Executive Summary

This document contains a proposal for sale of Retail Management Software, Candela. First a brief introduction to the company “LumenSoft” is given. Deliverables, financial terms and delivery milestones are also part of this document. This proposal is valid for 21 days from date of submission.

LumenSoft strive to deliver scalable, user friendly, top quality solutions to its customers. Customer satisfaction is what LumenSoft aspire for.

Company - LumenSoft Technologies (Pvt) Ltd. is an information technology consulting company operating since February 2000. LumenSoft provides pre-packaged software solutions for retail industry. Products are available for single location stores and retail chain stores. Services include software installation, user training, after sale support, and product upgrades. LumenSoft also provides retail consultancy regarding industry best practices which maximizes value for investment made by the customers.

LumenSoft solution is being used by diverse retail segments including apparel, footwear, fabrics, cosmetics, toys, pharmacy, grocery, electrical appliances and gift items. This includes single location stores and multi-location chain stores.

Customer Care and Support Services - LumenSoft takes all possible measures to provide required assistance to its valued customers. LumenSoft has customer support department and trained personnel to help customers in deployment of products and provide after sales support for technical and operational tasks.

Candela – Retail Management System: is a complete barcode enabled solution for management of retail businesses. It enables the retailer to manage its suppliers, its own operations, and its customers. Thus Candela is complete supply chain management system for retail operations. Up-to-date information of inventory, sales, receivables, and payables is available at the desktop of the decision maker(s). This enables the management to easily implement and enforce timely and informed decisions based on up-to-date and reliable data.

Lightwave – Accounting Solution: -Makes the day to day accountings operations an easy job, thereby allowing the management to focus on core business activities and get ahead of the competition. It provides quick and easy implementation, accurate and timely processing of all the transactions, and improved decision support through better reporting and analysis. It enables you to make informed strategic and operational decisions at moment's choice

Business Intelligence (BI) solution: Candela BI is an affordable, easy-to-use intuitive Business Intelligence (BI) solution designed for customers who are using Candela Retail management system. It is a complete “BI In a Box” solution which delivers all the components that make up a Business Intelligence solution including Data Warehouse, ETL, OLAP, Reports, Dashboards, KPIs,.

Candela - M (Manufacturing Solution for Apparel Business :

Candela M meets production requirements of the Apparel industry. It allows tracking of the entire production process from buying of raw material to the delivery of finished goods. The finished goods, upon completion, are pushed in the warehouse of Candela RMS.

This solution is integrated with Candela RMS software. This means, after integrating this solution with Candela RMS, the manufacturing process gets integrated with retail operations.

Candela E-Connect: Candela E-Connect is a SaaS based solution to facilitate integration of Candela with E-Connect Platforms for conducting Online Sales. Candela E-Connect acts as a gateway between Candela RMS and E-Connect platforms. This solution stores the necessary data like products, prices, inventory and provides different APIs which can be used by any third party (providing Online Store solution) to fetch this information

Candela Brief Introduction:

Candela is a complete barcode enabled solution for management of retail businesses. It enables the retailer to manage its suppliers, its own operations, and its customers. Thus Candela is complete supply chain management system for retail operations. Up-to-date information of inventory, sales, receivables, and payables is available at the desktop of the decision maker(s). This enables the management to easily implement and enforce timely and informed decisions based on up-to-date and reliable data.

Candela can be configured in two different ways. First configuration is called Standard configuration and is designed for managing the retail operations at grocery stores, pharmacy stores, gift stores, and similar types of businesses. Second configuration is called Assortment configuration and is designed for retail management in garments and shoes industry. This configuration has extensive support for assortments and management of product sizes and colors. All entries and reports are available in easy to use matrix of products and sizes.

All standard POS hardware can be connected to Candela for managing the retail operations. Any standard Barcode scanner can be connected to Candela for scanning of barcodes. Hand held scanners can also be connected to the system. Customer receipts can be printed by connecting retail receipt printers, thermal printers, laser printers, or ordinary dot matrix printers. Barcodes can be printed using special barcode printers or ordinary laser printers. Customer display or Pole display can also be connected to the system to show invoice details to the customers during product scanning. Cash drawer can be connected to the system which opens up automatically when a new invoice is generated by the system.

Candela is developed by a team of professionals having 30 man years of experience in retailing domain. Research has been conducted regarding the issues and problems of retail operations and solutions are designed which represent industry best practices. Candela has evolved during last seven years of operation at leading retail stores (including many Retail Chain Stores of Top brands)

Use of Candela guarantees significant improvement in sales to stock ratio. This means, a retail business can achieve existing sales levels with much less stocks thereby increasing profitability.

Candela is a powerful tool for management of inventory of retail chain stores. Its intelligent inventory distribution and optimization algorithms maintain the required inventory at stores. Stock transfers between stores is automated and centrally managed through head office.

Candela Versions

Candela comes in the following versions.

Candela Personal Edition (Single Store Version):This Candela version gives efficient and cost-effective solution to retailers who own a single store, or want to manage their multiple stores separately. This version also fulfils the requirements of wholesalers. All features and reports of Candela (except the features of chain stores) are available in this version of Candela.

Professional Edition (Chain Store Version): This Candela version is designed for managing the retail chain stores and connecting the retail outlets and warehouses to a central location (head office or factory). Candela Back-office is placed at the central location and all outlets and warehouses terminals are connected to this back-office using the Internet. This is low cost version with Limited features of stock optimization

Candela Enterprise Edition (Chain Store Version): This Candela version enables the Chain Store owners to connect all the retail outlets and warehouses to a central location (head office or factory). Candela Back-office is placed at the central location and all outlets and warehouses terminals are connected to this back-office using the Internet. This is full featured version with extensive support for automated stock transfers, stock optimization, franchisee management etc.

