SUBJECT:2008 NCNARFE Convention Call Letter 2

The convention planning committee is busy with the many facets of crafting an exciting and action packed event and want to express our thanks to the area IV chapters for their willing support and assistance.

Please advise your chapter members, officers and chairpersons of the following items and encourage their attendance and participation.

ITEM 1 CONVENTION REGISTRATION: Please urge your chapter members to register early for the convention. Now would be a good time to start registration and would help the committee in their planning efforts. The convention registration previously provided is also included in the current edition of the federation newspaper and online for those with computers at our website Please be reminded that a late fee or on-site registration will require an extra $5 fee. We ask that if at all possible, please register by March 31, 2008 with checks made payable to the 2008 NCNARFE Federation Convention and mail it to George Lemons – 2216 Cushendun Lane – Garner, NC 27529-7268. The registration fee is $20 and the banquet is $30 for a total $50.

ITEM 2 HOTEL REGISTRATION: It is critical that your hotel registrations be made by March 31, 2008. Our contract with the hotel requires “any rooms not covered by individual reservation by this date will be released to the general public. After such date, rooms will be available for general sale at the prevailing rate and will not be available at the negotiated group rate.” The agreed upon rate for single or double occupancy is the prevailing federal government rate ($89 per night) plus state or local taxes. Please DO NOT USE THE HOTEL REGISTRATION FORMenclosed with the first convention letter OR the one found in the current edition of the federation newspaper. ITEM 3 ADDITIONAL SITES OF INTEREST: The committee is planning trips to local sites of interest such as SarahDukeGardens, Morehead Planetarium, NC Botanical Gardens, UNC’s Dean Dome and Streets at SOUTHPOINT shopping for those with enough time for the visits. ITEM 4 MEMORIAL SERVICE: Please have the chapter service officer provide names of your chapter members who have passed away between April 1, 2007 and March 31, 2008 so they may be honored in the memorial service. These names should be forwarded by April 1 to Area IV VP Bennie Saunders at 2488 Hillford Dr. – Burlington, NC 27217-3174 or e-mail .

ITEM 5 PRIZES, ADS AND BOOSTER BOOKLETS: These items are the life blood of the convention and we need to work hard to ensure adequate funding for this convention. Please urge your chapters to solicit ads, door prizes and booster funds.

All ads must be forwarded to Carolyn London at 2715 Montgomery Street, Durham, NC 27705-4228 by March 1, 2008 to meet the printing deadline. Forward all booster funds and door prizes to George Lemons, Convention Treasurer at his address shown above.

ITEM 6 DELEGATES AND CREDENTIALS: The NC Federation Constitution and By-laws sets the number of delegates for each chapter at one delegate for each 25 members. Alternates may be selected in equal numbers to the delegates. Your chapter secretary should provide the appropriate credential forms for each delegate and alternate. NOTE TO CHAPTER SECRETARIES – you have a choice this year: you may submit your Credentials by completing the appropriate form (F-42 white copy) which must be presented by the delegates as they register at the convention. Be sure the yellow copy is mailed by April 1 to Barbara Pooler, Convention Secretary at 2131 Mears Rd., Chapel Hill, NC 27514-2033OR you may use the online form on our website – it will take only 2 minutes and you are through – no form to present, no mailing, no typing just enter the appropriate Member Number and check one box and you are done. ITEM 7 HOSPITALITY ROOM: The Sheraton Hotel does not permit outside food service to be served in the hotel. Therefore, there will be no chapter sponsored hospitality rooms but the hotel will provide a hospitality service on the upper floor balcony overlooking the lobby. Based on past experience with this hotel, the hospitality service can be expected to be excellent.
