General

  1. The mission of Sample Baptist Church is to be a community of faith where followers of Jesus Christ will grow in following him. Any consideration of special uses of the property of this church will be guided by this mission, and will be consistent with the Statement of Beliefs found in the Sample Baptist Church Bylaws.

2. Facilities and property are available to any nonprofit organization whose purpose is consistent with this mission and the Statement of Beliefs in the bylaws. Weddings and private parties (birthdays, anniversaries, showers, reunions, etc.) are limited to church members only.

3. For any questions regarding this policy contact the Building Supervisor or the Director of Business Administration.

1Administrative

1. Before scheduling an activity requiring the use of church property, a Calendar Request Form shall be completed and turned in to the Church Receptionist. Requests are considered on a weekly basis. Events and services are not confirmed until approved by staff and a copy of the approved Calendar Request returned to the person making the request. This allows coordination of the church calendar, and helps avoid conflicts related to purpose or scheduling.

2. Events are scheduled in the order that requests are received. Regularly scheduled activities have priority with space, facilities, and equipment ordinarily used by them.

3. Organizations, groups, or individuals not a part of this church shall be given a copy of this policy and our Statement of Beliefs from the bylaws at the time they are given a Calendar Request Form by the Church Receptionist.

4. If this policy approved by the church is inadequate for a specific case, the staff person responsible shall confer with the Properties Committee chairman to make a decision.

5. Request for reservations must be made through the Church Receptionist and fees paid in advance of the meeting. The Calendar Request Form must be properly filled out and signed by the person/persons making the request.

3Building Use Policy

The following rules will be observed in the use of the church facilities:

1. No smoking is permitted within any church facility.

2. No alcoholic beverages/drugs allowed on the church property.

3. Any room that is used must be returned to order with trash picked up, tables and chairs replaced exactly as they were found.

4. Please respect church property (no littering).

5. Use only the areas that have been reserved for the use of the organization/group.

6. Be aware that church-related/all-church activities take precedence over outside activities. Therefore, on occasion we may have to move your meeting to another part of the building and on rare occasions we may ask that you dismiss your function. Every attempt will be made to give plenty of notice to rearrange your schedule should this occur.

7. No pins, tacks, nails, staples, or tape of any kind shall be attached to the walls, floors or furnishings. White reusable putty adhesive or approved wall mounting tabs are recommended.

8. If decorations are to be placed prior to room use, a time should be arranged with the Building Supervisor for the room to be unlocked. All decorations must be removed after use.

9. Furniture and/or equipment should be requested at time of completing a Calendar Request Form. Any changes should be communicated to the Church Receptionist and Building Supervisor as soon as possible.

10. The gymnasium must include adequate adult supervision during normal recreational use. No tape of any kind is to be placed on gym floor. Only non-marking court shoes may be worn during recreational activities.

11. Children are the responsibility of the parents unless the children are involved in an adult-supervised church function.

3.1 Playground

1. The playground is designed for preschoolers. Older children should not be allowed to play on playground equipment.

2. Children must have adult supervision at all times.

3. No food or drink is allowed in the playground area.

4. If deemed necessary, a playground schedule will be decided by the program director.

5. Children are the responsibility of the parents unless the children are involved in an adult-supervised church function.

4 Equipment Use Policy

4.1 Tables and chairs

Six tables and 20 chairs will be set aside for use away from the church campus. These items are not used in regular service in our facility and are to be stored separately from other tables and chairs. Their use shall be on a first come first served basis and must be requested in writing on a Calendar Request Form well in advance of the requested date. The remainder of our tables and chairs are for use in our facilities and shall not be used away from the church campus for any reason except a church activity such a special worship service or church wide event.

4.2 Building and Grounds Equipment

This includes such items as lawn mowers, ladders, vacuum cleaners, room dividers, etc. These items were purchased for the care of our facilities and use in them. They shall not be loaned.

4.3 Technical and Electronic Equipment

For church functions only. This includes such items as sound equipment, projection equipment and screens, office equipment, TVs, etc. Requests must be submitted in writing on a Calendar Request Form well in advance of the requested date. These items shall not be used away from the church buildings.

5 Kitchen, Kitchen Equipment and Related Items

1. Use of the kitchen and kitchen equipment must be coordinated through the Church Hostess. Church hostess or representative of such must be present during use of the kitchen.

2. If the kitchen is used it must be cleaned after use. The church does not furnish any paper

products for non-church events (i.e., napkins, cups, plates, tablecloths). If use of church

dishes, utensils, etc. is desired, it should be requested at the time the room is reserved. These must be washed and placed back in order after use.

3. This policy includes use of such items as dishes, crystal, punch bowls, pots/pans, tablecloths, drink dispensers, and other food service/kitchen equipment. Any such use shall be requested in advanced through the Church Hostess. These items shall not be used outside the church facilities except for church-related activities.

6 Church Vehicles

1. Request for reservation of the church vehicles shall be made in advance in writing on a Calendar Request Form.

2. Church vehicles are to be used only for church sanctioned activities. No less than six people (including driver) must be in need of transportation for a vehicle(s) to be used for any out of town trip.

3. All bus drivers must be church members with a valid commercial driver’s license, be at least 25 years of age and be approved by the church insurance carrier before the trip. A completed Vehicle Driver Form is required for all drivers, and is available in the church office.

4. The person who requests use of the vehicle(s) will be responsible for checking fluids, tire pressure and making a visual inspection before the trip.

5. After the trip this person shall make certain that all trash is removed and the vehicle(s) refueled. Fuel receipts may be turned in to the Financial Office for reimbursement if the trip was previously approved and on the church calendar.

6. Keys shall be returned to the Building Supervisor along with completed Trip Report (form in vehicle) as soon as possible after the trip.
