RULES OF PARTICIPATION IN EXCHANGES UNDER THE LLP ERASMUS PROGRAMME

I.ADMISSION TERMS FOR STUDENT EXCHANGE UNDER THE ERASMUS (SM) PROGRAMME

§1

Eligibility criteria (exchange programmes):

To be eligible for the ERASMUS programme a person must:

  1. be a student of a full-time, extramural or an English-speaking course of studies at the Poznań University of Medical Sciences;
  2. have completed the first year of their studies by the beginning of the exchange;
  3. not be on dean’s leave during the period of their exchange;
  4. not have previously participated in the LLP ERASMUS exchange;
  5. have a sufficient command of the foreign language which will be the language of instruction at the receiving university, allowing them to pursue studies;
  6. have a grade average of at least 3.1 for all academic years

§ 2

Students applying for participation in exchange under LLP Erasmus should submit the following documents to the Department of International Cooperation and European Integration:

  1. Application Form (Attachment No. 2).
  2. Covering letter.
  3. Statement of results evidencing the grade average of no less than 3.5 for all academic years calculated in accordance with the principles of awarding scholarships – issued by the Dean’s Office
  4. Certificates ofcommand of foreign languages (no accumulation of results allowed):

a) Grade in an examination taken at the ForeignLanguageCollege of the Poznań University of Medical Sciences
or

b) foreign languagescertificates

or

c) other certificates in case of less common foreign languages (Italian, Portuguese, Spanish).

  1. Evidence of work forStudent Government Institutions and involvement with student organizations.
  2. Certificate of participation in a study group(issued by the study groupsupervisor and certified by the Board of the Students’ Research Association [STN]).
  3. Presentation of scientific papers and their publication (list of publications including copies of the front page).
  4. Membership of University collective bodies such as the Senate or Faculty Councils
  5. Membership of other University authorities and committees governed by the Statutes of the Poznań University of Medical Sciences and the Regulations of the Student Government of the Poznań University of Medical Sciences (including Senate Committees, Electoral Boards, Dean’s Councils, etc., at least for one year, certified by the President of the Student Government Council).
  6. Evidence of medal places won in university championships and other sports competitions at the level no lower than the Championships of Poland.
  7. Certificates of completing additional courses and training programmes, e.g. summer schools, etc. lasting for at least 1 week and related to the student’s course of studies
  8. Certificates of studies in other faculties – beyond the 1st year or completed.
  9. Volunteering (certificate evidencing volunteer work of at least 1 year).
  10. Confirmation issued by the Department of International Cooperation on the number of days spent on the organization of the arrival or/and assistance given to foreign students staying at the Poznań University of Medical Sciences under the Erasmus programme.

§ 3

3.1 Erasmus places are allocated on the basis of the number of points scored in the recruitment procedure, in which the following criteria are taken into consideration:

  1. Grade average for all completed academic years calculated in accordance with the principles of awarding scholarships.
  2. Documented command of the foreign language required by the partner university, sufficient for studying abroad.
  3. Work for a Student Government Institution and in student organizations: Board of the Students’ Scientific Association, Student Government Council, Poznań IFMSAPoland, Board of Młoda Farmacja (Young Pharmacy), Poznań University of Medical Sciences Mixed Choir, editorial staff of the “Puls UM” newspaper,Board of ASMR (University Association for Emergency Medicine), Board of the Polish Association of Dental Students (PTSS) and active members of the said organizations, medal places won in university championships and other sports competitions at the level no lower than the Championships of Poland.
  4. Participation in study groups.
  5. Presentation of scientific papers and their publication.
  6. Membership of University collective bodies such as the Senate or Faculty Councils.
  7. Volunteering.
  8. Work for other University authorities and committees governed by the Statutes of the Poznań University of Medical Sciences and the Regulations of the Student Government of the Poznań University of Medical Sciences (including Senate Committees, Electoral Boards, Dean’s Councils).
  9. Help in organizing the arrival of or/and assistance given to foreign students staying at the Poznań University of Medical Sciences under the Erasmus programme.
  10. Courses of studies pursued in different faculties.
  11. Additional courses and training programmes.

