Conditions of Hire

Bookings
An application form must be completed, signed and forwarded to Joel Gallery prior to the date of the booking.

After reading & signing the application for hire form, the hirer agrees to comply with the Louis Joel Art Centre conditions of hire.

Please note that you will be agreeing to the conditions of hire for all members of your group and it is your responsibility to make all members aware of the said conditions.

Advance bookings are required to ensure that Joel Gallery is available.

All new hirers must undertake and OH&S induction prior to the commencement of their booking/s. All regular hirer must attend an Emergency Evacuation Training Session.

Alterations to bookings must be reported to theGallery Manager immediately.

Joel Gallery reserves the right to vary the fees and charges as set out in Joel Gallery hire rates at any time without notice.

Cost
The cost of the gallery for the two week period is $880 including GST. Exhibitions always have a bump in on a Friday with the exhibition launch being the Friday night at 7.00p.m. Please contact the Gallery Manager to discuss bump in times.

$250 for invite printing – 1,000 DL invites and includes design work. Talk to us at least six weeks before the exhibition opening to organise these. If you prefer to print your own invitations we reserve the right to approval and require a draft prior to printing.

Gallery Catering Packages are available for your launch, please refer to the attached information.

Commissions
Our commission is 20% plus GST. Please allow for the commission when setting your prices, please ask us if you need assistance. All sales made during the exhibition will be subject to our commission. Our commission rate is quite low so we expect that sales will go through the gallery and that the artist will not enter into arrangements with potential purchasers to sell work intended for the exhibition to them prior to or after the exhibition.

Gallery Sitting
Exhibiting artists are expected to gallery sit on the weekends. Full explanation of eftpos facilities, payment options, keys, alarm and security instructions will be given prior to the exhibition. The Gallery Manager and administration staff and volunteers are available through the week to assist you.

The exhibition launch
Catering packages are available. Think about whether you would like to have an invited guest to open your exhibition and make a speech or whether you wish to make a speech, it is always a nice touch for the artist to have a chat and people are genuinely interested in you and your work therefore we encourage artists to do a short talk or speech. This does not have to be long nor do you have to do it but it is nice.

Deposits and Payments/Security Requirement
Gallery bookings will not be confirmed until we receive a deposit of $100.

Joel Gallery encourages creativity and innovation, please discuss your requirements with the Gallery Manager but please be aware that significant damages to walls and fixtures must be paid for by the artist.

A $100 key bond is required on receipt of all gallery keys. This bond will be refunded post exhibition, following return of keys.

Full payment of gallery fees are required one month prior to the date of installation. At this time the Exhibitor will be provided with full instructions on opening and closing of the gallery and any other processes for the successful running of the exhibition.

Cancellation of Bookings
Gallery Hirers - $100 deposit will be retained if exhibitions are cancelled less than three months prior to set up date.

Gallery Hirers – full payment will be charged if cancellations for exhibitions are received less than 28 days prior to set up date.

Installation
Exhibitors are responsible for the hanging & installation of the exhibition and the de installation of work at the end of the period of hire. Installations & de installations begin at the negotiated time and date.

The hanging system available is not complicated to use and will be demonstrated. The exhibitor must not use double sided tape or glue to install the work. Velcro may only be used if it is stapled rather than stuck to the wall.

Gallery equipment
Additional equipment is available for use in the installation of your work. Please see the attached list for what is available.

Gallery environment
Artists with an audio component in their work need to be considerate of other groups working within Joel Gallery when selecting volume.

Storage
Joel Galley does not have the capacity to store exhibitors work or equipment prior to or after the exhibition.

Intellectual property
The exhibitor agrees that Joel Gallery may use the information provided for the invitations and promotional material plus any other images of work to promote the exhibition or the artist.

Damages to Persons/building/equipment
The fittings & fixtures must not be broken, pierced by nails or screws or in any other way damaged.

The exhibiting artist will be liable for any costs incurred by Joel Gallery.

In the event that the Joel Galley building, floors, fittings, furniture or equipment is damaged to such an extent that it affects another hirers use of Joel Gallery or requires a booking to be cancelled, the hirer will be liable for all costs and losses incurred by Council (including the costs of repairing such damage), refunds of deposits, hiring fees and other loss of revenue.

No notice, sign advertisement, fittings or decorations of any kind may be erected without the prior consent of the Centre Management.

Joel Gallery shall not be liable for any loss or damage sustained by the artist.

Joel Galleryprovides no insurance cover for loss or damage of working in transit or whilst on our premises. Joel Gallery personnel are not liable for the loss, damage or theft of articles entrusted to the hirer whilst at Joel Gallery.

The hirer hereby indemnifies Joel Gallery and its staff against any claim by any such person, firm or corporation in respect of such articles.

Minors/Supervision of Groups

A responsible adult must supervise children at all times. In the interest of safety, children are not allowed to run or play in Joel Gallery.

A responsible adult must be in attendance if appliances are to be used by your group.

A hirer utilising the services of persons under 18 years of age to operate equipment shall have the written consent of the persons parent/guardian to do so.

Consumption of Liquor

No alcoholic beverage of any kind shall, directly or indirectly, be sold in Joel Gallery without the appropriate license, a copy of which must be lodged with the the Gallery Manager prior to the date of hire. Application should be made to Liquor Licensing Victoria . Notwithstanding Centre Management reserves the right to require the distribution of liquor to be temporarily or permanently suspended during any function.

The hirer at the cease of the function must remove all bottles and cans, where alcohol is served.

Smoking

Smoking is not permitted in any part of Joel Gallery or within 10 metres of doorways, air intakes and open windows.

Fire & Health Regulations
No open flame (including candles and incense), kerosene or spirit type lamps shall be used in any part of Joel Gallery. Fire extinguishers are not to be relocated or obscured.

Communication
Please talk to us if you have any issues, concerns or questions. We want you to have the best possible exhibition for your sake and ours.

Checklist

  • Write down your exhibition dates in your diary
  • Have a title worked out and one good high res photo ready at least three months before your exhibition
  • If you want to design your own invite, approach us maybe two months before the exhibition
  • Have extra photos ready about three weeks before the exhibition
  • Write artist statement, update CV and maybe prepare some publicity blurb at least three weeks before the exhibition
  • Talk to us about your hanging requirements/plinths/equipment two weeks before the exhibition
  • List of titles, mediums and prices preferably a week before the exhibition
  • Send bank details in a week before the exhibition, all painting sales will be paid less the 20% commission after the exhibition closes
