Pre- entries have been mailed out to contestants – along with camping information, letter and rules for the Sanford Center. A few 2013 membership applications have come in as well.

·  2013 Queen Applicants: Lacey Huban, Beth Leabo, Chelsea Zimba

·  Still looking for judges and Alicia is looking for sponsors in hopes to get Queen Contestant awards for 2013.

·  Kayleen, Alicia, and 2 queen contestants plan to work at the horse expo, Kayleen is asking for MRA to pay for her Hotel room.

·  Jackets- Jacket item number change – Jojo- Jackets have been ordered for approx April delivery. Jojo reviewed amount of jackets ordered.

·  Jojo has a $3,000 jacket sponsor confirmed, Lacey is still working on a potential.

·  New jacket sponsor form – Jojo reviewed new form that was previous emailed to the directors.

·  2013 Raffle: 4 wheeler- (2013-500 sportsman), $500 cash, Gun –what kind? Last year was Marlin 917 bolt action rifle, $200 cash, (Shawn will confirm what type of Gun with Mike G and let Jill know) (2) $100 cash prizes, and (2) $50 cash prizes. Additional prize this year is the donated book called Bullwhacked, and $10 per ticket. It was discussed to have the old jackets donated at the Roundup for silent auction, and where else we could sell them or donate them. 1 will be donated to barrel racing in March for silent auction, some donated to the roundup silent auction, and some will be sold at the Horse Expo.

·  Any changes/additions for the finals budget from previous meeting

·  Ambulance was discussed, cost $630, Sanford Center picking up the rest. Fairground rental $400, and other finals budget was reviewed and discussed. Insurance for finals is not due until July because last year went from July - July, Alicia will follow up when payment is due. Hotel rooms – Funny man and Announcer, Arlan Brooks and contractors rooms have all been donated from Holiday Inn Express.

Which director positions will be available for nomination in May?

Review director positions. Excel Sheet reviewed that was sent out previously, members can let Jill know if there are any discrepancies for available positions. It was discussed whether or not one person can hold 2 voting positions, nothing was found in rule book regarding this matter.

Rule #1

Articles of Incorporation READS:

V. The officers of the Minnesota Rodeo Association shall be as follows: President, Vice President, 2 Directors for each event (Bareback Riding, Saddle Bronc Riding, Bull Riding, Calf Roping, 40+Calf Roping, Cowgirls Barrel Racing, Breakaway Calf Roping, Steer Wrestling, Team Roping). One director: Queen, Contractor, Judges, Standings Secretary, Administration Secretary, Treasurer, Donations Solicitor and Finals director. Directors will have a two year consecutive term.

How to change the articles of incorporation:

Approval

Speak with your board of directors to approve adding someone to the corporation. A C corporation requires votes and recorded minutes when making business changes. If you're the only business owner, approval is implicit, but even single business owners need to maintain records illustrating business changes.

Secretary of State

Access the proper amendment documents from your secretary of state. Some states allow you to draft your own document to amend or add someone to your corporation; others require a special form that needs to be filled out and submitted. Your secretary of state website typically has any forms needed to amend your articles of corporation. For example, Georgia requires you to file articles of amendment listing the additional person you would like to add for $25. Some articles of amendment don't have an option to add a person in the document. For example, South Carolina requires you to submit your own document listing the additional person with the articles of amendment.

Rule #2

Membership Requirements: READS

10. A current member in good standing of the MN High School Rodeo Association and Little Britches Association will receive full member status for a fee of $10 upon receipt of a stamped notarized MRA release of liability and copy of membership status to the MNHSRA or Little Britches Association.

TO CHANGE TO:

10. A current member in good standing of the MN High School Rodeo Association and Little Britches Association will receive full member status for a fee of $50 upon receipt of a stamped notarized MRA release of liability and copy of membership status to the MNHSRA or Little Britches Association.

Discussion: if this passes will it be in effect for 2013 or 2014, we have youth members who have paid for cards already this year. It was discussed the rule would be enacted the day of its passing, we would not go back on the members who have paid already, but from the day of its official passing and forward.

Rule #3

Breakaway Roping rule READS:

Boys 14 years old and under can compete in the breakaway calf roping event. Boys must be 14 years of age or under on January 1st of the season for which they compete.

TO CHANGE TO:

Boys 14 years old and under can compete in the breakaway calf roping event. Boys must be 14 years of age or under on day of competition. Day of 15th birthday the contestant is no longer eligible to compete at regular season rodeos. All points accumulated up to the date of the 15th birthday will be reserved for finals eligibility.

Motion: Motion by Jeremy/2nd by Toby. Motion Carried. It will be posted for 30 days.

At a meeting in person or phone conference to approve or non approve a rule there must be at least 8 elligible voting members.

Rule proposal submitted by Greg Caron:

#2. In the Dally team roping :

·  Add item # 25:

·  25. If field flagger asks header to hold the steer so the head catch can be inspected and the header fails to do so, the team will receive a no time.

·  Nothing is deleted.

·  Discussion – Jeremy reports people have voiced concern regarding this rule. The biggest complaint people have had is there are places you may not hear the judge say hold them. If the judge is close enough for them to hear it, they should be able to see it. Shawn provided some discussion as well from a judge’s standpoint. Eric and Mikey provided input as well. Greg discussed the fact the judge needs the ability to stop the steer to be positive about the head catch. Discussion about lighting as well and visibility.

5:30 Doors open to the public (sign-up sheet for kids events with Queens)

Autographs after perf –

Friday night hosted party at Lazy Jack’s (by Fairgrounds). 2 free drink tickets per contestant, DJ/dance. Contestants highly encouraged to come out for a while and support the community and business hosting the party.

Toby asked the barrel racing if they would hand rake, Sharron reports they will. Sharron asked if Sanford Center will supply rakes. Jill will follow up and get back to Sharron.

Jojo requested to have breakaway roping earlier so she can get points done. It was decided to change breakaway roping to 2nd. And Bulldogging will be moved to 5th.

·  David Kes plans to do church service at finals – Will need media pass

·  Mark G. was going to contact Hay to be there for roughstock. Get a quote for cost as well for the budget. Past budget around $400.

·  Sponsorship clarification: Jill and Jojo – sponsors can use as advertising expense

o  Chute Gate sponsors- we will need to give 10% to Sanford Center. There was concern about this and some clarification asked for. Jill will follow up with Georgette and report back.

·  Sanford Center would like people to wear their numbers at all times, even when in public – This will be mandatory. No fine will be set.

·  Kids event – calf scramble – chicken scramble- prizes? Alicia is going to be providing prizes through Holiday Inn Express, it was discussed to have Hippie include audience involved acts.

·  Other finals business:

o  Hotels we have donated: Jill will review list and fill empty rooms

o  Jill, JoJo, Katie, Amber, Laci, Scott and Shawn - Review meeting with Georgette, and Layout for finals, Jojo reviewed meeting min from the meeting with the Sanford Center.

o  Voted Staff members who do not have MRA card for 2012? It was decided we will take the $50 due for 2012 cards off the contracted rate on the contract before they sign them with the explanation of what it is for.

Clarification: (JoJo)

Members that attended 3 first approved rodeos but are not in the standings are able to compete for finals and year end awards.

Members that attended 1 MRA rodeo- are not able to compete for finals and year end awards.
