Global Programmes Department

This is a newly structured department and brings together functions from across several existing departments. The purpose of this department is to develop a new approach to developing and delivering quality programmes that fulfil the WAGGGS strategy and which respond directly to the priorities of our Member Organizations. This means achieving radically greater reach and impact, embracing partnership within and outside the Movement, and has developing the core Girl Guiding/Girl Scouting experience and leadership capabilities as a “golden thread” in all activities.

Under the leadership of the Director, all teams will work towards delivering the agreed WAGGGS strategy, engage collaboratively with other teams including leading or being part of cross-organisational projects, supporting and providing expertise to our Member Organizations as needed.

The Events Management Team is a new function in the organisation and sits in the wider Global Programmes Department. The team will respond to the need for a more consistent and coordinated approach to delivering international events across the organisation.

What we are looking for

The purpose of this role is to lead a team which provides international events management expertise, support and coordination to the organisation. The focus will be on consolidating practical skills and expertise within the team, with an aspiration to look at options for

engaging Member Organizations to deliver programmes and events through them and with other partners.

Key responsibilities include delivering events on time and on budget ensuring all practical elements are carried out effectively. This includes securing a country/venue whilst using consistent processes for selecting and supporting participants and arranging travel/visas. The successful candidate will line manage two Events Officers one of whom is currently based in Brussels.

Strong experience as an international events manager is essential in this role including the organisation of multiple high profile events, ideally in a variety of geographic locations.

Job Purpose

To lead a team which provides international events management expertise, support and co-ordination to the organisation. Working in a complex environment where events support the work of a variety of teams (e.g. Membership leading on Regional Committees; Governance on World Conferences; and Programmes Managers leading on programme related events). In the short term the focus is on consolidating practical skills and expertise within the team, with an aspiration to look at options for engaging with Member Organizations to deliver opportunities through them (and other partners).

This role operates within the context of a volunteer led global charitable organisation with 146 Member Organisations.

Key Accountabilities

Core leadership

Proactively support the Leadership Team to develop and foster a positive organisational culture demonstrated through our core values and behaviours, and work collaboratively with volunteers and colleagues across WAGGGS to ensure a joined up, coordinated approach that is focused on delivering strategic goals.

Represent the organisation and participate in external events to promote WAGGGS’ interests, brand and mission, and to extend the influence and voice of the organisation and the wider movement.

Lead, manage, and develop a competent and highly motivated team (comprising employees and external contractors) that is focused on strategic goals, works collaboratively and maintains a credible professional presence with managers, staff and volunteers, and is proactive in supporting managers to deliver their objectives.

Support the Director to promote a climate within the Department that sets an air of aspiration and sets the pace for the organisation encouraging innovation and transformation; optimise the use of technology to streamline systems, enhance service delivery, reduce costs and deliver benefits for our members.

Embrace the organisation’s volunteer ethos, and work in a positive and collaborative way with international volunteers to maximise their contribution.

Provide clear, consistent and professional advice across WAGGGS and act as a role model to create a ‘one team’ ethos and a working environment that inspires staff and builds trust, empowerment, high performance and continuous improvement.

Take a comprehensive, organisation-wide view of performance and collaborate to ensure that resources are aligned with strategic priorities for maximum impact; ensure that lines of accountability are clear and monitor performance, quality and use of resources.

Foster effective, transparent communications at all levels throughout WAGGGS to enable staff, volunteers and Member Organisations to have access to the information they need in a form that is appropriate to them, and that reflects the diversity of the organisation.

Key responsibilities

Deliver events on time and on budget - lead on the delivery of events within WAGGGS, ensuring all practical elements (securing a country / venue, consistent processes for selecting and supporting participants, and arranging travel / visas) are carried out efficiently.

To be responsible for budgetary and planning around all events. Manage resources and event calender to deliver concurrent event projects.

Build and manage relationships with Membership Organisations, partners and WAGGGS managers, including working closely with volunteers around individual events.

Support the event management of major governance events such as World and Regional Conferences, working closely with the Governance team.

Identify future opportunities for delivering events through MOs and partners, and work with Membership Department to develop this approach.

Work with World Centre managers to plan and develop the use of our World Centres for delivering events.

Provide internal team and client with updates, reports, and / or KPIs as needed, be responsible for ensuring events are delivered within budget and to an appropriate quality.

Managing administrative support to ensure specific events are supported efficiently.

Coordinate with external third-parties involved in event planning to ensure they understand and meet their responsibilities.

Work with the Engagement department to develop consistent communications and messaging around events.

Essential / Desirable
Qualifications/ experience
Solid educational background to degree level or equivalent.
Strong experience as an international events manager, and having organised multiple high profile events, ideally in a variety of geographic locations.
Successful experience of working in partnership with volunteers and volunteer-led committees on events management.
Experience of working in NGOs, other cause-based organisations or programme funders, delivering events in partnership across different cultures. / A proven track record in fundraising and project management.
Skills/ knowledge
Ability to manage a varied workload with set deadlines.
Excellent communication skills and the ability to engage a range of stakeholders.
Able to effectively manage remote staff and events.
IT literate, with well-developed understanding of how to use on-line platforms to enhance learning and extend the reach and scale of programmes.
An understanding of the Girl Guiding / Girl Scouting movement, its aims and ethos.
Personal qualities
A passion and commitment to issues affecting girls and young women on a global level, and demonstrable ability to engage with girls and young women, either through a professional or personal background.
Able to generate innovative approaches that deliver results.
Able to demonstrate a commitment to and be a role model for WAGGGS’ organisational values of: Member Driven; Brave; Inclusive; Empowering; Transparent; Professional.
Demonstrable commitment to working in partnership with volunteer leaders and able to cultivate effective relationships with a wide range of people, based on trust and mutual respect.
