Re: Letter to Parents – Number 2/2017

A very special Otto welcome to all our parents for the 2017/2018 season. This season commences on 1 May 2017 and ends on 30 April 2018. I trust that your stay at Otto is both memorable and special for both you and your child. The following parents constitute our Executive Committee: Anil Sewpersad (Chairman), Rootheran Moodley (ViceChairman), AveshJaganath(Secretary), Khathijah Rajah (Treasurer), Salim Patel (ViceTreasurer/PRO), Ashraf Ali (Team Manager) andRajen Naidoo (Records Clerk/ Technical/ Coaching Advisor). Our coaches for the season are: Wade Dannhauser, Khathijah Rajah and Zanele Mbambo.

The following important decisions have been taken by the Executive on Thursday 20 April 2017 to ensure the smooth running of the club :

  1. With effect 2 May- 20 September all groups will train at SM Jhavery School pool (heated facility). Training times will be duly forwarded to parents by our coaches.
  1. REGISTRATION–INTERMEDIATE AND ABOVE CATEGORIES

All Intermediate, Levels 0-3 swimmers must register for the 2017/18 season. Parents must complete both, an Otto membership form and the KZNA Registration form and forward the forms to the treasurer. The KZN registration fee must be paidas per schedule, together with proof of payment submitted to the treasurer. There will be no participation in club activities, including training and gala participation without the completion of these forms.

Registration starts on Thursday 4 May 2017 and concludes on Monday 15 May 2017 for all returning swimmers.

  1. OUTSTANDING FEES AND REGISTRATION

Kindly note that the swimmer/s will NOT BE ALLOWED to: register with the club, train with the club, swim galas and register with KZN AQUATICS for the 2017/18 season if monies are owed to the club these include the following categories of fees

  • Monthly fees
  • Gala fees
  • KZN registration fees

In this regard, parents with debts are urged either to settle these debts or to meet with the Executive to discuss the options. No written requests will be considered. Please see the various contact details above.

4.REGISTRATION LTS SWIMMERS

Coach Khathija will communicate with parents of LTS swimmers to discuss registration.

5. COMMUNICATION and CORRESPONDENCE WITH KZN AQUATICS

Henceforth all communication and correspondence with KZN Aquatics must be done through Mr A Jagganath the elected secretary. There will be no exceptions in this regard. All communication to the club must be forwarded to the club secretary.

6.FEE CATEGORIES

There are three categories of fees:monthly fees, gala fees and KZNA registration fees

i). MONTHLY FEES

Monthly fees (fees except for learn- to-swim) MUST be paid over 11 months. The month of June 2017is the official and only fee exempted month.

Level 0,2,3 R450 per month

Intermediate R325 per month

Learn to Swim R825 for a 3 month programme

Social Responsibility Programme- to be determined per programme

Failure to meet this obligation will mean that your child will not be able to continue with training or participation in galas. All monthly fees are due before the 7th of each month. A detailed fee statement is forwarded every month by the treasurer to parents.

ii). KZN AQUATICS FEES

The KZN Aquatic Fees are as follows:

Learn-to-Swim swimmer: no fee (but registration required)

Level 1 (intermediate swimmer): R380 for full season

Level 2 and above: R900 per season

All competitive swimmers must complete the KZNA Registration Form, and ensure that their fees are paid prior to the commencement of the season calendar.

iii) KZN GALA FEES

KZNA charges for the participation in its galas. In the past season, this was at a cost of R20 per event entered, plus an overall R10 participation levy for the Level 1 and above. The cost of participation for a Level 0 gala was R20 per gala. The fees for Championship events are normally more expensive. Galas organised by clubs are also more expensive. Swimmers are only entered into a gala providing proof of payment of all gala fees are provided at the time of submission of entries.

The gala protocol will be forwarded to parents. Kindly note that Mr AveshJaganath is the GalaSecretary.

7. KZNA REGISTRATION AND APPLICATION FOR KZNA CONCESSIONS

  • All applications for registrations and other concessions from KZNA must be seen and vetted by the Executive before submission to KZNA. There are no exceptions in thisregard.When an application for a concession is made with KZN for the current season, the applicant must pay the full registration fee to the club within a maximum period of 3 months. This registration fees payment commitment MUST be submitted in writing to the club treasurer in the template provided by the club.
  • Once the concession has been confirmed/declined by KZNA then the necessary adjustments will be made by the club.

8. CLUB FEE CONCESSIONS

  • Concessions to the members of the club are considered for those parents/guardians who sincerely believe that they are financially challenged, and wish to commit to competitive swimming for their child/children. The Executive Committee of OTTO Aquatics will consider each application individually, on its own merit, also using the below guidelines, which are not exhaustive. Concessions could be from 5% up to 30% of current year membership fees based on the guidelines. A Concessions Committee will be set up that will scrutinise each application and then present the application to the executive committee, with any recommendations. Concessions are NOT a right of a member, but a contribution of the resources of the club to the swimming career of the child.
  • A written /typed letter to be handed over to the Secretary to request for a membership concession. State clearly and fully the reasons for the application for a concession. Additional supporting documents required for concession to be attached with application, including most recent payslip and current three months bank statement of all income earning parents/guardians
  • The Concessions Committee will score the application according to prescribed criteria, which includes among others:
  • Number of children in the club
  • Previous concessions provided by the club
  • Period for which that the swimmer/s have participated competitively
  • Duration of membership
  • Does the swimmer have a disability
  • The competitive level of the swimmer
  • Participation in other sporting codes, and concessions received from those clubs
  • Parents are recipients of a state grant
  • Employment status of parents
  • Single parent family or single parent income
  • Availability to provide voluntary services to the club/officiating duties
