CALL TO ORDER
Portal Link Survey / Sr. Kathleen distributed the results of the Portal Link Survey. 151 people responded – mainly staff. The survey will be repeated in fall to get more faculty input and for students nearer to the time when they will be using the portal.
Review of Portal / Sr. Kathleen reviewed recent additions of web parts to the Faculty and Staff constituency page.
The group discussed the possibility of adding a link back to the Marywood homepage in the page navigation. / A clear decision was not made. Further consideration is needed.
How To Wiki / Sr. Kathleen demonstrated the newly created How To Wiki. Considerable discussion took place. Points of discussion:
  • Who is responsible: Currently, anyone can submit a question or Q/A pair. Sr. Kathleen vets the question, researches, referes to appropriate department. Some memebers expressed concern that information about their areas might be posted without their input.
  • Is the information accurate? Are departments willing/able to maintain information in yet another place?
  • Suggestion: ask more directional/general questions than the more specific ones that were submitted as seed questions. For example, instead of “What are the rules about Tuition Benefit?” ask “How do I find out about my benefits?”
  • Suggestion: link to websites, handbooks, etc. instead of giving answers within the wiki
  • Suggestion: use “street” names to link to official pages. E.g., people would not necessarily know to look for parking information under security
  • Question: should there be separate wikis for Faculty/Staff and Students? There is information for staff that is not desirable to have available to students. We may be able to direct pages to specific constituencies.
  • Suggestion: When giving contact information, avoid using people’s names and e-mail addresses – just give general department information.

My Bookmarks / The My Bookmarks section has been populated based on the results of the Portal Link Survey.
Joel Burke raised an issue of the way the web part works. “My Bookmarks” seem to indicate a set of bookmarks that the users chooses, but that is not the case here. Also, the user can add his/her own links, but they are added to the preset links with no distinction between the two kinds of links. / It was decided to create two web parts: one with the links we chose based on the survey, labeled “MU-Web Links,” and one that the user populates, labeled “My Links”
Staff Directory / Since the Staff Directory was one of the most popular items mentioned in the survey, the desirability of a portal-based staff directory was discussed. / We will integrate with Active Directory to create a web part with the staff directory that keeps the results within the portal.
Search Box / A question was raised about the search box: does it work within the portal or all of marywood.edu as well? / The current search box is inoperative. Further discussion tabled until that is resolved.
NEXT MEETING / Sr. Kathleen will send a WhenIsGood to determine the next meeting time.
