A.MAIN JOB PARAMETERS

JOB TITLE: Supporter Engagement Officer

HOURS: 35 hours per week 9am – 5pm (some weekends/evenings)

LOCATION: 45 Abbey Street, Derby, DE22 3SJ

SALARY: £14-15,000 dependant on experience

ACCOUNTABLE TO: Income Generation Manager

B.OVERALL PURPOSE OF JOB

To support the Income Generation Manager with regards to increasing the profile of the branch; to act as the central contact point for all branch community fundraising activities. Maintain momentum for the branch fundraising programme and to act as the central contact point for fundraising volunteer activities.To ensure the on-going management and recruitment of volunteers. Manage the collection box database, distribution and collection of collection boxes. Maintain branch CRM databasewith supporter, donation and fundraising information.

C.PRINCIPAL RESPONSIBILITIES

Community Fundraising

  • To increase the profile of the branch at local community and fundraising events, schools and external organisations.
  • Identify local fundraising opportunities with the Derby & District branch area
  • Set up and maintain a calendar of events
  • Complete all administrative paperwork/applications. Ensure best practice in fundraising – branch fundraising requiring legal compliance, for example, obtaining relevant permissions and licenses and that the RSPCA/branch logo is not incorrectly used
  • In conjunction with the Income GenerationManager produce a community fundraising plan and budget, to be agreed by the Branch Manager, dedicated to raising funds for the branch
  • Attend community events as a ‘Branch’ representative
  • Identify fundraising jobs and recruit volunteers to fill them
  • Establish a fundraising team and provide support, induction, training and motivation to the fundraising volunteers
  • Liaise with Social Media and Communications Officer to ensure awareness, advertising and promotion of events
  • Produce or organise the production of fundraising materials within the Branch branding criteria and gain agreement of Income Generation Manager
  • MaintainCRM database with all supporter and volunteer information. Be aware of and comply with data protection regulations and gift aid procedures
  • Produce monthly update reports showing income, expenditure and work in progress for the Income Generation Manager
  • Liaise with the Office Manager to ensure that all activities and events are risk assessed and conducted in a safe manner. Ensure that each volunteer is familiar with and follows the branches health and safety policy and guidelines
  • To ensure all monies raised and banked or deposited at the animal centre in accordance with the branches working practices

VOLUNTEER RECRUITMENT AND CO-ORDINATION

  • In conjunction with the Income Generation Manager, produce a volunteer management plan
  • To ensure that all processes and procedures relating to volunteer management are documented, reviewed and kept up to date at appropriate time intervals
  • Ensure best practice in volunteer management – making sure the branch is legally compliant with, for example, the data protection act
  • Ensure that each volunteer is familiar with and follows the branch health and safety policy and guidelines
  • Establish and maintain a database of supporters and volunteers
  • Identify volunteer opportunities, advertise and recruit volunteers into those specificroles
  • Ensure that an adequate interview and induction is held with new volunteers, both at the Animal Centre and in the Branch Shops, assessing personal skills and agreeing areas of responsibility and working hours in line with legislation
  • Provide on-going support and motivation to volunteers
  • To design and instigate a volunteer club and ensure regular meetings are held for all volunteers to meet up, gain a sense of belonging and reward where appropriate
  • To liaise with other staff and volunteers to ensure all vacancies and fundraising events throughout Derby & District are filled
  • Produce a monthly update report for the branch manager regarding volunteer status

COLLECTION BOXES

  • Manage the collection box database, distribution and collection of collection boxes.
  • To ensure all monies raised are banked at the Centre in accordance with the branches working practices

CRM DATABASE

  • Maintain the branch CRM database
  • Ensure the input of new supporter/donator information
  • Update existing records
  • Input all fundraising activities/fundraising amounts

OTHER

  • Any other duties as directed as deemed necessary from time to time by the Income Generation Manager
