Ensure that all confirmed group reservations are in order and special requests/amenities are in accordance with instructions.
To ensure that all-incoming reservations match the available accommodation. That all VIP rooms are blocked and that Guest History is checked for notes or special amenities required.
To maintain a composed atmosphere in all Front Office areas, never giving the impression that there is a problem.
To ensure that a VIP report of blocked rooms is sent to the Housekeeping and Room Service departments for the necessary set-ups.

Making Bookings for the functions and sending quotations
To ensure the hall is ready for use for a function taking place on a daily booking
Setting the chairs and tables for the functions
Prepare the guests equipment
Prepare for the guests teas and Snacks table or count
Always working in hand with the booker to know what time the function will be starting, the time for teas, lunch or dinner, so that I inform the kitchen to prepare.
Preparing function sheets for the other departments to know what functions we have for a week or month.
Prepare for the guest’s dinner, lunch or cocktail depending on the type of function we have.
Make sure that the guest’s bills are signed and the summary report is prepared.
Preparing the Invoice once all is entered in the system and give copies to the guests.
Preparing or making orders from the stories all that will be needed for examples the number and type of drinks needed for the function, writing pads, pens, flies etc.
Prepare the monthly reports of the function which will take in the month and send out to all the head of departments.
