JOB TITLE: Administrative Coordinator

POSITION: This 40 hour/week position is an important part of the administrative team for the Town of Dunn. The Administrative Coordinator takes the lead on crucial projects in the areas of urban forestry, emergency shelter, data bases, election preparation, records, and cemetery. This position serves as editor of the Town Newsletter, social media, and website. The position also provides support for the Town Clerk and Planning Department by preparingand proofingwritten documents, grant applications, and forms, organizing and administering record keeping for grants and other special projects. Office hours are Monday- Friday from 8am–4pm with one night per month for an evening meeting likely.

TRAINING/EXPERIENCE REQUIREMENTS:

  • Excellent interpersonal skills and demonstrated success working independently and in a collaboration.
  • Bachelor’s degree in business, political science, public policy, environmental science, urban planning, or relevant field, training in office technology, and/or experience that provides equivalent knowledge.
  • Two years of business experience preferred, or any combination of education and experience that provides equivalent knowledge, skills, and abilities.
  • Proficient in word processing, databases, spreadsheets and multi-media presentation software.
  • Strong oral and written communication skills.
  • Ability to interpret local ordinances, state statutes, codes and policies.
  • Geographic Information Systems proficiency or the ability to become proficient in GIS required.

Job Title: Administrative Coordinator

Supervisor: Clerk Treasurer/Business Manager

Purpose of Position: This full-time position is an important part of the administrative team. The Administrative Coordinator takes the lead on crucial projects in the areas of urban forestry, emergency shelter, data bases, records, ordinance updates, and cemetery. This position serves as editor of the Town Newsletter, social media, and website. The position also provides support for the Town Clerk and Planning Department by preparing and proofing written documents, grant applications, and forms, organizing and administering record keeping for grants and other special projects. Office hours are Monday- Friday from 8am–4pm with one night per month for an evening meeting likely. This position will work closely with and reports to the Clerk/Treasurer.

Responsibilities: The following duties and responsibilities are normal for this position but are not exclusive or all-inclusive. Other duties may be required and assigned.

Administrative:

  • Write grant applications and administer projects for urban forestry, storm water, emergency shelter, town events, cemetery, ordinance updates, environmental and community projects.
  • Lead safety team for the storm shelter. Provide an annual refresher training.
  • Newsletter editor. Coordinate publication of semi-annual town newsletter.
  • Maintain and design town web site and social media accounts to improve public access to information.
  • Evaluate and make recommendations on technology needs, maintain phones, copier, virus protection, software upgrades, laptop, voice recorders, and multi-media projector.
  • Assist with automating and streamlining office procedures.
  • Assist with absentee voting, elections, testing of equipment, preparation and scheduling for elections.
  • Provide support for Town Board, parks and planning projects, assist with agendas and minutes.
  • Assist with tax collection.
  • Provide business office coverage during vacations and as needed.

Land Use and Planning:

  • Prepare maps, documents, photos, as needed for Town Board or Plan Commission issues.
  • Provide back-up for Planning Director and GIS projects.
  • Work on grant applications and submissions. Oversee and administer grant work.

Training, Experience, Knowledge and Ability Required:

  • Bachelor’s degree in business, political science or relevant field, training in office technology, and/or experience that provides equivalent knowledge.
  • Effective in written communication.
  • Effective oral communication skills in small groups, meetings and presentations.
  • Geographic Information Systems proficiency or ability to become proficient in GIS.

  • 2 years work experience in Land Use or Administrative support.
  • Ability to advise and provide interpretation to others on how to apply policies, procedures, and standards to specific situations.
  • Ability to collaborate with a variety of stake holders to complete projects.
  • Ability to evaluate complex information and make recommendations.
  • Ability to work independently.
  • Ability to proofread for accuracy.
  • Ability to operate office technology requiring but continuous adjustments, such as computer, software, multi-line telephone, scanner/photocopier, communications/emergency radio, etc.
  • Ability to exert moderate lifting, moving and physical effort in sedentary to light work. Outdoor site visits, monitoring or events may be required.

Language Ability and Interpersonal Communications

  • Ability to utilize a variety of advisory data and information such as ordinances, state statute books, municipal code, computer software operating manuals, written procedures, internet searches, survey of past experiences or documents and guidelines.
  • Ability to communicate orally and in writing with attorneys, Town employees, and the general public.
