DEPARTMENT:Human ResourcesPAY GRADE: Clerical/Para 6

PRIMARY PURPOSE:

Facilitate the efficient operation of the Human Resources office and provide clerical services to the deputy superintendent and director. Maintain district sick leave records.

QUALIFICATIONS:

Education/Certification:

High School Diploma or GED

Special Knowledge and Skills:

  • Proficient skills in typing, word processing, and file maintenance.
  • Effective communication and interpersonal skills.
  • Basic math skills.
  • Ability to use district mainframe.
  • Ability to use personal computer and software.
  • Ability to communicate effectively, both orally and in writing.

Experience:

Three years secretarial experience, preferably in a public education environment.

MAJOR RESPONSIBILITIES AND DUTIES:

  1. Prepare correspondence, forms, reports, etc., for the department head and other department staff members using personal computer and typewriter.
  1. Record and maintain district sick leave.
  1. Process and maintain employees’ Family Medical Leave (FMLA). Temporary disability leave and catastrophic leave.
  1. Process substitute applications and prepare substitute list for campuses. Also serve as the substitute liaison.
  1. Manage the data that goes into the eSchool Solutions SmartFind Program.
  1. Prepare the substitute handbook.
  1. Responsible for maintaining office budget and petty cash.
  1. Prepare requisitions.
  1. Maintain physical and computerized departmental files.
  1. Prepare the employee handbook.
  1. Prepare the contract related policy book.
  1. Exhibit professional telephone etiquette.
  1. Schedule appointments and make travel arrangements for department staff.
  1. Provide information to the Texas Workforce Commission regarding separation from work on employees.
  1. Maintain files for grievances and other problems.
  1. Maintain Board policy book.

  1. Prepare and distribute teacher inter-district transfer information and maintain incoming transfer request.
  1. Notify employees of change in assignments.
  1. Distribute PDAS and evaluation information and maintain files.
  1. Prepare, distribute and maintain files on reasonable assurance information.
  1. Verify employment for tuition grants and loan forgiveness.
  1. Comply with district policies, as well as state and federal laws and regulations.
  1. Adhere to the district’s safety policies and procedures.
  1. Maintain confidentiality in the conduct of district business.
  1. Must be able to perform the essential functions of interacting with district employees in the specific work site assigned (classroom or office setting).
  1. Demonstrate regular and prompt attendance.
  1. Other duties as assigned.

WORKING CONDITIONS:

Mental Demands:

Reading, ability to communicate effectively (verbal and written); maintain emotional control under stress; interpret policy, procedures, and data.

Physical Demands/Environmental Factors:

Repetitive hand motions; prolonged use of computer terminal possible. Occasional district-wide travel.