Difference between Professional Edition and Enterprise Edition:

Both these versions are designed for managing the operations of retail chain stores. The professional version is low cost version and has got limited features of stock optimization. Some of the features, like automated stock distribution and optimization, are not available in professional version. Professional version is available for businesses which have small number of outlets or they want to have a good start with low initial investment in software. Professional version can easily be upgraded to Enterprise version.

Product Deployment Plan

Time Frame and Major Milestones

Typical product deployment time is fourto six weeks from the time of contract (for organization having up to ten retail outlets. As the number of outlets increase, the deployment time may increase)

In the first phasesystem study is carried out. Existing practices (for running businesses) are analyzed and alternate practices are suggested to suit the product deployment. Necessary hardware availability is checked and suggestions are given to the customer for any required hardware. Inventory items hierarchy is discussed and finalized. Product is deployed at the head office. Users are given the training and they use the system for some time with dummy data. This phase takes from one to two weeks.

In second phase, system is configured according to actual data. Configurations like definition of shops, products, sizes, and prices are entered by the users. LumenSoft provides needed technical assistance. This phase takesone to two weeks.

In the third phase, system is used for actual data. Data of all the shops is entered at the head office. All shop operations are performed from the head office. This gets stabilized in one week time.By the end of phase three, the system becomes ready for installation at the shops.

In the fourth phase the system is first installed at a shop which is closest to head office. Then thisis be followed by installation at other shops. The schedule for installation at shops is finalized according to priority of the customer.

This project always requires interaction between LumenSoft and Customer. The customer nominates one person who coordinates on behalf of his organization. Senior management reviews about the deployment progress is essential and helps in smooth deployment of the product in customer organization.

Documentation

LumenSoft will provide video tutorials which will cover the operations of the software.

LumenSoft will also suggest the routine for taking backups, so that there is no accidental loss of data.

Hardware Compatibility

All hardware is not compatible with Candela Retail Management System. Customer should consult LumenSoft, before buying hardware.

LumenSoft is complete solution provider and deals in all hardware related to retail systems including Computers, thermal printer, Barcode Printer, Barcode Scanners etc.

However, customers are free to purchase hardware from any source and LumenSoft will provide consultancy and give advice for purchase of hardware which works with the software

Pricing Details

Business solution cost can be divided into following categories: Back Office License cost, shop/warehouse License cost, deployment cost, maintenance cost, and hardware cost.

Back Office License cost – Professional Version
Professional version is a low cost version with Limited features of stock optimization. This helps retail organization to start operations with low initial cost.
Candela back office price depends upon the number of shops or warehouses
(1 – 5) Locations:238000
(6 – 10) Locations: 273000
(11 + ) Locations: 308000
Customers can upgrade to next version by paying the differential and up gradation cost.
Note: License is non-transferable/non-refundable
Note: Up-gradation charges (Candela Professional to Candela Enterprise) :50000
License cost for each additional terminal (computers connected to server through LAN or WAN) of back-office will be charged @14200
This cost includes the installation cost (head office) .Typical deployment period is 4 to 6 weeks.
Customers can upgrade to next version by paying the differential cost.
Note: All software products and services are subject to 16% Sales Tax (Imposed by Punjab Government).
Shop/Ware-house License cost
For License of software at a retail outlet/warehouse/off-line POS30600 will be charged.
Additional POS License for a shop can be provided for 14200.
Deployment/Training service charges:
Deployment cost will be Rs.50000; Deployment includes consultancy for infrastructure (including hardware selection, internet connectivity), system configuration and training to system users.
This deployment is carried out in the head office and computer fully configured for shop operations is handed over to the customer IT/Retail-operations department. On customer request, deployment services at shop/ware-house site can be provided at additional cost
LumenSoft will provide onsite training facility to the people selected by the Customer at customer Head office (only for Lahore) ,customers outside Lahore will be charged additional payment regarding travel and accommodation expenses. The training will cover the system usage and routine maintenance.
Invoice Customization charges:
If customer require customization invoice other than available invoice additional charges will be charged according to customization.
Support Service / Software Upgrade Cost (Optional)
Three months of free support services are provided as part of this software purchase. Also, during these three months, software can be upgraded free of cost. This period starts from the date of contract signing. After the expiry of this period, further services will be given through a support & upgrade (SLA) contract.
Back-log period will be charged for SLA with effect from the date of expiry of complementary service period.
Service Level Agreement (SLA)
Candela Monthly maintenance cost of Server 5300, Shop/warehouse/off-line POS 1170/eachandOn-line POS550/each- configured in the system (connected to back-office or shop).
Lightwave monthly maintenance cost will be 5300 and additional terminal 550
Service will include Site Visits (head office), Remote Log-in, Telephonic and Email support. Also, the customer will be eligible for free upgrades and new features in future versions of software.
For customers outside Lahore additional travel and accommodation cost will be charged.
Maintenance fee is payable annually or bi-annually in advance.
During Maintenance, new releases of the products will be provided and deployed free of cost. This includes new releases for additional features.
Maintenance Service without any contract:
If customer does not enter into any formal maintenance contract then, in case of requirement, maintenance services can be obtained from LumenSoft office @2000/hour. In this case minimum service charges will be 2500/-.
Site visit/remote login service is not included in this package and site visit, if required will be charged mutually agreed between customer and LumenSoft based on time and effort required to provide on-site services.
Please note that Software Upgrades cannot be provided against these maintenance services.
Service level charges will not be changed up to one year from the date of contract.
