The airfares quoted are rates extended to Government agencies participating in the All of Government (AoG) contract arrangements negotiated by the Ministry of Business Innovation and Employment. These airfares do not accrue airpoints.
Please note this is a quote only and no flights are being held. All arrangements quoted are subject to availability at the time of placing your reservation.
Travel to / via USA:
It is compulsory for all international travellers entering or transiting the United States to obtain a Visa prior to travel. New Zealand and some other passport holders may travel under the Visa Waiver Program (VWP). They must apply for pre-travel authorisation via the Electronic System for Travel Authorization (ESTA).
The ESTA system allows visitors from participating countries (including New Zealand) to travel to the US for business or pleasure for 90 days or less without first obtaining a visa. Travellers should visit the US Department of Homeland Security website and complete an application online providing biographical and eligibility information. In most cases a response will be received within seconds determining whether travel to the USA has been authorised. In some instances travellers will need to wait up to 72 hours for authorisation so it is recommended that the ESTA process is completed at least 3 days before departure. If the application is not authorised then a visa may be requested through the US Embassy.
To complete ESTA formalities please do directly to the secure ESTA application site at https://esta.cbp.dhs.gov/ The fee for a new or renewed ESTA will be US$14. All payments for electronic travel authorization applications must be made by credit card or debit card when applying for or renewing an ESTA. Those who already have a valid form will not have to pay until their current one expires.

ACCOMMODATION:
An International charge back fee $12.50 per property will be charged.
Unless advised these rates are non-refundable if cancelled, and changes cannot be made.
All accommodation booked is for room-only unless requested at the time of booking for other inclusions i.e. breakfast or internet.
Orbit is able to make a conference hotel bookings - Please make sure you supply your consultant with the conference name, website, property and pricing to confirm your booking.
RENTAL CAR:
International charge back fee $12.50 per rental vehicle.
ORBIT GUARANTEE:
Orbit guarantees to deliver Massey University with the most cost-efficient international airfares (excludes trans Tasman and South Pacific fares). If Orbit does not quote the cheapest available fare that meets the requested travel specifications at the time of quotation, Orbit will beat it by $25. If you decide the fare conditions are not flexible enough for your requirements I can upgrade to the next best fare which allows more flexibility, please let me know. Upon confirming an option you are agreeing that you have checked and are happy with travel arrangements as detailed in this costing.
INTERNATIONAL AMENDMENT AND CANCELLATION FEE:
Once tickets have been issued any changes will incur a fee of NZD $50.00 per change/per person.
Schedule changes incurred by the airline will not incur this fee.
Cancellation fee NZD $75.00 per person post ticketing.
BAGGAGE:
Your baggage allowance is dependent on the airline you are travelling on, the class of travel and the destination you are travelling to. Excess baggage rates do apply if you exceed the airlines maximum baggage allowance and can be substantial.

PAYMENT:
These prices are for cash, cheque, eftpos and Massey Purchase Order only.
Credit card payments incur further merchant charges as follows:

VISAS:
Visas may be required to visit certain countries and the rules for visas often change. Failure to meet the visa requirements may result in disruption of your travel plans. Orbit may be able to assist with visa application - Visa Processing Fee NZD $30.00 per person / per visa application.
PASSPORT:
A valid machine-readable passport valid for at least 6 month beyond the date of travel is required. Please refer to website www.passport.govt.nz for more information regarding passport requirements. Please ensure that name(s) on the flight itinerary are the same as they appear in your passport. If there are any discrepancies, please let us know immediately so that we can change them for you. If an issued ticket does not match your passport details, airlines will refuse boarding. Please note that a fee will be incurred if reissuing of a ticket is required, due to a name or routing change. A valid re-entry visa for New Zealand is also required for all foreign passport holders. Two blank pages are generally required for visas or arrival/departure stamps.
