Main Objectives:

As a member of the Finance Team:

  • Support the Headteacher in implementing R.I.S.E.S. (Reputation, Inclusion, Standards, Every Child Progressing, Structures)
  • Provide an effective and efficient financial, administrative and secretarial support to the school
  • In the absence of the School Business Manager co-ordinate matters relating to day-to-day finance, administration and personnel, as required

Main Duties:

Finance

Under the direction of the School Business Managerto assist with:

  • All matters relating to day-to-day school financ
  • The implementation of necessary procedures and systems to assist and improve the orderly running of the school’s finance function
  • Compliance with all Council and financial regulations
  • Operating and monitoring all systems for the procurement of equipment/materials, deliveries and confirming receipt of goods
  • Operating and managing the staff reimbursement scheme: receiving, checking and processing claims and maintaining financial records submitted by staff, parents/carers and others
  • The operation of the computerised banking system: to input orders, invoices and internal charges and to generate computer cheques for payment of invoices
  • All aspects of the operation and management of the online payment system(s) currently PMX ParentMail for both the school and voluntary and school journey accounts
  • Implementing and maintaining efficient and safe routines for the collection, security, banking and distribution of cash and cheques
  • The operation of the financial management system, in respect of monitoring expenditure and income against all budget headings, providing advice and guidance to budget holders and producing reports as required
  • Maintaining accurate financial records for the school budget, unofficial funds and any other monies available including performing reconciliations, as required
  • Maintaining, updating and managing all accounts including the school’s voluntary and school journey accounts; preparing same for annual audit
  • All administrative, secretarial and financial aspects of fund-raising including those related to the alumni association and third party income (including lettings), liaising with outside agencies and other relevant persons
  • In all administrative, secretarial and financial aspects of the catering provision and other contracts
  • Ensuring the school’s inventory is maintained, as required
  • Researching, preparing and collating data in relation to statistical returns and analytical reports

Administration and Personnel

As directed by the School Business Manager:

  • Assist with confidential staff personnel matters relating to terms and conditions including contracts, pension, salaries, payment, annual and special leave and the operation of the maternity/paternity/adoption and other schemes. Such responsibility to include the careful checking of the dummy payrolls, as required
  • Assist with the management of the Single Central Staff Record (SCSR), including List 99, ensuring all aspects are updated and maintained in order to provide complete and accurate information to support the school in its role in safeguarding children. Such work may include that associated with DBS (The Disclosure and Barring Service) and List 99 checks
  • Provide high quality secretarial and administrative support to management and teaching staff, utilising available technology, in all matters relating to finance
  • Assist with the effective and efficient operation and management of the school’s computerised management information system (currently CMIS) inputting all relevant data and ensuring that all aspects of the system are maintained and kept up-to-date, as they relate to finance
  • Constantly review procedures and environments and, wherever, possible suggest changes to maximise efficiencies
  • Generate school management information and reports as required
  • Assist with the upkeep of the school website and the Managed Learning Environment (MLE), as required
  • Welcome visitors and callers to the school, assisting them with any financial queries or related matters
  • Answer the telephone, where possible deal directly with queries, take messages and direct calls appropriately and effectively
  • Collate and distribute incoming mail and messages and process outgoing communications as required
  • Assist with the maintenance of all postal equipment and arrangements including receipt, recording and banking of staff personal postage monies
  • Maintain duplicating and photocopying equipment and produce duplicated work, as required
  • Maintain efficient and effective office management and filing systems
  • Assist with the establishment and monitoring of systems for the control of stationery and the maintenance of sufficient stock
  • Recognise and respect the need for absolute confidentiality in relation to work content
  • Promote the image of the school at all times
  • Contribute to the overall ethos, work and aims of the school

Sixth Form

As directed by the School Business Manager or the Head of Sixth Form:

  • To assist, as required, in maintaining and managing all procedures with regard to the 16-19 Bursary Fund ensuring compliance with all Council and financial regulations

Other Duties

  • Undertake all duties as required consistent with the objectives and/or duties of the post
  • Undertake training and development relevant to the post and in line with the school’s developing profile
  • Participate in reciprocal skill transfer as part of the on-going development of a flexible team
  • Assist with the induction of new members of the finance team and other staff, as required
  • Support your line manager and colleagues as required, covering where necessary
  • Perform any other duties necessary to aid the growth and development of the post
  • Ensure health and safety procedures are implemented in all areas of work responsibility
  • Implement the Council’s and Governing Body’s equal opportunities policy in all aspects of the work and duties associated with this post
  • Support the school’s commitment to safeguarding and promoting the welfare of children in school
  • Be aware of and comply with all relevant Council and legislative requirements
  • Undertake specific projects or other temporary duties consistent with the basic objectives of the post as required from time to time
  • Provide administrative support in respect of the whole-school Behaviour for Learning (BFL) programme, under the direction of the Assistant Head or appropriate member of senior staff, as required

Pastoral

  • To actively participate in the whole-school vertical tutoring programme, as required.
  • To help facilitate the extended and enrichment opportunities for pupils