3.2The scoring system used for recruiting students for exchanges under the Erasmus programme is presented in Attachment 1 hereto.

§4

  1. The students are recruited by the Department of International Cooperation and European Integrationjoined bythe Faculty Coordinator and a student member of the Dean’s Council, on the basis of the submitted documents.
  2. The students are accepted by the Dean’s Councils of particular University Faculties on the basis of rankings.
  3. Students are qualifiedon the basis of the submitted documents in the course of the recruitment procedure specified in § 3; as a result of the recruitment procedure rankings are prepared.
  4. Dean’s Councils approve the rankings of candidates for exchange on the basis of the scored points; they also approve the waiting list,
  5. In case of a draw, the candidate’s number in the ranking is decided on the basis of the number of points scored for extra-curricular activities specified in § 3, points 3-10.
  6. If a recruited student gives up their exchange due to a documented emergency situation, or the exchange does not take place due to reasons attributable to either university, upon the consent of the Rector for Research and International Cooperation and the opinion given by the Faculty Coordinator, the exchange shall be rescheduled to the following academic year.
  7. A student has the right to appeal against the decision of the Dean’s Council; the appeal should be filed by the University Erasmus Programme Coordinator to the Deputy Rector for Research and International Cooperation within 7 days of the announcement of the recruitment procedure results.
  8. Once an appeal has been filed, the Deputy Rector for Research andInternational Cooperation shall re-examine the documents submitted by the student and make the final decision within 7 days of the appeal file date. The Deputy Rectormay also interview the candidate.

§ 5

Schedule of recruitment

1. submission of the required documents – June-February

3. announcement of the recruitment procedureresults – February

3. submission of documents necessary for taking up studies abroad – depends on host university regulations

4. In case of vacancies, additional recruitment dates are scheduled.

5. The student’s stay abroad may not be shorter than 3 months and may not exceed 11 months.

II.ADMISSION TERMS FOR STUDENT PLACEMENT UNDER THE ERASMUS (SP) PROGRAMME

§6

Students may participate in student placement in a foreign non-university institution (it may not be a university), located in a country participating in the Erasmus programme.

§7

Eligibility criteria (placement programmes):

To participate in the programme a person must:

  1. be a student of a full-time, extramural or an English-speaking course of studies at the Poznań University of Medical Sciences;
  2. have completed the first year of their studies by the beginning of the placement;
  3. not be on dean’s leave during the period of their placement;
  4. not have participated in student placement under the LLP Erasmus in the past
  5. have a sufficient command of a foreign language, allowing them to take part in the placement
  6. have a grade average of at least 3.5 for all academic years
  7. be in possession of a confirmation issued by the receiving institution evidencing the possibility of carrying out the placement, its scope and approximate duration

§ 8

1. The student’s stay at the receiving institution aimed at carrying out the placement may not be shorter than 3 months and may not exceed one and the same academic year.

2. The placement may be obligatory or non-obligatory (depending on the curriculum), however it should provide the opportunity to acquire competences related to the student’s course of studies at the sending university. The purpose and content of trainingcompleted under placement must be approved by the faculty training coordinator and certified with his/her signature placed on the submitted documents.

§ 9

1. Places in the student placement programme are allocated on the basis of the number of points scored in the recruitment procedure, which takes into consideration the criteria specified in § 3 hereof.

2. Students applying for student placement under the Erasmus programme should submit the documents specified in§ 4 hereof supplemented with the confirmation of the receiving institution, the general scope of training and the approval of the training coordinator.

