Group Business Committee: to Know and to Do List

Fall 07: Evelyn Frazier(Chair), Kristen Olsen, Xiaoming Hu

Duties:

AQFL Contacts & Schedules

(1)Update “Group Member Schedule” for each semester including class times, individual meeting times, etc.; make sure to post in lab and provide all group members a copy

(2) Maintain “Group Contact List” including names, work address, home address, phone numbers, etc.; make sure to post in lab and provide all group members a copy

AQFL Management

(3) Formulate and maintain the group duty list and schedule; make sure to post in lab and update on a regular basis

(4) Organize farewell parties/card-signing for ongoing AQFL members

(5) Help compile AQFL Manual and distribute AQFL documents to AQFL members

(6) Maintain lab clean up list and make sure that lab is regularly cleaned up

(7) Provide logistics information to visitors and new students (bank account and visit to International Office)

(8)Assign committee members each semester and post it upon Dr. Zhang’s approval; remind/update duties of each committee

(9)Assist to-be-graduated students in wrapping up processes (key return, inclusion of their abstract, etc.)

(10)Report abnormalities of AQFL facilities (printer breakdown, etc.)

AQFL Communication

(11) Provide “Monthly Calendar” at the beginning of each month including dates for lab member activities (deadlines, out of town, presentations, etc.), University-wide dates (first day of classes, Holidays, etc.), lab group activities (group meetings, seminars, etc.); make sure to post in the lab and provide a hard copy to Dr. Zhang

(12)Update AQFL Develop objectives of AQFL’s seminar series and update the schedule conference abstract/poster collection folders

(13)Develop objectives of AQFL’s seminar series and update the schedule

(14)Send out general emails to the group from University, MEAS department, and Dr. Zhang

AQFL Outreach

(15)Organize AQFL outreach/recruiting activities (identify volunteers, make copies of handouts, etc.)

(16)Provide important inputs to web committee for web postings

Duties:

(1)Maintain AQFL web pages on a regular basis;

(2)Update resumes of all members on a regular basis (every semester);

(3)Post new material in a timely fashion per Dr. Zhang's request;

(4)Report all news of AQFL members in a timely fashion;

(5)Take photos for important events to be included for the news page;

(6)Contact new group members to obtain CV & photo for web posting;

(7)Develop new web pages to enhance communications within the group and with prospective students and web visitors.

Tape Backup Committee: to Know and to Do List

Fall 07: Kai Wang(Chair), Ying Pan, Xiaoming Hu

Duties:

(1) Monitor the quota usage of all “zhang” drives on HPC closely to avoid going beyond 98% of the total quota and send out the alarm once the quota is close to/beyond 98%

(2) Set up a regular (e.g., two or three months) backup operation to backup the newly generated files, especially for those big model input/output files, by AQFL group members

(3) Provide the full support in a timely fashion when the emergency backup is needed. This may require all backup committee members to work on three shifts a day

(4) Advise the new AQFL group members on how to manage files more efficiently (e.g., how to do the zipping, what kind of files can be deleted and so on)

(5) Make a list for all the data that have been backed up and update the list on a regular (e.g., two or three months) basis as well

(6) Organize and label all the tapes and hard drives containing data (e.g., person name, data, directories/files)

(7) Send a reminder to AQFL members to check files for backup on a regular basis (monthly or bimonthly).

(8) Inform Dr. Zhang the needs for tape purchasing when the number of new tapes is less than ten

(9) Restore data from tapes upon requests from Dr. Zhang and other AQFL members

(10) Assist in the backup for final version of files for soon-to-be-graduated students

In order to get our work going smoothly, we need to get the support from all the group members as well. Please feel free to report to us when you need the backup of any big output data or very important post-processing data, so we can arrange the backup accordingly. For all the small files, especially the codes/scripts you have generated/changed, please save a copy on your own home directory or make a copy on your PC
