Club Manager – Job Description Reviewed August 2017
Scope of Work
The Club Manager manages the daily operation and maintenance of the curling club, including the rental of the facilities.
The curlingclub is to be operated efficiently and effectively with special emphasis on ensuring that those using the club (members, prospective members and visitors) have a positive and enjoyable experience both on and off the ice.
A high standard in cleanliness and maintenance of the curling club will be expected.
This is a permanent part time position from September 1 to August 31, reporting to the Board Designate with the understanding the hours of work will be approximately 25 to 30 hours per week during the curling season and as low as 5 hours per week during the summer months.
Job Responsibilities
Administration
- Manage and respond to all correspondence and inquiries from all sources of communication from club members, renters and suppliers etc.
- Maintain club calendar and all notice boards
- Monitoring of and responding to alarms, excluding ice making equipment alarms and maintain the contact call roster with the designated security firm
- Ensure all pertinent club documents are securely filed and stored
- Support and assist the Board members in carrying out and coordinating their activities
- Ensure timely communication with the Board Designate on issues relevant to the operation of the facility and provide a written monthly report for the Board
- Attend Board meetings when requested to do so by the Board Designate
Building Management & Maintenance
- Ensure that premises are kept clean and ready for use for day to day operations
- Coordinate annual club cleaning appropriate to maintaining the overall cleanliness of the facility
- Ensure that all office, building and cleaning supplies are ordered and maintained
- Ensure snow removal such that all walkways and entrances are clear of snow and ice on an ongoing and timely manner
- Perform ongoing minor maintenance chores
- Ensure ongoing communication with our neighbours on matters of common interest
- Ensure submission of monthly AED Reports
- Incorporate fire prevention and Occupational Health & Safety procedures into daily routine
- Manage keys for the club
- Coordinate seasonal decorations for the club
Event and Bar Management
- Book and coordinate rentals and use of the club facilities
- Open, meet and greet for all event rentals ensuring supervision of the club until bar staff arrives
- Be familiar with LCBO regulations in general and ensure the club operations are compliant with those regulations and other relevant provincial legislation
- Purchase, inventory control and stocking of all bar supplies, coffee supplies and any other supplies as may be required for the kitchen from time to time
Financial
- Manage the day to day till set up and reconciliation and provide such to the Treasurer on a timely basis
- Ensure timely billing and collection of all revenues related to rentals
- Provide timely communication and assistance to the Treasurer as required
- Provide recommendations for annual budget
Relationship Responsibilities
The Club Manager will keep informed of changing techniques relating to the fulfillment of the job description. They will establish and maintain an excellent climate of working relations both inside and outside the club consistent with encouraging improved performance at all levels. The Club Manager is often the “face” of the club and should exercise good judgement in communication and decision making in the day to day operations and dealings of the club.
Qualifications
- Familiarity with the sport of curling required
- Prior operations and management experience preferred
- Ability to use a computer if required
- Smart Serve certification or commitment to obtain
- Current First Aid, CPR and AED certification or commitment to obtain
- Criminal Record Check satisfactory to the Board of Directors
- Strong communication and interpersonal skills required
Physical Demands
- Ability to carry weight up to 50 lbs
- Physically capable of carrying out the duties of a Club Manager
Compensation
- Salary commensurate with experience
- 2 weeks of vacation preferably not taken during the curling season
