Mirza will be the lead analyst for OMA. Her main functions will be:
▫Assisting with Heath Tickets if John Flynn is unable to resolve on his end
▫Providing technical support for OMA, and
▫Developing the next version of OMA; OMA Version 3.4
Odre Miller, Implementation Unit
Odre will be helping with reports development and providing a lot of support with PEI Outcomes.
4. / Upcoming Program, Policy, and Application Changes - Kara / Forms Revision Proceeding
Update:
▫We will be submitting a Project Request to CIOB to change the application and forms will also need to be changed; this will be a lengthy process
▫Providers should not change anything in the way they are reporting, yet; we’ve just begun initiating the process
▫These changes will not affect FCCS; this is only for FSP Baselines, KECs, and 3Ms
Progress of Discontinuation Validation
OMA Version 3.4:
▫Version 3.4 will have the ability to validate; taking the Wizard approach to establish Discontinuations or Validations
▫Finalizing workflow: What to do when this happens or that happens.
▫Target date: Second quarter, around June but it could be sooner. Exact time will be known next week once code is written
▫Benefits to users: Less clean-up and/or fixes once validation is complete
Retroactive Assessments (RA)
▫Situations where Provider A didn’t do data entry and then Provider B comes along. Provider A now wants to enter data after Provider B had already entered data.
▫Client has an open program; it could be the same Provider, but data needs to be entered for a different OMA program
▫Version 3.4 will not include RAs with Discontinuation Validations
▫RA is a bigger technical problem than we anticipated. Version 3.4 will be released sooner and RA will happen later
▫What’s included in the release?
▫Removing the leading zero in the client id when searching in the Three Month Tickler.
▫The ability to view FCCS assessments in the application
5. / Current OMA Issues – Kara and John / Assessments Not Marked As Complete
▫There were 10,000 records not marked as Complete
▫Need to ensure that when an assessment is finished, it gets marked as Complete
▫Instructions on how to mark as Complete is posted on the OMA Wiki
Legal Entity Extracts/EFT Folders
▫Are OMA users using them?
▫Comment: Data Dictionary is helpful
▫Extracts are only available to Contractors and not Directly Operated agencies
Tickets/Issues WE Keep Seeing at DMH
▫Episodes that don’t come over
▫Program changes that don’t need to occur
  • If clients are returning to the same program, there is no need to change on KEC
▫When Episodes are deleted in the IS it sometimes affects OMA (blank PDFs). The systems are co-dependent so if an Episode is deleted in the IS, it can cause OMA to do funny things. / ▫If your Extracts encounter problems or if you have questions about OMA LE Extracts, call Michael Chong, CIOB or Kara.
▫Provider asks if we can have Caminar Integration specific questions in the FAQs on the Wiki. Implementation will work on the FAQs.
6. / Reports – Robin and Mike / FCCS Reports
▫Samples of reports were circulated
▫FCCS Percent “Yes” Responses at Baseline – available at the Provider level
▫FCCS Percent “Yes” Responses at Update – gives comparison to 6M, includes Termination data
Questions
▫Are the same people at agencies handling PEI data as OMA data?
  • Clinicians handle PEI and data entry staff handles OMA.
▫Is PEI Outcomesinvolved with FCCS or FSP?
  • No, they are completely different. We are building outcome measures specifically for PEI.
▫How often do we report PEI data?
  • PEI data is reported at real time. Keep an eye out for training at the beginning of June.
▫How does a provider handle an assessment when the attending clinician no longer works there?
  • They need to work as a team and seek the help of the manager.
/ ▫Provider asks: Is there a way to develop agency specific data?
Answer: They are available at the Provider and Service Area levels but they are not rolled out yet; still needs to go through the cleaning process.
▫Provider asks: Would it be helpful to have a graph of progression/success of TAY FCCS from Baseline to the 2-year mark?
Answer: We can maybe create more visual graphs of reports.
7. / Open Forum: User Issues and Concerns – Mychi and John / Questions
▫How do I enter FCCS outcomes when FSP is open?
  • Call DMH Implementation data group for assistance.
▫When do we call the Help Desk?
  • Call the Help Desk when there is a technical problem related to the computer or application. Call the Implementation data group when you have policy-related questions.
▫When do we do a KEC for Crisis Stabilization?
  • Crisis Stabilization is a place where clients can go and stay up to 23 hours to avoid psychiatric hospitalization.Clients who receive services at crisis stabilization usually do not meet 5150 or 5585 criteria.
  • Crisis Stabilization is also used when a client goes to the ER or if the FSP/PMRT team goes to the client on a crisis.
