The context of this role

The Octavia Foundation works to support young people through a range of initiatives:

  • Employment and training support
  • Heritage, artand multimedia training and projects
  • Events organised by and for young people
  • Weekly sessional youth work looking at creative and cultural projects

The History of QPR is a heritageand multimedia project looking at the rich history of the QPR football club and its local community. The Octavia Foundation are working in partnership with the QPR Trust to deliver this project and this role is funded by Hammersmith United Charities.

The purpose of this role

To provide administrative support in organising and delivering the History of QPR multimedia and heritage project. The post holder will work closely with our History of QPR intern and our Story of QPR manager to deliver a series of short films, a website and a key event – the QPR Antiques Roadshow.

What is the focus?

  • Assist in the coordination and organisation the History of QPR multimedia and heritage project
  • Working closely with the History of QPR project team to deliver excellent customer service
  • Marketing and promoting multimedia opportunities with Octavia tenants, Hammersmith residents, QPR Trust and Octavia Foundation beneficiaries, building key relationships and attending resident events where possible
  • Event coordination and support for the Antiques Roadshow Event
  • Managing and developing effective administrative systems to capture, store and process volunteer’s information
  • Providing support and assistance for training, interviews, workshops and events

Key tasks
  1. Providing a comprehensive administrative support service to the History of QPR team
  1. Calling young people to arrange sessions, workshops, interviews and events
  1. Responding to enquiries about the project and sending out information to potential volunteers and contributors
  1. Working with the “Extra Timers” group at the QPR Trust to coordinate their research
  1. Assist the History of QPR manager in delivering the antiques roadshow providing administrative support in organising the event, and practical support on the day
  1. Assist in the marketing and promotion of the project and related events
  1. Checking volunteer expenses claims comply with the claims procedure
  1. Data input of volunteer’s information
  1. Keeping volunteers files up to date
  1. Assisting the employment and training team and volunteer co-ordinator at recruitment events
  1. Assisting with the organising and delivery of volunteer training and sessions
  1. Assist with the monitoring and evaluation of the project, capturing data and multimedia feedback e.g. Flipcam vox pop interviews with young people
  1. Liaising with partnering organisations
  1. General administrative tasks as required by the History of QPR team
