MINUTES FOR BRIDLESTONE HOA BOARD MEETING

June 15, 2012

  1. Roll Call – 9:30AM

Mark Bartholomew, Barbara Richter, Tammy Burney, Bill Bryan, Melissa Waters. Nicki Cloud and Aleta Hart attending as committee chairs.

  1. Approval & Filing of Minutes From Previous Meeting.

The minutes were approved.

  1. Homeowner’s Forum

No Homeowners present.

  1. Speed Limit & Stop Sign Enforcement?
  1. The police were out on Thursday May 19th clocking drivers. The board will continue to monitor.
  2. The speed hump initiative did not have enough votes to pass the June 15th deadline. The board agreed to extend the voting to the neighborhood picnic July 14th. Voting forms will be available at table table. Bill will let Joseph East (the point person) know.
  3. Larry Miller volunteered to design signs (such as “children playing) as an alternative if the speed hump initiative is not approved. The board will review other options.
  1. Front Entrance Issues /Landscaping

Barb and Charles reviewed the front entrance landscape.

-$1500 in mulch and edging the front entrance trees, recommendation to switch to pine needles next year

-Front island changes will include removing plants and replacing them with roses to add more color, work to total $900

-Looking to remove the junipers and add additional plants for a more even look

-Hedges will be trimmed in the fall.

The board approved the recommendations.

  1. Financial Report – Birdseye
  1. $5289.81 in the operating account, $46,585 in the money market and $15,157 in the CD.
  2. Outstanding receivables are $2,452. *
  3. Received $4100 from the sale of the foreclosed home back to the bank with this initial mortgage.
  1. Violation Report – Birdseye

Fines will be issued to homeowners for the following violations (homeowners were invited to board meeting to discuss and did not attend):

- An installed gravel driveway

- Trees cut down and landscaped replaced without an ARC request

- Holiday lighting still up after several months

- Temporary basketball courts not taken down daily

- Palm tree planted in the front yard without approval (indigenous trees are the only trees allowed in the covenant).

New roof replacements will be tracked to ensure architectural changes such as color have ARC approvals submitted and approved.

8. ARC Requests

Barb has begun spreadsheet to track ARC approvals. This can be used when changes are made to a home so the board can see if an ARC request has been submitted and approved. If not ARC request, Tammy can then follow up with the homeowner.

9. Updates from the front line (Birdseye) Feedback from the community residents.

No news.

10. Committee Reports

  1. Block Party – Nicki Cloud

Nikki presented the status of the upcoming block party scheduled for July 18th. She is making up flyers and asked the board to assist in passing them out. Nikki reviewed the items still needed.

  1. Garage Sale - Nicki Cloud

Nicki presented the plans for the garage sale scheduled August 11th. She is contacting the Glenfinnan HOA board president to see if they want to participate.

  1. Homeowner’s website – Aleta Hart

Aleta reviewed items to be included on the website. The website is scheduled to launch July 1st.

-The board decided only homeowners would be allowed in the owners only section of the website. Tenants granted access to the website will have an expiration date. Persons requesting access will be asked for name on the deed, address and approximate date of purchase to prevent nonresidents from accessing the owners only section of the website. Access requests will go to Tammy for approvals.

-Links to Facebook, and the will be added.

-The directory view will be available to owners and will show name, address, email and phone number.

-ARC request forms will be available on the website. When submitted the form will be emailed to Tammy and the board for approval and follow up.

-The calendar of events will be updated with the block party and garage sale dates.

-The calendar of events will include the board meeting dates, with a note to contact Tammy at if a homeowner or tenant wishes to come to the meeting.

-At this time, no advertisements will be allowed on the website, but a section for owner’s to post their services will be available.

-Derrick Boston volunteered to assist on the website. Aleta was given his contact information.

  1. Yard of the Month – Nicki Cloud

- Only one nomination has come in for Yard of the Month. Nomination forms and advertising the contest will be at the table at the Block Party.

  1. Newsletter – Nicki Cloud

- The newsletter was a success, however several homeowners reported not receiving them. Tammy said she sent the newsletters to people requesting them are resent.

- The board decided to publish a spring and fall newsletter and use the website as the primary source of news for the neighborhood.

- It was suggested a quarterly update be sent via email. The board agreed to continue working on that direction.

11. Other Business.

The donkeys from the Smith’s land have been getting out. Tammy will contact the estate and let them know.

Austin’s still owe $1142, a partial payment of $727.00 was sent. Tammy will forward the check to the attorney because the home is in the process of pre-foreclosure and the Austin’s should be communicating directly to him. The board agreed to continue the lien and foreclosure procedures.

14806 Bridle Trace has not paid the yearly maintenance fees. It’s a new homeowner who did not receive the notification. Tammy has billed them and will follow up.
