Position Overview
The Office Manager at Seminole Heights United Methodist serves as the hub of congregational communication, facilities management, and Florida Conference reporting.
Essential Job Functions
- Management of all functions of the church office during business hours
- Dealing with various vendors, including telecommunications, computers and technology, and cleaning and maintenance providers
- Equipping and supporting lay leaders as they lead their various teams
- Manage the church database
- Manage the church calendar
- Manage print and digital communications functions of the church, including social media, weekly bulletins, monthly newsletters, temporary signage as needed.
- Take responsibility for the quality of relationships with other members of the staff
- Give orientation to new staff members, ensuring the necessary paperwork is complete upon starting employment at the church.
- Help facilitate communication between staff, lay leaders, and members as needed.
- Offer friendly, hospitable greetings to each member or guest who visits the office, and each person who calls on the phone.
- Equip volunteers for the administrative tasks of the church as often as possible.

- Ability to demonstrate strong personal faith and a commitment to the core values of Seminole Heights United Methodist Church
- Demonstrates strong, professional written, verbal, and organizational skills
- Tech-savvy, familiar with computers and other office machines.
- Serene and adaptable under pressure, a good multi-tasker who is willing to learn
- Maintains confidentiality
- All candidates must pass required background screening
Tasks:
- Communications
- Weekly bulletin
- Monthly newsletter (printed and emailed)
- Posters, banners, signs, invitations, press releases for major events
- Manage website and social media accounts.
- Administrative
- Manage church database, entering attendance for worship & children/youth events into database weekly
- Coordinate reporting to the Annual Conference, and completion of all Charge Conference paperwork accurately and on time, including but not limited to monthly vital missional signs, annual policy reviews, annual statistic reports, and annual Charge Conference paperwork
- Coordinate registration for VBS
- Email out weekly prayer requests
- Order office and custodial supplies as needed
- Manage the church calendar
- Coordinate IT, and ensure computer software is kept up to date
- Coordinate special mailings, including Next Steps Gathering notices, VBS registration, etc.
- Send information requested on worship welcome cards.
- Human Resources
- Complete background checks & reference checks for volunteers working with children/youth
- Complete all new employment paperwork, and maintain employee records
- Facilities
- Coordinate with Board of Trustees and schedule vendors chosen for facilities maintenance and repair
- Arrange minor facility maintenance as needed
- Ensure vendor invoices for maintenance tasks are accurate and report discrepancies to Board of Trustees if needed.
- Finances
- Manage credit card processing equipment
- Assist with quarterly statement mailing if needed
- Worship
- Coordinate preparation for funerals, including bulletins, communication with funeral homes, florists, etc., and set up of the sanctuary. Help equip volunteers for tech and hospitality, and ensure all details of the service (and reception if applicable) are communicated to the necessary persons.
- Coordinate preparation for weddings, ensuring all details of the service are communicated to the necessary persons
- Coordinatepreparation for special worship services such as Christmas Eve, All Saints Sunday, Ash Wednesday, Easter Sunday, Maundy Thursday, Good Friday, and Longest Night.
- Send out Scripture to readers each week
