Minutes from June 16, 2014 Meeting

Members Present: Alysia Simon, Penny Daniels, Paul Pendergrass, Jayne Krause, Trish Shields, Kevin McDermott, Julie Pendergrass, Lynn Benrud, Jonya Pacey, Beau Hanenberger

Others Present: Carol Olson, Keisha Hoehne. Shean Fritts

Meeting was called to order at 6:10 PM. Motion made to approve secretary’s report by Kevin, secondedby Trish, approved. Treasurer reported deposits are slightly ahead from last year at this time, balance is $53,810.99, Jayne made motion to approve, second by Penny, approved.

New Business

Sgt. Morrow explained why two deputies are necessary for our event, what hours they would cover and answered questions from the committee. Paul asked since the city pays for one deputy during the year, can there be three deputies in the city during the event, one paid by city and two paid by DOGR. Sgt. Morrow would not want to pull any deputy away from the event to cover other parts of the city. Kevin made motion to keep contract with Olmsted County Sheriff Office, hours of coverage Thursday 10 AM to 4 PM, Friday 8 AM to 6 PM, Saturday 8 AM to 8 PM and Sunday 9 AM to 2 PM, seconded by Alyssa, approved. Sgt. Morrow will inform Carol what the hourly rate is DOGR will be charged

Shean Fritts was introduced to committee. Shean designed the new T-shirts, back of shirt has three characters on it and one character on front pocket. These shirts as well as postcards will be for sale at the information booth. Per Carol, T-shirts will sell for $10.00. Lynn suggested the old shirts be given to STS helpers. Kevin would like to have a miner on the shirt. Shean will work on design to incorporate suggestions. Staff shirts will have STAFF printed on them, motion made by Kevin, seconded by Beau to have ash gray shirts printed and a 15% royalty will go to Shean. Motion approved. Pre-orders for shirts will be available on our website and picked up at information booth during the event.

The Oronoco Lions Club is going to have volunteers available during the event. DOGR and Lions Club are sharing cost on drink coolees that will be for sale. The Lions are also hosting a hospitality tent north of the Community Center. They will be selling water and soda.

Jayne suggested signs be put on new interchange showing directions to Oronoco. And it was okay per the committee if Jayne work from 7 AM to 2 PM as Jayne is having a food stand this year.

Carol stated the group Seeing Double will be paid $150.00 for entertainment on Friday from 1 PM to 3 PM. Sue Whitney is having a vintage fashion show on Friday. There will be designated areas for individual musicians that may want to set up to entertain the crowd, and they will not be charged for the space.

Jonya informed the committee the website, is up and running. MLT was paid for one year charge. Hover is holding the domains at $15.00 per year for two domains. Hosting charges to MN Web Solutions will be $16.95 per month. Carol and Beau volunteered to assist Jonya with updating website, add pictures, list of food vendors and other information.

Carol is having calendars printed with next year’s dates circled for event and date when contracts are due. And Carol will get price on tote bags.

A thank you will be sent to Chipotle for the excellent meal they furnished our group.