§ 10

  1. The recruitment procedure for student placement is specified in §3 hereof.

§ 11

Schedule of recruitment for student placement (to be suggested by the Department of Cooperation)

1. Submission of the required documents – June-February

3. Announcement of recruitment procedure results – February

3. Submission of documents required for the completion of training abroad –as specified by the receiving institution.

4. In case of vacancies, additional recruitment dates shall be scheduled.

III.TERMS OF RECOGNITION OF PERIODS OF STUDY AND PLACEMENT IN RECEIVINGUNIVERSITIES/INSTITUTIONS

§ 12

  1. The period of study completed abroad under the Erasmus programme is deemed as an integral part of the course of studies at the sending university.
  1. The Poznan University of Medical Sciences ensures the recognition of the period of study abroad on the basis of the European Credit Transfer and Accumulation System (ECTS).

3.The recognition of the periods of study abroad is guaranteed by the signing of the Learning Agreement (Attachment No. 3). by the sending university, the receiving university and the concerned student, prior to the exchange.

a)Any changes to the previously adopted Learning Agreement must be reported to and approved by the Faculty Coordinator and the Dean no later than 2 weeks from the beginning of the exchange (for exchanges of up to 5 months) and 30 days for exchanges exceeding 5 months.

b)the students may not select courses completed at the university in the years preceding the exchange.

c)Students may apply for an individual course of studies

d)In case of exchange in the final year of the studies, students are fully responsible for the timely completion of the final year of their studies.

  1. The sending university recognizes the period of study abroad on the basis of theTranscript of Recordsissued to the student by the receiving university, containing the information specified in Attachment No. 4, and on the basis of the document confirming the period of stay at the receiving university (Attachment No. 5). Students are obliged to submit the documents required for the recognition by September 15 of the relevant academic year.
  1. Once the period of study abroad has been recognized by the sending university, the ECTS points earned by the student and confirmed in the Transcript of Records shall be transcribed into the grades used at the sending university, based on the ECTS system(Attachment No. 6).
  1. If, as a result of the exchange and the suggested programme of study a student was not able to sit one exam (being an obligatory element of the course of studies at the sending university) they are entitled to scholarship in the following academic year at the sending university, even if the said exam was required for the completion of the examination session.
  1. Admission for exchange under the Erasmus programme for the following semester or academic year does not exempt students from the obligation to earn credits in the courses in the current semester or academic year.

§13

For each student participating in student placement under the Erasmus programme, an individual training programme shall be arranged in the form of the Training Agreement signed by the sending, the receiving institution and the student (Attachment No. 7).

§14

The university ensures the recognition of the training completed in the receiving institution as equivalent to training completed in the student’s own country, provided that it is an integral part of the course of studies at the sending university.

§15

The training is recognized on the basis of a written certificate issued by the receiving institution stating the term of training, the fulfilment of training objectives and the grade awarded by the training coordinator of the receiving institution.

§16

1. The decision to recognizethe period of study or placement at the receiving university/ institution is made by the Dean of the relevant Faculty, upon the receipt of the approval of the faculty coordinator (in case of exchange) or the training coordinator (in case of placement).

IV.TERMS OF FUNDING THE STUDENT EXCHANGE UNDER THE ERASMUS PROGRAMME

§ 17

Financial support of students during their stay abroad includes:

  1. welfare grants paid by the sending university throughout the period of stay abroad,
  2. Erasmus grant, the amount of which is annually established by the Deputy Rector for Research and International Cooperation on the basis of the funds allocated by the Erasmus National Agency and in accordance with the provisions of the agreement between the University and the Erasmus National Agency.

§ 18

The grant awarded to a particular student is intended to cover the additional costs of travel and stay at the partner university. The grant is not aimed at covering the full cost of travel and living abroad.

§ 19

The amount of funds awarded annually for exchange under the Erasmus programme shall be announced by the university on the official website.

§ 20

1. The university may decide on establishing the category of student exchange or placement not supported with grants; the decision to participate in such exchange/placement should be made by students before signing the agreement with the university.

2. The principles of recruitment and recognition of the period of study/placement for students participating in exchange/placementnot supported with grants are the same as for other Beneficiaries of the Erasmus programme.

§ 21

1. Before the beginning of the exchange/placement, students shall enter into an agreement with the university, which shall specify the obligations of both parties related to participation in the Erasmus programme.

