Winter Green Fair 2012 – Book your stall NOW!

Welcome to all stallholders both past and future. I would like to introduce myself as the new Green Fair organiser and I look forward to working with you. You will find my contact details above. I apologise if you are no longer involved in the fair, or receive this email in error, as we are currently updating our mailing list (see below). The 32nd Winter Green Fair will be held on Saturday 1st December 2012 at Oxford Town Hall from 10.30am to 4.30 pm.The event offers an unrivalled opportunity to present alternative views on health, food, technology and politics, sell green and locally produced goods, and communicate the ideas of the alternative/green movement. Both traders and non-commercial groups are warmly welcomed, as long as goods sold and campaign messages are appropriate to the overall ethical green and fair trade theme of the fair.

The fair will be held in 4 rooms – the Main Hall, the Assembly Room, the Old Library and the St. Aldates room. The centre of the Old Library will be used for tables from our café, with stalls along one side. The stalls around the edges of the Main Hall (including under the stage), the Old Library and Assembly Room have access to electricity. These stalls are very popular and we advise you to book early, as we are always oversubscribed. Previous attendance does not, unfortunately, guarantee you a stall in a particular place. We will do our best to accommodate requests for ‘extras’, but we have to abide by the rules of the town hall on use of space and health and safety considerations.

Publicity

We will arrange full publicity, including posters and newspaper coverage, but we encourage you to do your own in addition. Please display and distribute the Green Fair posters which we will send out to you by email. Let us know if you would like paper copies by ticking the box at the foot of the booking form.

Programme

All stalls booked before 31st Octoberwill receive a free listing of up to 20 words in the programme. Advertising is a great way to further boost your profile, as visitors will have your details to take away with them. Even if you can’t make the fair this year, you might consider advertising as our rates are extremely reasonable. NOTE we can only accept adverts that are sized to A5/A6/A7, and saved in JPEG or PDF format. Mono is preferable.

Timescale

Stalls are allocated strictly on a first-come-first-served basis. We advise you to book as soon as possible if you want to ensure a place. In any case, you must return your form with full payment – and advertisement - by 31st October latest. A confirmation email with further details will be sent out on 1st November.

What to do next

Fill in the attached form as a word document and return by email if possible, or print out and post. To keep the use of paper to a minimum we encourage you to pay via internet banking - add the name of your stall/organisation as reference when you do this.

Lastly, we are currently updating our mailing list, so even if you are not taking part this year but wish to remain on our list, please fill in the form below confirming the name of your stall/organisation and contact. If you do not reply, we will assume you wish to be removed or that the details we hold are incorrect.

A ‘stall’means a table supplied by the Town Hall. A three-foot stall is half a sharedtable.

Advertisements must be sent as camera ready artwork in PDF format. Deadline 31st October 2012.

Cancellation: Up to 4 weeks before the fair - £5 charge. Less than 2 weeks before fair - no refund given.
