the already required Financial Credit fields. This will allow the College to track the funded research activities of faculty by department.

Examples on the next page illustrate the following instructions. Please note that the terms used in the examples are the same as in COEUS. Shaded cells are computed by the COEUS program.

In the section of COEUS titled Credit Split, in the column for Recognition Credit, CAS faculty should credit their home (primary department) department with 100% (Example 1). If the PI splits the Financial Credit with a second Center or Other Department, all the Recognition Credit still goes to the home department (Example 2: enter 100% next to home department). However, if the PI’s faculty line is financially split between two departments, which is very rare, the PI may split the Recognition credit also by entering percentages next to Home Department and Other Department so that together the percentages sum to 100. If there are multiple investigators, and the Financial Credit is split among them, then each should assign all recognition credit to their home department (again unless the line is financially split). Example 4 shows a PI, labeled Faculty 1, who splits the financial credit 90 to 10 but assigns all recognition credit to the home department. All the shaded fields add to 100. If Financial Credit for projects is split with institutes or centers, the faculty member will still assign 100% of the Recognition Credit to his/her home department.

These rules only apply to CAS faculty. Co-investigators or key personnel from other UAlbany Colleges/Schools may have different rules for apportionment of academic Recognition credit. For complicated situations and any other questions, please feel free to contact the CAS Dean’s office for help (442-5761).

Four Examples for allocating Financial and Recognition Credit using COEUS
Credit Split Panel / Case / Recognition Credit / Financial Credit / Notes
Example 1 / Faculty line entirely in one department
Faculty 1 / faculty name / 100 / 100 / One department credited. All credit given to Home Department.
Home Department / 100 / 100
Unit Total / 100 / 100
Investigator Total / 100 / 100
Example 2 / Faculty line entirely in one department; financial credit is split
Faculty 1 / faculty name / 100 / 100 / Financial credit goes to Home andCenter or Other Department. Recognition credit goes to Home Department unless faculty line is split. If faculty line is not split with another academic department, allocate all Recognition credit to the Home Department.
Home Department / 100 / 70
Center or Other Department / 0 / 30
Unit Total / 100 / 100
Investigator Total / 100 / 100
Example 3 / Faculty line (financial line) is split between two departments
Faculty 1 / faculty name / 100 / 100 / Financial credit goes to Home andOther Department. Recognition credit goes to Home Department and the Other Department "owning" the faculty line.
Home Department / 50 / 70
Other Department / 50 / 30
Unit Total / 100 / 100
Investigator Total / 100 / 100
Example 4 / Multiple investigators with a combination of features in Examples 1 & 2 above
Faculty 1 / faculty name / 50 / 50 / Financial credit goes to Home andCenter or Other Department. Allocate all Recognition credit to the Home Department.
Home Department / 100 / 90
Center or Other Department / 0 / 10
Unit Total / 100 / 100
Faculty 2 / faculty name / 30 / 30 / Financial credit goes to Home andCenter or Other Department. Allocate all Recognition credit to the Home Department.
Home Department / 100 / 90
Center or Other Department / 0 / 10
Unit Total / 100 / 100
Faculty 3 / faculty name / 20 / 20 / Financial credit goes to Home andCenter or Other Department. Allocate all Recognition credit to the Home Department.
Home Department / 100 / 50
Center or Other Department / 0 / 50
Unit Total / 100 / 100
Investigator Total / 100 / 100
