Trivia Night Fact Sheet

We can help facilitate Trivia Nights in the GT Bar or at Bar on the Hill to assist clubs and societies with their fundraising activities. Bookings are available Monday to Friday night in the either of the Bars on campus and are subject to availability.

Bookings are to be made directly to the Student Engagement Team via the email.

You will be provided with free venue hire and access to the AV equipment needed to run a Trivia Night.

Conditions

Trivia Night bookings at Bar on the Hill should be considered for larger functions of 100-250 people.
The GT Bar is more suited to smaller functions of 100 people or less.
In some instances Security services may need to be hired to monitor the event.
Any furniture must be returned to its original state by the end of the night.
If any substantial cleaning needs to be arranged after the event –this cost will be incurred by the Club.

Audio Visual needs

For larger functions at Bar on the Hill it is a requirement that a trained sound technician set up the sound needsfor the night. They will remain for the duration of the event and ensure that the equipment is packed away correctly.
The sound technician is booked through the Events team and will be organised by the Student Engagement Team on your behalf.

Catering

Catering can be ordered from the GT Bar or Bar on the Hill to be served at a nominated time. This will require Bar Staff member(s) to be rostered on for the night – which may incur additional staffing costs.
External catering cannot be brought into either of the campus bars.

Prices

Invoices can be arranged to be subsidised through the Club’s allocated SSAF funding or paid directly from the Club’s bank account.
The Student Engagement Team strongly recommends taking a small ticket donation to cover the cost of the event and raise money for the club.
SSAF funding from the University cannot be used to subsidise the purchase of any prizes.

Costs involved

Sound Technician: $28 per hour (minimum 3 hours).
Bar Staff at the GT Bar/Bar on the Hill: The first bar staff member is free, additional staff members are charged to the Club at $32.02 per hour (minimum 3 hours).
Additional Cleaning fee: $116.

Trivia Night Checklist

Book the venue

Book a Sound Technician (if necessary)

Book Security Services (if necessary)

Order catering at least 4 days in advance

Submit a Funding Grant Application (if you plan to subsidise the event)

Arrange to test any equipment such as laptop before the event

Promote your event

Create Trivia questions

Organise ticket sales

Organise paper/pens and any other equipment needed to run the Trivia

Arrange volunteer club members to arrive early to the event to assist with setting up tables and chairs as well as putting them back after the event

Sound Technician will arrive and organise all AV needs

Clean any mess and rubbish