2. In the agreement the parties shall specify the manner in which the grant shall be paid out (number of instalments, way of transferring the grant).

V.TERMS OF LECTURERS’ EXCHANGE FOR THE PURPOSE OF TEACHING CLASSES UNDER THE ERASMUS PROGRAMME

§22

The exchange of lecturers may only take place with a university holding a valid Erasmus University Charter for the relevant academic year, and with which the Poznań University of Medical Sciences has entered into a bilateral agreement on the exchange of lecturers.

§ 23

1. The purpose of lecturers’ exchange is teaching classes to students of the partner university. Before the exchange with the partner university takes place, the parties should agree upon the classes to be taught by the lecturer – “Individual Teaching Programme” (Attachment No. 8).

§ 24

Admission terms for lecturers’ exchange under the Erasmus Programme:

  1. citizenship of a country participating in the Erasmus programme, permanent residence permit or refugee status in the country participating in the Erasmus programme,
  2. the lecturer must be a faculty member of the Poznań University of Medical Sciences,
  3. command of the foreign language sufficient for teaching classes at the receiving university,
  4. teaching experience.

§ 25

Lecturers are recruited by the University Qualifying Committee composed of the:

1.Deputy Rector for Research and International Cooperation – President of the Committee,

2.Dean or appointedDeputy Dean of the relevant Faculty,

3.University Erasmus Coordinator.

§ 26

Lecturers applying for participation in the exchange under the Erasmus programme should submit the following documents:

  1. application to the University Qualifying Committee,
  2. information concerning the history of professional career,
  3. draft of the „Individual Teaching Programme”

§ 27

The stay of a particular lecturer at the receiving university must be completed between July 1 of a given year and September 30 of the following year. The standard period of stay for lecturers is one week. A shorter period is acceptable, during which the lecturer is obliged to teach at least 5 hours of classes. The maximum period of stay at the receiving university is 6 weeks.

§ 28

1. A written agreement shall be concluded with every lecturer admitted for exchange under the Erasmus programme.

2. Lecturers admitted for exchange for the purpose of teaching classes are obliged to submit to the sending universitya document certifying their stay at the receiving institution, stating the period of stay and the number of hours taught.

VI.TERMS OF FOREIGN EXCHANGE OF ACADEMIC STAFF

(lecturers, research and technical staff and administration officers)

FOR TRAINING PURPOSES UNDER THE ERASMUS PROGRAMME

§ 29

The exchange of academic staff of the Poznań University of Medical Sciences may only take place with a university holding a valid Erasmus University Charter for the relevant academic year, and with institutions such as businesses, research centres, organizations etc.

§ 30

The aim of academic staff exchange is to develop personal skills and competences, exchange experience andextend knowledge in a particular fieldthrough participation in training programmes, seminars, workshops etc.

§ 31

Admission terms for academic staff exchange under the Erasmus Programme:

  1. citizenship of a country participating in the Erasmus programme, permanent residence permit or refugee status in the country participating in the Erasmus programme,
  2. status of a member of the academic staff of the Poznań University of Medical Sciences (appointment or contract of employment),
  3. command of the foreign language sufficient for participation in training programmes at the receiving university.

§ 32

1. Lecturers of the Poznań University of Medical Sciences are recruited by the University Qualifying Committee composed of the:

1)Deputy Rector for Research and International Cooperation – President of theCommittee,

2)Dean/ Deputy Dean/Faculty Coordinator of the relevant Faculty,

3)University Erasmus Coordinator.

2. Research and technical staff andadministration officers are recruited by the University Qualifying Committee composed of the:

1) Chancellor

2) University Erasmus Coordinator

3) Head of the Department of International Cooperation and European Integration.

§ 33

Members of academic staff applying for participation in training under the Erasmus programme should submit the following documents:

  1. application to the University Qualifying Committee,
  2. information concerning the history of professional career,
  3. draft of the „Individual Training Programme”
