Registration feeincludes: entry in the catalogue (90 words) in Russian and English; a copy of the Exhibitor Catalogue; badges according to the application form; vehicle entry pass to VDNH territory for mounting and dismantling periods; an invitation to RAAPA Gala Dinner (for 1 person); informational materials.

The cost of registration fee is 375 euro.

Extra payment is charged for:

−corner booth location- 10% added to the baseline cost

−selection of booth location- 15% added to the baseline cost

−every ADDITIONAL invitation ticket to RAAPA Gala Dinner is paid extra, the cost is 110 euro.

Minimum booth size:

- Central location - 15 m2

- Perimeter location - 6 m2

Exhibitors booking over 20 sq.mof exhibition space are provided with a 10% discount

1.2 Booth description

Exhibition space both shell-scheme booth and space only is provided according to confirmed Exhibitor’s submitted application form (Form №1):

1.2.1 Shell scheme:

Standard module booths (booth equipment – see here)

The booth is constructed of light aluminum parts and plastic laminated panels. Each wall panel is sized H250 x W100 cm (including top and bottom planks) and has face dimensions about H235xW95 cm.

Additional equipment and services can be ordered (Form №2.1). Price list for the additional equipment and services is placed on page 25 of the Manual.

Door keys and/or lockers for the filing cabinets and showcases can be collected at the desk of the exhibition contractor – “PO MONTAZHNIK”, Ltd, next to the Registration Desk in Pavilion 75.

prohibited: attachment of exhibitor’s equipment to the parts of the booth, self-conducted taping panels, inserting logos, drilling holes, attachment of promotional and other sorts of materials with pins, press buttons, heavily-removed ADHESIVE tape, etc.

not allowed:placement of signs, logos, graphic works on the reverse side of the structures at /near the limits of the booth and directed towards neighboring booths.

1.2.2 Space only (provision of designated exhibition space with the carpet (exclusive exhibition space for inflatables construction area) inside the pavilion.

Is offered for equipment display, or for individual mounting of a booth.

Exhibitor ordering a custom mounting should conform the booth layout with the official exhibition contractor – “PO MONTAZHNIK”, Ltd,not later than 3 weeks before the mounting starts, and provide a complete technical documentation for holding mandatory technical expertise of the booth layout (the expertise is provided at a charge; submitting the layout after the deadline is subject to surcharge).

1.3 Advertisement at the exhibition

Exhibitor has the right to advertise their product only within the allocated exhibition space. Advertising activity beyond the booth limits (placement of advertisement, distribution of promotional materials, conducting PR activities etc.) is performed only after being authorized by the exhibition Organizer.

The advertisement should be directed towards the exhibits and be in accord with the tasks and content of the exhibition.

Content and accuracy of advertising materials is at Exhibitor’s liability.

All advertising materials are placed on the exhibition floor in compliance with the Federal Law dated March 13, 2006, No38-FZ “On Advertising” and other legal norms regulating requirements to the means of out-of-home advertisement and information.

If any exhibitor’s activity is subject to licensing, exhibitor shall by compulsory present to the Organizer a license or it’s duly certified copy.

Advertising material should contain the license number and the name of issuing body. Advertisement of products subject to compulsory licensing should be supplied with thenote “subject to compulsory licensing”. It’s recommended to have at the booth the licenses, authorizations and certificates on advertised products and/or activity of the exhibitor.

While placing advertising-promotional materials the exhibitor is liable for

1) the content of the presented informational materials and their legal eligibility in using of presented and other intellectual rights, inclusive those belonging to the third parties.

2) malpractice and incorrect information in accordance with the legislation of the Russian Federation.

3) claims connected with

- unauthorized use of trademarks, hallmarks, security and brand marks, names of the companies and their logos;

- unauthorized use of the results of intellectual activity and means of individualization.

3. Deadlines

Before February 02,2016- exhibitors provide information for the Exhibitor Catalogue.

Before February03,2016-final conformation with exhibitors of booth layout, required equipment and services.

Before February 12,2016-exhibitors provide the list of names for exhibitors’ badges.

