Job Description – Concessions Manager

LYBSA Concessions Manager is a salaried part time position. The salary will be negotiated between the candidate and the LYBSA Board of Directors (Board) on an annual basis. In addition to the agreed upon salary the Concessions Manager may receive an annual bonus based on effort, performance, and net income generated from the concession stand. Payment of bonus and bonus amount will be solely at Board discretion. The Concessions Manager will work closely with and report directly to the Concessions Director selected by the Board.

Hours/Length of Employment:

In general terms the Concessions Manager should be available to work from mid-April through the end of July each year. Hours will vary based on product deliveries, tournaments, and special events at the facility. In season the hours are approximately 5-10 p.m. Monday through Friday. During the annual LYBSA Baseball and Softball Invitational Tournaments weekend hours will be required.

The Concessions Manager is expected to be on site at the park, in or near the concession stand during operating hours. Absences, other than illness, must be scheduled at least 5 days in advance with the Concessions Director. Illness other than emergencies must be phoned in to the Concessions Director, Board President, or Board Vice-President prior to 3 p.m. on scheduled workdays.

Position Requirements:

  • Able to lift and move up to 40 pounds
  • Have transportation to and from LYBSA fields on Cleveland Avenue
  • Ability to manage volunteers, work with vendors, and manage cash with minimal supervision

Position Responsibilities:

Pre-Season –

  • Completely clean the concession stand and restart equipment
  • Report any equipment issues to the Concessions Director
  • Work with Concessions Director to place, receive, and stock initial product orders

In-Season –

  • Work with the Concessions Director to coordinate parent volunteer schedules and ensure adequate staffing each evening
  • Ensure that stand has correct change in registers prior to opening each evening
  • Open the concession stand each evening at 5:15 p.m.
  • Coordinate distribution of game balls and record cards to umpires
  • Provide volunteers with a brief introduction and training session each evening as they arrive for their shifts
  • Be on-site in or near the stand to oversee the volunteers and assist with serving customers as needed
  • Re-stock coolers, candy, etc, as needed throughout the evening
  • Assist volunteers in determining what does and does not need to be pre-cooked to minimize product waste
  • Placing product orders with LYBSA approved vendors as needed to maintain proper inventory levels
  • Maintain records of orders placed to assist with future ordering needs
  • Complete cash reconciliation form with a parent volunteer every evening and make nightly bank deposits
  • Maintain cash reconciliation forms and deposit receipt in concession stand for LYBSA Treasurer
  • Coordinate with volunteers to make sure that all equipment has been properly shut down and cleaned for the evening
  • Wipe down all counters and service areas, mop floor as needed, clean any spills, and thoroughly wash all food service items prior to closing the stand for the evening
  • Report any issues with machinery and equipment to Concessions Director to ensure proper maintenance
  • Report any issues with vendors, volunteers, or unusual circumstances/issues to Concessions Director

End of Season –

  • Return all unused/unopened products to the appropriate vendor(s) for credit
  • Coordinate with Concessions Director to dispose of all non-returnable product
  • Completely clean, winterize, and disconnect equipment as appropriate prior to closing the stand
  • Report all equipment maintenance issues to the Concessions Director
