University Library Committee

Meeting Minutes for March 14, 2008

Members Present: Lee Blecher, Lesley Farmer, Stephanie Kim, Roman Kochan, Betsy McEneaney, Hema Ramachandran, Ebony Utley, Jun Yan

Meeting Called to Order at 2:10 pm in the 5th Floor Conference Room, Main Library.

The Library Committee welcomed Stephanie Kim who will be serving on the committee as a student representative for A.S.

Library updates

1. Lesley Farmer updated the committee on status of integrating information and technology literacy into GE courses. The GCEC committee has discussed the need to have learning activities and assessments included in GE courses that will reflect competencies in information literacy.

2. The library will help provide a resource for individuals trying to incorporate information literacy into course outcomes.

3. Currently looking to fill the Associate Dean position previously held by Sara Sluss.

4. As a follow-up to some questions raised at a previous meeting, Dean Roman Kochan shared that there will be a classroom on the second floor, and possibly one on the fifth floor. Also, Associate VP Don Garner for ITSS, will be responsible to ensure that sufficient technical support including statistical consulting support for faculty and graduate students will be maintained.

Budget Impact

Roman Kochan provided an overview of the budget situation. Points include:

1. Planning to finish spending out for books by 3/15/08.

2. Anticipating a $350K reduction in budget for next year. This should not, however, have much adverse impact on student learning. The hours of the library will not be affected, and there will not be any impact on maintaining the data bases.

3. In order to meet the potential funding cut-backs, some library positions will not be filled, and a decrease in travel funds. Some services may need to be cut back a little.

ORCA (Online Remote Collections Access)

1. ORCA will be activated at the end of the semester and the library will begin loading books beginning June 1, 2008.

2. Roman led a discussion regarding which books to be put into ORCA. We reviewed the 3/14/08 draft of the Guidelines for Library Materials to be Retrieved by ORCA. A summary of those guidelines are as follows:

Items for First Priority include:

-  Periodicals: printed periodicals over 10 years old not available in digital format, titles that have ceased publication and/or are no longer received by the library.

-  Books: monographs (including CSULB theses) that have been owned by the library over 10 years and have zero circulation, books published prior to 1960 and those in classifications having a history of excessive theft and mutilation (upon recommendation of the subject specialist librarian and with concurrence of the department library representative), multivolume works of historical interest, performance parts, and books containing inserts (maps, CD-ROMs, etc.).

-  Archival and Special Collections: personal paper collections (Richard Hanna, Mark Hanaford, Vincent Thomas, and Stephen Horn), and course syllabi over 20 years old.

Items for Second Priority include (if needed):

-  Microtext materials: micro card/ micro-opaque collections, ERIC microfiche over 15 years old, corporate annual reports, college catalogs on microfiche, and Ameriacn Periodical Series microfilm.

-  Visual media: historical art slide collections, and select “classic performance” vinyl LP’s.

3. There will need to be a method to familiarize faculty/students/colleagues about ORCA in order to ensure comfort with the new system. There probably will be some type of open house. Roman encouraged committee members to discuss the guidelines for utilizing ORCA with their colleagues and bring back any concerns/ questions. One point raised was that the materials stored in ORCA are quickly obtainable. A concern was also raised that when items are stored in ORCA, one loses some of the “browsing” capabilities that are associated with library use.