2. Information

2.1. Technical capabilities of Pavilion 75

2.1.1 Main characteristics:

  • Ceiling height–7m;
  • Permissible load on the floor – 5 000 kg/sq.m.;
  • Height of mounting gates – 4,2 m
  • Width of mounting gates –4,2 m

2.1.2. Power Supply:

Power supply of the booths is provided overthe time of the exhibition holding. Over mounting and dismantling periods, exhibitors (or their contractors) should use instruments running on a battery or rent on their own extension cord for temporary connection. In this case, it is necessary to provide the protection of the extension cord from mechanical damage.

NOTE! While ordering the electrical connections for the industrial equipment and exhibits, consider the magnitude of inrush current.

While connecting computers and other devices sensitive to power offs and voltage drops in the network, we strongly recommend you to use the uninterruptible power supply units (UPS).

For space only booths:(see p.1.2.2)

Power consumption and connectionare not included into the cost of exhibition space, and should be ordered according to the Form №2.1 .Please make sure that you have ordered the power supply of required capacity.

For shell scheme booths:

Supply and consumption of electricity power up to 0,7 kW are included into the cost of the shell scheme booth. Provision of the electricity source of a greater capacity is paid additionally(Price list). Please make sure that you have ordered power supply of required capacity.

Additional electric sockets and lights are not included into the cost of the power supply, to order them fill in the Form №2.1.

2.1.3. Water supply:

Water supply connection is provided via hoses of ½˝in diameter, diversion of water – via sewer hoses of 40-50 mm in diameter. The hoses of a different diameter and/or adapters should be provided by exhibitor.

NOTE!Connection of the equipment to the hoses at your booth is made by specialists of exhibitor’s companyor by exhibitor’s booth contractor, except for washers at the standard fitted booths reserved via the Organizer - in this case, they are connected by the exhibition contractor.

2.1.4 Compressed Air:

Maximum permissible pressure – 6 bar (6-8 kgf/cm²). Order is made according to the Form №2.1.

NOTE! Connection of compressed air is provided via armored hoses of ½˝ in diameter. The hoses of a different diameter and/or adapters should be provided by exhibitor. The connection of the equipment to the hoses at your booth is made by specialists of exhibitor’s company

2.1.5 Telecommunications:

You can order phone/fax/internet connection for your booth, as well as audio/video equipment by submitting Form №2.1.Phone calls and additional internet traffic are paid during the exhibition working days, at the Registration Desk.

2.1.6Fire-safety procedure

Exhibition booth is provided to the exhibitor in a proper state with provision of major terms of fire-safety procedure. The venue contractor is liable for fire-safety and fire-protective arrangements at booth during mounting and dismantling periods. During the exhibition working hours exhibitor along with the contractor are liable for fire-safety within their authority, connected with the utilizing of the exhibition booth in conformance with technical regulations of the installed equipment.

Control over compliance with the fire-safety regulations is performed by JSC “VDNH” and by Regional Division of Supervisory Activities of the North East Administrative District of the Ministry of Emergency Situations of Russia (EMERCOM) in Moscow.

Exhibitor shall in advance, but not later than 15 working days before the mounting period, present to JSC “VDNH” and to Regional Division of Supervisory Activities of the North East Administrative District of the Ministry of Emergency Situations of Russia (EMERCOM) in Moscow the information of all radioactive, fire-hazardous and explosive materials contained in exhibits for conforming proper complied measures of safety. Entry of the said materials and exhibits without the permit of fire inspection is prohibited. For finishing of the indoor interior of the booths, offices, podiums, ceilings and partitions only nonflammable and hard flammable materials. It’s not allowed to use draping materials and flammable synthetic materials, which can not be treated by fire retardant compositions.

It’s prohibited to carry out the paint work with the use of flammable paints.

Carpets and carpeting should have No-Burn certificates in compliance with the requirements of “Technical regulations for fire safety requirements”. Carpets or carpeting used in the pavilion should be firmly attached to the floor along its perimeter and at the joints

During mounting and dismantling periods the access lines i.e. mounting gates and passages should be free. Transportation containers, packing and other materials not in use should be vacated out of the pavilion. No thresholds or turnstiles are allowed on the evacuation lines and on visitor passages.

The use of electrical appliances for coffee or tea making can be allowed only at specially designated equipped areas.

