BUSINESS TRAVEL POLICY

  1. RAIL TRAVEL

All bookings need to be made via the Office of the Police and Crime CommissionerExecutive Services Team, by completing an electronictravel requisition form with full details of the journey. The completed form should then be emailed through to the Executive Services Assistants.

(Please note that travel arrangements for the Chief Executive, Police & Crime Commissioner, Deputy Police and Crime Commissioner and the Chief Finance Officer will be organised by Amy Davies and Karen Carrington).

Tickets will then be booked online using one of the recognised rail booking sites, such as:

In order to obtain the maximum price discount, tickets should be requested/ purchased as soon as the requirement to travel has been authorised.

Standard class ticketsshould be purchased, unless a special discount schemes applies which make first class tickets available at the same or lower cost than their standard equivalent.

In most cases, advance tickets for specific trains should be purchased, rather than booking an 'open return' ticket, as this is a more expensive option. It is acknowledged that this may result in an officer having to leave a meeting which has over-run.

If your travel arrangements change, please could you inform an Executive Services Assistant as soon as possible to enable a refund to be obtained, or for any tickets to be transferred.

2. HOTEL ACCOMMODATION

If you need to book overnight accommodation, please ensure you seek a competitive price and look for those hotels which provide a government rate discount.

3.AIR TRAVEL

Air travel must be in either tourist or economy class.

Officers can obtain cost effective air travel by:

  • Planning travel well in advance wherever possible - this will ensure the best prices are obtained.
  • Planning travel with as much certainty as possible - 'open' tickets are expensive and should be avoided.
  • Utilising Apex fares wherever possible - this will reduce costs.

Excess Baggage

Excess baggage caused by the necessity of taking items for business reasons must be authorised by the Chief Executive or the relevant Section Head in his absence.

  1. MILEAGE RATES FOR STAFF

Officers classified as either a casual car user or essential car user, may claim mileage in respect of journeys carried out for business purposes.

Allowances for alternative transport methods

Separate allowances are available for officers travelling by Moped, Motorcycle or Pedal Cycle, details of which can be provided on request from the Office of the Police and Crime Commissioner’sExecutive Services Team.
