The Newark Vintage Tractor & Heritage Show – 9th & 10th November 2013

Rules & Regulations

1. The gates are open for exhibitors on Thursday 7th November from 12noon–6pmhoursand on Friday 8th November from 8am–8pm hours. Entry on Saturday morning is via the Blue Gate from 7am – 8.30am only. A vehicle pass allows vehicles onto the showground for loading/off loading only. No vehicle movement will be allowed while the Show is open to the public. There will be no entry before 12noon Thursday unless by prior arrangement.

1. The Show is open between 9am5pmhours on Saturday and 9am & 3.30pmhours on Sunday. Exhibitors must attend both days. PLEASE NOTE THAT YOU MUST BE IN PLACE AT THE SHOW BY 8.30amON BOTH DAYS AND MAY NOT LEAVE UNTIL AN ANNOUNCEMENT IS MADE TO SAY THAT IT IS SAFE TO DO SO AFTER THE SHOW FINISHES AT APPROXIMATELY 3.45pmON THE SUNDAY.

1. Owing to Health & Safety requirements regarding emissions, STRICTLY NO ENGINE CAN BE STARTED UP OR VEHICLE MOVED UNTIL THE GENERAL PUBLIC AND TRADE EXHIBITORS ARE CLEAR OF THE AREA AND AUTHORITY HAS BEEN GIVEN BY HALL & OTHER SHOWSTEWARDS. THE STEWARDS’ WORD IS FINAL.

1. The closing date for entries is 27th September 2013but entries may be closed earlier if demand is high. We recommend that entries are made as early as possible.Entry acknowledgements will be only be sent to those who have enclosed a self addressed envelope or requested an acknowledgement via email.

1. Exhibitors will receive a MAXIMUM of 2 free exhibitor passes valid for both days of the show and 1 Free Weekend Camping/Caravan pass. There is no access to the camping area without a pass. Extra caravan/camping passes, entry tickets, meal and entertainment ticketscan be purchased via the entry form.

1. Exhibitors participating in this Show must hold an appropriate valid Insurance Policy. PLEASE ENSURE THAT YOU BRING A VALID COPY OF YOUR INSURANCE WITH YOU TO THE SHOW.

1. Newark and Nottinghamshire Agricultural Society will not be liable for the death of or injury to any person attending the Showground or for any losses claims demands actions proceedings damages costs or expenses or other liability incurred by the Exhibitor in the exercise of the rights granted to the Exhibitor except where such death injury or loss is due to the negligence of Newark and Nottinghamshire Agricultural Society
2. Newark and Nottinghamshire Agricultural Society will not under any circumstances accept responsibility or liability in respect of any damage to or loss of any goods articles or property of any kind brought into or left at the Showground either by the Exhibitor for his own purposes or by any other person or left or deposited with any officer or employee of Newark and Nottinghamshire Agricultural Society
3. The Exhibitor will indemnify Newark and Nottinghamshire Agricultural Society against all such liabilities as are mentioned in this Condition

1. Additional purchased tickets will be posted out prior to the show with confirmation letters but the following will be available on arrival at the show: (a) An Exhibitor Number (b) Your weekend admission bands (c) Camping / caravan passes (d) An Exhibitor Card to be filled in and displayed with the exhibit and (e) Your complimentary gift

1. Exhibitors of tracked or metal-wheeled vehicles must seek advice from their Stewards on arrival and before unloading. Road bands preferred on metal-wheeled tractors.

1. No-one is to advertise either the sale of an exhibit or other events without prior written agreement from the Show Manager.

1. All exhibitors must wear a High Visibility Jacket or Vest during build up & breakdown.

1. Once tractors are in position, all batteries must be disconnected.

1. All nominated tractors will be in the George Stephenson Hall, unless notified to the contrary.

1. Exhibits are to be unloaded on arrival. Exhibitors are welcome to sheet down their exhibit but the sheet must be removed by 9.00am.

FAILURE TO ABIDE BY THESE RULES WILL RESULT IN IMMEDIATE REMOVAL FROM THE SHOW
