Policies and Conditions for Use

The International Commons is reserved through the dean’s assistant at (319-335-0488). When scheduling the room in Outlook (search res-UCC-IP-1117), make sure to include the following items in your reservations: schedule as a “resource”, contact information, time of the event, include setup time, nature of event, and include special information in comments section.

International Programs welcomes all IP staff and faculty, affiliated community organizations, and IP-affiliated student groups to utilize the International Commons for meetings and events, IP seminars, workshops, and classes free of charge. IP units will take priority over non-IP units in reserving this space.

Julie Blair, the dean’s assistant, will consider requests from outside groups on a case-by-case basis. The reservation fee for outside groups is $50 and for outside student groups is $10. A blue requisition form needs to be submitted to Julie Blair (319-335-0488 or or fax to 319-335-0280 attn: Julie Blair) to confirm the reservation for outside groups.

The commons (and adjoining kitchen, if necessary) can be reserved for after-hours and weekend use. When required, room keys can be checked out from Julie Blair (319-335-0488 or ). Keys must be returned as soon as the event is over. For evening and weekend events, the keys should be returned the following business day. The individual who checks out the keys is responsible for their prompt return. There is a $25 fee for lost keys.

General Responsibilities:

  • The host is responsible for assuring that the conduct of all participants at events held in University buildings conforms to University policies. Student groups may not serve alcoholic beverages at any event; other groups should comply with University policy (see ch. 26 University Operations ManualAlcoholic Beverage Service Guidelines and Procedures for the University of Iowa (V-26).
  • Tacks, nails, duct tape, or scotch tape may not be used to put up decorations – only masking tape and string may be used. Decorations should be removed immediately after the event is over.
  • Please do not stand on the furniture. A step ladder is available in the storage room.
  • No furniture should be moved into or out of the commons area.
  • The commons is equipped with built-in media and sound equipment. A television is available and the commons has cable TV access.
  • Student groups must comply with university regulations governing fund raising, admission charges, paid honoraria, use of alcoholic beverages etc. When financial considerations are involved, student groups must fill out a Student Activity Event Registration form at IMU Administration Office 135 IMU before reservations will be confirmed. Charges will be billed through the Student Accounts Auditor, UBO.
  • Smoking in the building is not allowed at any time.

Security and Safety Procedures:

  • The host group and the sponsoring unit will be held responsible for any loss or damage that occurs during use. Such loss or damage must be promptly reported to Julie Blair at 319-335-0488. Report property damage or theft immediately to Public Safety 9-911 or 5-5022 (if needed complete Property Loss Report ). Outside of regular working hours, the doors into the main IP offices of the UCC must be locked and guests must not go into the main office areas of 1111 or 1120.

Clean up after event:

  • Users are responsible for leaving the area clean and orderly. The clean-up must be done immediately after the event is over unless special arrangements have been made in advance.
  • Do not leave trash in the room. Empty the waste baskets. Trash must be put into plastic bags and taken outside to the dumpster.
  • Furniture may be rearranged to suit the event, but the furniture must be returned to the default set-up (posted on the wall). All tables should be wiped with a damp cloth and wiped again with a dry cloth. Please clean food/crumbs from the chairs and floor. There are rags and cleaner located in the kitchen. There is a vacuum is located in the storage room.
  • Chairs and tables taken from storage must be stacked properly.
  • These rooms are used by many people every day. You are responsible for leaving the room in the conditions stated in these guidelines regardless of the condition it may be found before you use it. Failure to leave the facilities clean and orderly may result in loss of use privileges in the future and/or additional custodial staff fees.
  • The dean’s assistant retains the right to deny requests for use of the space if the requesting individual or organization has previously misused resources or if the space has not been made available in time for the next event.
