Overview

The following have been identified as channels in which catalogs should be distributed. Some channels require cases, and some require individual quantities. Quantities per case will vary each year depending on the size of the catalog. Confirm case quantity annually.

  • Columbia Staff/Faculty/Administration
  • Library Reserve
  • MJC Administration/Service Areas
  • YCCD District Office and Trustees
  • High Schools in District (as specified)
  • External Groups (as specified)
  • Orientation/Advising
  • Bookstore Sales

Important

This process is designed to ensure that stakeholders receive a quantity appropriate to meet the needs of their areas. It also operates on the premise that “free” distribution does not serve students as much as an advising appointment would, which includes a free catalog. For this reason, “free” catalogs are only distributed to the public in very specific channels such as advising and external outreach.

Project Oversight

The IMC will review/update this list with the Instruction Office annually, and oversee initial and ongoing distribution of catalogs, including but not limited to; work order requests from the Warehouse, labeling of staff catalogs, mailbox and internal distribution. IO staff will be ready to support this process as needs determine. Requests outside of the IMC should not be fulfilled by Receiving.

Process:

  1. Catalogs will initially be distributed internally with oversight from the IMC and support from the Instruction Office.
  2. To request cases (40 ea) after initial internal distribution:Contact Cathy Brown, IMC at X 5309 to request cases. Please inform us if they are being used for purposes other than those listed above.
  3. Spiral Binding:IMC willautomatically spiral bound catalogs as follows, and quantities should be evaluated each year. Additional binded copies should be requested as need through IMC at no billed charge. Bulk requests are encouraged.
    15 for use by Full-Time/Part-Time Counselors
    5 for Instruction Office

Columbia Staff/Faculty/Administration

Quantity: 92 each

Point Person: IMC/Cathy Brown

Process:Quantity will be reviewed annually and confirmed between Instruction Office (IO) and IMC Staff. IMC staff will place in a work order for catalogs for this purpose. IO will generate “owner” labels and set it on catalogs to indicate this belongs to an individual as a “desk copy”.

Point Person: Instruction Office/Bella Lacazotte

Process:Quantity will be reviewed annually and confirmed between Instruction Office (IO) and IMC Staff. IMC staff will place in a work order for catalogs for this purpose. Will be sent to MJC via interoffice mail.

YCCD Chancellor’s Office/Board Trustees

Quantity: 9

Point Person: Cari Craven

Process:IMC will give the above quantity to the President’s Office for delivery to District. President may want to personally deliver to Chancellor and Trustees.

District “Feeder” High Schools

Quantity: 28

Point Person: Michael Igoe

Process:The IO team will order catalogs and prepare them for high school distribution by the Director of Student Success, Access and Retention when he makes contact with high schools in late Summer/early Fall. Business cards from Director of Student Success, Access and Retention will be paper clipped to each catalog. Schools should be updated each year.

Library Reserve Desk

Quantity: 5 copies

Point Person: Wendy Griffiths Bender

Process:IO will ensure that Library receives 5 copies for student use at the Library reserve desk. This should not be counted separately from the 3 copies sent to Library staff for use at their own desks.

Bookstore Sales: $3 each

Cases: 1 case delivered to bookstore upon delivery of catalogs,4-5 cases estimated per year by Liz Rumney. Liz will put in a work order when inventory runs out. Cost determined by VPCAS.

Point Person: Liz Rumney

Process:IO will work check with the bookstore on the number of cases needed (estimated) for the forthcoming year. In 16-17, there is no room to store on site, so the Bookstore will request as needed.

External Entities

Quantity: To be determined by D. Foletti

Point Person: DoralynnFoletti

Process:In 2016-2017 it was determined that External entities, e.g., Motherlode Job Training, Tuolumne County Office of Education, etc. would no longer receive printed catalogs unless requested.

Outreach Purposes (SSSP)

Cases: 100 qty (4-5 cases)