At the booths the demonstration of models and equipment in operation employed by means of inflammable liquids or flammable gases is permitted only when the gas is supplied by gas pipeline from the reservoir placed outside the pavilion and exhaust gas is extracted through extraction pipe outside the pavilion.

It’s not permitted to store at the booth the stocks of advertising materials or official goods. Office floor can be used for daily use storage only. Storage of exhibits, extra equipment, containers and packing materials should be executed outside the exhibition hall in specially designated areas.

Smoking is prohibited in the exhibition pavilion.

Fireworks, sparklers, firecrackers and other pyrotechnic products are prohibited in the exhibition hall.

All other questions, not specified at present, but appearing in process of mounting, dismantling and exhibition are solved by the representatives of the department of civil safety of Ministry of Emergency Situation and fire safety of JCS “VDNH”.

In case the booth layout contradicts the current rules and regulations the Organizer and/or JSC “VDNH” is authorized to demand the exposition dismantling from the exhibitor.

All participants of the exhibition are obliged to be aware of andfollow the fire safety regulations, to be able to act in case of fire and use primary fire extinguishing means.

For violating fire safety regulations exhibitors and contractors of the exhibition Regional Division of Supervisory Activities of the Ministry of Emergency Situations apply sanctions in accordance with the current legislation of the Russian Federation.

2.1. 7. Sound level

The use of sound equipment at the booths is prohibited, the exception is the written approval of the Organizer. In case of obtainingthe written approval of the Organizer during the exhibition hours the sound volume level should not disrupt the working process of other participants of the exhibition (it’s not permitted to exceed it over 60 dB over the booth limits). Should any complaints from other participants of the exhibition on excessive sound level received the Organizer is authorized to require the Exhibitor to reduce the sound volume level to acceptable norms. If the said requirement is ignored the Organizer has the right to turn off the source of sound signal and to impose a fine upon the Exhibitor.

2.2. Exhibition aisles cleaning

Every morning, before exhibition hours, cleaning of the aisles between the booths is performed. Litter left by Exhibitor in front of the booth a day before in a plastic bag or box will be removed. This service is included in the rental cost of the exhibition area.

For all kinds of booths: packing materials and garbage from the booth should be disposed of in dumpsters. If this rule is violated, exhibitor will be charged for cleaning the passages near their booth.

After the exhibition closes, the exhibition space should be cleaned of garbage, carpeting and adhesive tape. Exhibitor is liable to expenses for garbage disposal, including ordering a container for disposal of the bulky waste.

Exhibitor can order individual cleaning of the booth at additional cost at the Registration Desk.

2.3. Exhibition and booths security

On exhibition dates the booths are guarded from 18:00 until 09:30. Exhibitors having valuable equipment at the booths should pass the booth to the individual security (charged additionally, see Form 2.1). Exhibiting company should ensure presence of a company representative at the booth until 18:00 (time of passing the booth to the security). Safety of personal belongings at the booth from 9:30 until 18:00 is at Exhibitor’s company representatives’ liability.

2.4. Interpreters’ services

Interpreters’ services cost starts from 150 euro per day (depending on the language). Exhibitor can order interpreters’ services through the Organizer.

2.6. Order of entry/exit of transport to/fromVDNH territory

2.6.1. Terms of entering the VDNH territory:

During the exhibition mounting/dismantling periods free entrance is provided according to the single use vehicle pass.

The vehicle pass can be collected from the Organizer of the exhibition RAAPA EXPO at the Registration desk, pavilion 75.

6.2.Order of delivery and removal of the exhibits for the participants:

To have exhibition equipment delivered and removed, exhibitor-company should have two (2) copiesof the letter with the list of delivered equipment(Form №7).

  • It is necessary to get the note “Delivery allowed”on both copies of abovementioned letter from the Registration Desk. One copy with the note of the Organizer is to be left by exhibitor at the Registration Desk. The second copy is to be shown at the entrance to pavilion.
  • While removing the equipment, it is necessary to get the note “Removal allowed” on the same copy of the letter from the exhibition Organizer (at the Registration Desk).
  • Workers entering the pavilion for delivery and removal of the exhibition equipment and exhibits and for mounting should collect mounting wristbands from the Registration Desk.
